Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsA sales chatbot works best when it helps a visitor take the right next step—not when it treats every chat as a form to fill out. Start by identifying what the visitor wants, ask only questions that affect the response, offer useful guidance, and route the conversation to a meeting, trial, resource, human representative, or another defined outcome.
What a sales chatbot should accomplish
A sales chatbot is a website conversation flow designed to help potential buyers find answers and move toward an appropriate next step. That may mean qualifying a prospect for a sales conversation, sharing pricing or product information, pointing to a trial or educational resource, or recognizing that the visitor is an existing customer who needs support instead.

Define possible outcomes before writing prompts. Intercom’s Fin for Sales documentation describes outcome categories such as a sales-call handoff, trial offer, education, existing-customer transfer, disqualification, or conversation ending. These are examples, not a universal taxonomy; the right options depend on your sales process. Intercom’s Fin for Sales reporting documentation explains how its product records outcomes and related activity.

Tell visitors what the chatbot can help with, then give them a short menu in ordinary language. For example:
#1 Best Overall
- Duplicate Receipt Book with a Canary Copy: Write once and each carbonless set makes its own copy. Tear off the white original for your customer and keep the canary duplicate bound in the book for your records.
- Sales Order Book Layout with 15 Item Lines: Every form has Date, M, Address, Reg. No., Clerk and Account Forward fields, and red consecutive numbers keep orders, payments and transactions in sequence.
- Wraparound Cover Stops Write-Through: The cover folds behind the set you are writing on, so pen pressure never marks the forms below. Printed on SFI certified sourcing paper and made in the USA.
- Pocket Size Receipt Book, 8.5 x 14.3 cm: Each book is 3 11/32 x 5 5/8 inches with a 3 11/32 x 5 1/8 inch detached form, small enough to carry in a pocket. This pack holds 10 books of 50 sets, 500 receipts in total.
- Office Supplies for Retail and Service Calls: Use it as a bill book for billing invoices, a guest check or a sales slip at a register, vendor booth or job site. Stamp your company name in the blank top area.
- “Compare plans or products”
- “Find out whether this fits my use case”
- “Get pricing information”
- “See a demo or speak with sales”
- “I’m already a customer and need help”
Keep a free-text option where practical, since visitors may have a question that does not fit the menu. Do not make sharing an email address the only way to get basic product guidance.
Ask only questions that change what happens next
Qualification fields should reflect actual routing rules. Depending on the business, useful questions could cover the visitor’s role, organization or use case, current need, buying timeline, or preferred next step. These are options, not a checklist every chatbot must use. If an answer will not change the information shown, the route taken, or the follow-up, it may not be worth asking.
Explain why you need information when the reason may not be obvious—for example, “What team size should we use to recommend the right plan?” Avoid collecting details simply because a form has room for them. Fewer, purposeful questions make it easier for a visitor to finish and give sales staff a clearer context for follow-up.

Give useful guidance before asking for commitment
A chatbot should be able to answer common questions or point to relevant material before pressing for a meeting. That might include product comparisons, pricing explanations, market research, or a demo. HubSpot’s 2025 State of Sales report found that respondents cited market research and product demos among content types that move deals forward; those findings support buyer education as one possible route, not a guarantee that a chatbot or any particular asset will close a sale. HubSpot’s report describes its survey of 1,000 global sales professionals.

Example qualification paths
| Visitor answer or situation | Useful next step | Information to pass along |
|---|---|---|
| They have a defined need and want to evaluate a solution with sales. | Offer an available meeting slot or route to the appropriate representative. | Stated use case, role or organization details collected, timing, and requested meeting. |
| They are interested but still comparing options. | Share a relevant comparison, product explanation, or demo resource; offer a follow-up choice. | Topic of interest and the resource shared, if captured. |
| They want to try the product before talking. | Offer a trial route if one exists and explain the next step. | Use case and any information needed to connect the inquiry to the trial process. |
| They are an existing customer seeking account or technical help. | Transfer them to the customer-support path instead of treating them as a new lead. | Issue summary and relevant identifying details voluntarily provided. |
| The product is not a fit, or the visitor does not want to continue. | Close respectfully, or share a useful alternative resource where appropriate. | The outcome, without forcing further questions. |
| The chatbot cannot answer confidently, or the visitor requests a person. | Offer human assistance or explain the available follow-up route. | Question, conversation summary, collected qualification details, and reason for escalation. |
HubSpot describes its own Inbound Agent as qualifying visitors, answering competitive questions, using propensity scoring to identify buying intent, booking meetings, and closing when fit is clear. HubSpot also reported that 82% of inbound chats were handled with zero human involvement. These are company-reported descriptions and results, not independent evidence of typical performance or a forecast for another business. HubSpot’s account of its agent-first GTM approach provides the company’s framing.
Route by outcome, not by one score
A lead score can help prioritize follow-up, but it should not be the only decision rule. A visitor who is ready for a sales conversation needs a different route from someone who wants a self-guided trial, an educational resource, or support with an existing account. Make each route explicit and ensure the chatbot can end a conversation without manufacturing a sales handoff.
Write down the criteria for each route in operational terms. For example, a meeting route might require a stated business use case and an explicit request to speak with sales; a trial route might require interest in testing the product; an existing-customer selection should go to support. The criteria should match the team’s capacity and actual follow-up process.
Make human handoff useful
Escalation is part of the design, not a failure state. Offer a person when the visitor asks, when the chatbot cannot resolve the question, or when a sales judgment is needed. If live coverage is unavailable, state what follow-up the visitor can expect rather than implying someone is joining immediately.

The representative should receive enough context to continue without making the visitor start over. A practical handoff summary includes:
- The visitor’s original question or stated goal.
- Answers to qualification questions that affect the route.
- Any resource or product information already shared.
- Why the conversation was escalated and what the visitor requested next.

Measure whether the chatbot helps buyers progress
Chat volume alone says little about whether a sales chatbot is useful. Track the stages between a visitor’s first interaction and the next meaningful action, then inspect conversations to understand where people abandon or get routed poorly.

| Chats started | How many visitors engage with the entry point? |
| Contact information captured | How often do visitors choose to identify themselves? |
| Conversation completion or routing decision | Does the flow reach a defined outcome, or do visitors leave partway through? |
| Outcome distribution | How many conversations lead to a meeting, trial, education, support transfer, disqualification, or end? |
| Meetings booked | How often does the conversation result in a scheduled meeting? |
| Configured-link clicks | Are visitors using the resources the flow recommends? |
| Escalations and drop-off points | Where does the bot need human support, and at what point do visitors disengage? |
Compare like periods and review sample transcripts alongside aggregate metrics. A high contact-capture rate does not by itself show that the chatbot is answering questions or sending qualified prospects to the right place. Intercom says its Fin for Sales reporting includes outcome and meeting-conversion views, as well as link tracking for links configured in Guidance or Outcomes; that link attribution is not a claim that every link or downstream action is tracked. Intercom documents these reporting views and limits.
How to compare sales chatbot platforms
The sources available here do not establish an independent, head-to-head platform comparison, so they do not support ranking vendors. Evaluate a platform against the mechanics of your sales process rather than assuming that a chatbot with more automation is automatically better.
| Capability | What to examine |
|---|---|
| Qualification and routing | Can you configure questions, decision criteria, and distinct outcomes for sales, trial, education, support, and closure? |
| Answering and guidance | Can the bot use approved product information and share relevant resources, while handling questions it cannot answer appropriately? |
| Meeting booking | Does it work with the team’s calendar and CRM, and can it offer the right meeting route? |
| Human takeover | Can a visitor request a person, and does the handoff include a useful summary and collected attributes? |
| Reporting | Can the team see contact capture, completion, outcome distribution, bookings, escalation, and disengagement? |
| Attribution | Which link clicks and downstream actions are tracked, and what must be configured first? |
| Failure handling | What happens when the answer is unknown, the visitor changes intent, or a route is incorrect? |

Published figures are useful context only when their origin and date stay attached. Intercom’s commissioned 2019 Chatbot Trends Report said chatbots increased sales by an average of 67%, with 26% of sales starting through chatbot interaction. The report said it surveyed a random sample of 500 consumers and 500 business leaders. These historical survey findings are not a current benchmark or a prediction of results for an individual team. Intercom’s 2019 report describes the findings.
HubSpot’s 2025 State of Sales report said 68% of surveyed sales professionals reported improved lead quality year over year. It also reported that nearly 38% of sales leaders said free tools convert best, while 35% cited market research and 32% cited product demos among content types that move deals forward. Those are HubSpot survey findings, not chatbot-specific conversion rates. HubSpot’s separate 82% figure concerns its own inbound chats handled without human involvement, as described above; it is likewise a company-reported result rather than an industry-wide measure. HubSpot’s 2025 report gives the survey context.

Frequently Asked Questions
What should a sales chatbot ask to qualify a lead?
Ask only for details that change the recommended answer or route. Depending on the sales process, that could include role, use case, need, timing, or preferred next step; no single set of questions applies to every business.
Should every qualified visitor be sent to sales?
No. A qualified visitor may be better served by a trial, a product explanation, or a relevant resource. Route based on the visitor’s stated goal and the team’s criteria, and provide a support route for existing customers.
What should happen when the chatbot does not know the answer?
It should avoid pretending certainty. Offer a human route or an appropriate follow-up option, and pass the unanswered question and conversation context to the person taking over.
Does a higher chatbot lead-capture rate mean better sales results?
Not on its own. Pair capture with completed conversations, appropriate routing outcomes, meetings booked, resource engagement, escalation, and drop-off review to judge whether the flow is helping buyers advance.
Are published chatbot sales increases a reliable forecast?
No. Intercom’s 67% figure comes from its commissioned 2019 report and is historical survey context, not a present-day benchmark or an expected result for a particular company.
