Sanctions Screening Software for Small Businesses: Features to Compare

Choose sanctions screening software by matching it to your workflow: compare list coverage and updates, identifiers and aliases, batches or APIs, monitoring, audit records, and costs at your expected volume.

There is no evidence-backed universal “best” sanctions screening tool for every small business. The right choice depends on which people, organizations, documents, and transactions you need to screen, how often your data changes, and whether checks are manual, recurring, or part of a live workflow. Compare list coverage, update and re-screening practices, matching capabilities, review records, integrations, and total cost at your expected volume—not just the search box.

Start with the screening work your business actually does

Sanctions screening is broader than checking a customer’s name once. OFAC says organizations screen customers, supply chains, intermediaries, counterparties, commercial and financial documents, and transactions to identify prohibited locations, parties, or dealings. See OFAC’s guidance on Sanctions Screening Software or Filter Faults.

Map the workflow before comparing products. Occasional manual checks may call for a different setup than screening a supplier list every week or checking parties when transactions are initiated. Identify the records and decision points that matter to your business, then estimate how many checks you will run and who must review possible matches.

  • Occasional checks: Consider whether a one-off lookup is enough, or whether you need a dated record of the result.
  • Recurring customer or supplier lists: Look for batch screening, saved entities, scheduled re-screening, and a way to assign and resolve alerts.
  • Screening inside an application or transaction flow: Check whether an API is available and whether it can return results in the timing and format your workflow needs.

Compare the features that affect screening quality and operations

List coverage and update cadence

Ask which lists and jurisdictions are included, how the vendor identifies the source of each list, and when changes are incorporated into its data. A broad list count is not enough if it omits a jurisdiction or list relevant to your counterparties. OFAC specifically identifies failure to update screening software to incorporate list updates as a filter fault. Do not assume that a vendor’s stated refresh cadence guarantees that your own screening workflow uses current data.

Identifiers, aliases, and name variations

Names are not the only useful identifiers. OFAC notes that omitting pertinent identifiers—such as SWIFT Business Identifier Codes for designated financial institutions—and failing to handle alternative spellings can cause screening problems. Ask what fields the product can compare and how it treats aliases, transliteration, and non-Latin scripts. Request examples using records representative of your customers and counterparties.

OFACScreen says its matching uses trigram similarity for names and aliases and romanizes non-Latin scripts before matching. The vendor also says it does not perform a phonetic pass and identifies Korean written in hanja as a known gap. These are the vendor’s descriptions of its method, not independent measures of match quality; ask how the limitations affect your records and test examples in a controlled evaluation.

One-off checks, batches, and API access

These are different ways to connect screening to work, not interchangeable features. A one-off search supports an individual check; CSV or other batch processing is for lists; an API can connect screening to another system. Confirm file formats, volume limits, error handling, and how results return to your staff or application.

Re-screening, alerts, and audit records

A saved-name monitoring feature can trigger re-screening when list data changes, while an alert gives staff a reason to review a potential match. An audit record documents what was checked and when. Ask whether records can be exported, how long they are retained, who can access them, and whether alerts can be assigned and tracked through resolution. A search history is not necessarily the same as an exportable audit trail.

Review controls and access

Screening software surfaces potential matches; staff still need a process for reviewing and escalating them. Ask how users can document a disposition, what access controls are available, and whether multiple team members can work in the system. Evaluate the tool alongside your own risk assessment and review procedures rather than treating software as a substitute for them.

Shortlist: what the available product pages say

The products below are starting points for evaluation, not a ranked recommendation. Feature and pricing descriptions come from vendor pages and have not been independently validated. Confirm current availability, coverage, limits, and pricing directly before buying.

Product Published capabilities Published pricing or comparison limits
OFACScreen The vendor says it covers OFAC SDN and Non-SDN, BIS Denied Persons and Entity List, UN, EU, UK, Canada, and Swiss sanctions lists, with daily data refresh. It describes saved-name daily re-screening with email alerts, exportable CSV audit trails, CSV batch screening, a REST API, and multiple users on paid plans. Its free lookup has no saved history or audit trail; a one-time report is described as a timestamped PDF record. Details are on the pricing page and buyer guide. The vendor page lists Starter at $49/month billed annually, Professional at $149/month billed annually, and Business at $349/month billed annually; limits for volume, saved names, batches, and seats differ by tier. It also lists a free lookup and a $9.99 one-time report. These are vendor-listed prices and terms, which may change.
Screen100 The vendor pricing page describes a free account with saved screens, history, and API access, plus higher-volume screening, ongoing monitoring, batch/CSV screening, and downloadable audit certificates. See Screen100 pricing. Comparable current pricing and list coverage are not established by the available page information; request details for your expected volume.
SanctionsKit The product page describes a screening API and compliance dashboard connecting customer and vendor screening, case management, and ongoing sanctions monitoring. See SanctionsKit. Comparable current prices and a complete list-coverage comparison are not established by the available page information; ask the vendor for both.

OFACScreen’s stated list coverage and daily refresh, like its feature descriptions and matching claims, are vendor claims rather than independent validation. The other surfaced product pages do not provide enough comparable coverage and pricing detail to support an apples-to-apples winner ranking.

Use a focused evaluation before committing

  1. Write down the workflow: Specify whom or what you screen, where the data comes from, when a check happens, and who reviews potential matches.
  2. Estimate volume and growth: Separate one-off searches from recurring monitoring, batch jobs, and transaction-time checks. Ask vendors to price the same expected usage and user count.
  3. Check coverage and data freshness: Request the lists and jurisdictions included, their provenance, and the process and timing for incorporating updates.
  4. Test representative records: Use controlled examples with relevant identifiers, aliases, alternative spellings, and scripts used in your business. Review both likely matches and cases that should not match; ask how uncertain results are handled.
  5. Walk through an alert: Confirm how a possible match reaches the right reviewer, how the decision is recorded, and whether the final record can be retained or exported.
  6. Verify integration and limits: Test the applicable CSV or API workflow and clarify volume caps, seats, retention, support, and any overage or upgrade costs.

OFAC’s guidance identifies stale lists, missing pertinent identifiers, and failure to handle alternative spellings as possible screening software or filter faults. It does not prescribe a particular vendor, algorithm, or screening schedule in the cited guidance. Your controls should reflect your business’s actual risks and responsibilities; consult OFAC guidance and appropriate compliance advice for your circumstances.
