1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsA good SaaS deletion dialog names exactly what will be deleted, what access changes, whether recovery is possible, how long deletion takes, and what—if anything—will remain or keep billing. Do not promise universal, immediate erasure unless your product can deliver it. Before writing the dialog, verify its behavior with the people responsible for product, engineering, data retention, and billing.
What a deletion dialog needs to tell people
“Are you sure?” confirms intent but does not explain the consequence. Name the object being deleted—such as a login, profile, workspace, or selected file—and describe the actual effects in plain language.

- Scope: State which data, content, settings, history, integrations, and shared resources will be removed. Do not imply that deleting a login also deletes a workspace unless that is what happens.
- Access and other people: Explain whether the person loses access, collaborators lose access, shared content disappears, or ownership transfers. Include only effects that are true for this action.
- Reversibility: Say whether the action can be undone, whether a recovery window exists, and how the recovery process works. If recovery is unavailable, say so plainly.
- Timing: Give the verified time to completion and distinguish any delay before permanent deletion. Confirm when deletion is complete.
- Exceptions and billing: Identify data that will remain, why, and for how long when that information is verified. Explain separately billed subscriptions or cancellation steps when relevant.
Apple’s account-deletion guidance says people expect associated account data—including shared user-generated content such as photos, videos, text posts, and reviews—to be deleted. It also says to tell people about information that must remain and to explain how long deletion takes, with confirmation when it is complete. That guidance applies to apps submitted for Apple review; it is a useful expectation-setting reference, not a universal product specification. Apple’s account-deletion guidance

Do not draft from the label on a settings button or infer behavior from an API name. Trace the action through the product’s actual data and account lifecycle. A user login, personal profile, organization, workspace, and individual item can have different effects and recovery paths.

- Which object is being deleted, and what other objects depend on it?
- Which files, settings, history, integrations, and user-generated content are removed?
- What happens to shared content, collaborators, ownership, and other users’ access?
- Is deletion immediate, scheduled, or staged through a soft-delete state? Is there a grace period or recovery route?
- What is the verified timeline for each stage, including any later purge?
- What information remains in backups, audit records, invoices, abuse-prevention records, or legally required archives? For each category, what is the verified duration and reason?
- Does deleting the account cancel the subscription, or must the user cancel separately through an app store or another provider?
- What authentication or confirmation is needed to prevent an accidental or unauthorized deletion?
Retention depends on the product’s systems and obligations. The European Commission explains that erasure rights have exceptions, including legal obligations to retain records, public-interest needs, and legal claims. That does not establish that any particular SaaS product retains data: confirm the actual categories, duration, and basis before disclosing them. Distinguish deletion from deactivation
Deactivation, pausing, sign-out, and deletion are not interchangeable. State whether the user’s data remains available to the company or can be restored after deactivation; reserve “delete” for the action that actually removes the named data. If a user can delete a workspace but retain a personal login, explain that distinction in the dialog or the immediately preceding screen.
Make the deletion route findable and label navigation honestly. In its guidance on social-media interfaces, the European Data Protection Board warns against flows that steer people toward pausing or deactivation when they intend to erase an account. It also describes an export flow that fails to return the person to deletion as an obstacle. For SaaS products, the practical lesson is to let users export data if offered, then bring them back to the deletion process rather than making them start over. Match confirmation to the consequence
A confirmation can prevent a mis-click, but extra steps should address a real risk rather than simply discourage deletion. The EDPB’s examples concern social-media account erasure, not every SaaS product, but they caution against needless friction such as requiring users to justify their choice. Do not make an exit survey, written reason, or response to a retention pitch a prerequisite.
Use reauthentication or an additional confirmation when the action’s impact or account-takeover risk warrants it. For reversible, low-impact actions, an undo option or recovery route may be clearer than interrupting every action with a dialog. For irreversible deletion of an account or workspace, make the confirmation describe the actual scope and outcome. Requiring a person to type a name or phrase is practitioner advice for especially consequential actions, not a universal standard; use it only when the risk justifies the added effort.
These design principles align with the EDPB’s discussion of deletion flows and Apple’s allowance for confirmation and identity verification while warning against making deletion unnecessarily difficult. EDPB Guidelines 03/2022 · Apple Developer guidance. Proportional confirmation is also discussed in SaaS UI Design’s 2026 practitioner article; it is qualitative advice, not a measured UX outcome or formal standard. Use a concrete title, a short explanation of the real consequences, and buttons that make the next action unmistakable. Adapt this structure only after confirming each bracketed detail:

Replace every bracketed instruction with product-specific facts or remove the sentence if it does not apply. Never leave a generic retention duration or an unverified claim in the published interface. Avoid “all your data will be permanently deleted immediately” unless that statement is technically and legally accurate. Use action labels such as “Delete workspace” and “Keep workspace,” not an ambiguous “Continue.”
Account for subscription billing separately
Deleting an account does not necessarily cancel a subscription. Verify the billing relationship and tell users what to do before they confirm if cancellation must happen elsewhere. Apple specifically says apps with auto-renewable subscriptions should tell users that billing continues through Apple and ask them to cancel before proceeding; it also permits scheduling deletion for later if immediate deletion remains available. This is Apple-platform-specific guidance and should not be generalized to other billing providers. Apple’s guidance for apps submitted for review
Quick Recap
Final checklist for product, design, and engineering
- The dialog names the exact account, workspace, profile, or content being deleted.
- Each stated loss, access change, and effect on shared resources has been confirmed with the product behavior.
- Deletion is clearly distinguished from deactivation, pausing, or removing access.
- The recovery route, if any, and timeline to completion are accurate.
- Any retained data, reason, and duration are verified; no blanket erasure claim hides an exception.
- Subscription cancellation instructions match the actual billing provider.
- Confirmation and identity checks are proportionate to the risk, and users are not required to justify deletion.
- Buttons state the action, and any export step returns users to the deletion flow.
- The product confirms when deletion is complete.
