It shows which categories are using space, helping you find the likely culprit and review cleanup options before removing files. The steps differ by Windows, Mac and Android.
Start with the storage breakdown
First confirm which device or drive is low. On Windows, Settings > System > Storage shows usage by category, while File Explorer’s This PC view shows how much space remains on each drive. On a Mac or Android device, use the storage view for that platform below.
Look for the largest categories, then inspect the files or apps you recognize. A category total is a clue, not a reason to delete everything in it: check what the items are and whether you still need them.
Check storage on Windows 10 or Windows 11
Review categories and cleanup recommendations
Open Settings > System > Storage. Windows shows storage use by category and offers Cleanup recommendations for items such as temporary files, large or unused files, cloud-synced files and unused apps. Review each category, the items selected for removal and the displayed estimated space savings before you clean anything. Microsoft’s Storage settings guide explains the view and options.

Find large personal files
In File Explorer, check folders such as Videos, Music, Pictures and Downloads. Sort a folder’s contents by size to identify especially large files. Keep files you need; remove only what you no longer want, or consider moving retained files off the computer.
Know what Storage Sense will remove
Storage Sense can automate selected cleanup. Microsoft says it works on the system drive, generally C:. With its default settings, it removes selected temporary files and Recycle Bin contents; it does not handle Downloads or cloud content unless you configure it to do so. Check its settings before enabling it or changing its behavior. Microsoft also says Storage Sense runs when you are signed in and online for more than 10 minutes. See Microsoft’s Storage Sense guide.

Microsoft describes Storage Sense as a way to automatically free space by removing items you do not need, such as temporary files and Recycle Bin contents. That does not mean every cleanup choice is risk-free: review its scope and settings rather than assuming it will leave every personal folder untouched.
Pause before deleting a previous Windows installation
If Cleanup recommendations offers Previous Windows Installation(s), including the Windows.old folder, understand the trade-off before selecting it. Microsoft says deleting the previous installation removes the option to go back to the earlier Windows version, and that rollback option cannot be restored by undoing the deletion.

Keep personal files without keeping them all locally
If large personal files are using space but you want to retain them, Microsoft describes moving them to a USB drive or SD card, or using OneDrive Files On-Demand. Files On-Demand keeps a smaller placeholder on the PC while the full file remains in the cloud; availability and behavior depend on your account and settings. A file moved to an external drive is accessible only while that drive is connected. Verify that retained files open from their new location before removing local copies. Check storage on a Mac
On macOS Ventura 13 or later, open Apple menu > System Settings > General > Storage. On earlier macOS versions, use Apple menu > About This Mac > Storage. The categories help identify what to inspect, and Apple describes ways to manage categories or move files to another connected storage device.

If System Data or Other appears large, it is a general category for Apple and third-party files that do not fit a more specific category—not the name of one identifiable file to delete. See Apple’s Mac storage guide for version-specific steps.

Open Settings > Storage, then select a category to inspect what is using space. The exact options can vary by device and Android version. Google’s Android storage guide describes options including removing backed-up photos and videos.

Some Android instructions apply only to Android 14 and later. If you review an app’s storage settings, distinguish clear cache from clear data: check the device’s explanation and the app’s needs before removing anything, especially app data.
Choose the next step based on what you find
- Confirm the device and drive. On Windows, use This PC to check remaining capacity and Storage settings to see categories.
- Inspect the largest categories. Identify particular files or apps you recognize before deciding what to remove.
- Review built-in cleanup selections. Check what is selected and, on Windows, consider the effect of deleting a previous installation.
- For personal files you want to keep, choose where they should live. Delete only files you no longer need, or move retained files to an external drive or suitable cloud option. Confirm you can access them from the new location before removing local copies.
If a Windows update is blocked by low space, Microsoft recommends Storage Sense or Disk Cleanup and notes that Windows checks available space before installation. See Microsoft’s Windows update space guide.
If the storage breakdown does not explain the shortage, or free space quickly disappears again, it does not identify a specific cause on its own. Further diagnosis needs to match the device and operating system.
