To make a photo about 1 MB—or smaller than a 1 MB upload limit—resize a copy, export it, and check the saved file’s actual size. If it is still too large, reduce its dimensions or compression a little more and export again. Pixel dimensions alone cannot guarantee a particular file size: the result also depends on the image and export settings.
Before you resize: check the limit and protect the original
- Check whether the destination requires a maximum of 1 MB or merely asks for a file around 1 MB. For a hard maximum, leave a margin below the limit rather than aiming for exactly 1 MB.
- Make a duplicate or use Save As or Export so you can return to the untouched original if the result looks poor.
- Note the current format and dimensions. Keep the aspect ratio so the photo does not become stretched, and reduce dimensions only as much as necessary.
- Plan to check the exported copy itself. A particular width, height, or quality setting does not produce a universal file size.
Resize a photo on a Mac with Preview
- Open the photo in Preview. If you want to preserve the original, make a copy first or use a separate export.
- Choose Tools > Adjust Size.
- Leave Scale proportionally enabled, then enter a smaller width or height. Preview updates the other dimension to preserve the photo’s proportions. Apple documents these controls in its Preview resizing guide.
- If the file still needs to be smaller, Apple’s file-size reduction workflow is also under Tools > Adjust Size: select Resample image and enter a smaller resolution. Preview shows the new size at the bottom of the window.
- Save or export a separate copy, then check its file size in Finder or in the upload interface. If it is over the limit, return to the original and make a modest further adjustment.
Apple’s cited instructions describe resizing and resampling; they do not establish an export-quality slider for Preview. Do not rely on a quality control unless your specific version of the app provides one.

Resize a photo on Windows with PowerToys Image Resizer
Image Resizer is a PowerToys utility added to File Explorer, not a feature guaranteed to be installed on every Windows PC. Microsoft’s Image Resizer documentation describes its presets, custom dimensions, and command-line options.
- Install PowerToys if it is not already available.
- In File Explorer, select the photo, right-click it, and choose Resize with Image Resizer.
- Choose a proportional Fit preset or enter custom pixel dimensions. Fit is the appropriate starting point when you want the complete photo without distortion. Fill can crop, while Stretch can distort the image.
- For JPEG output, the command-line reference includes a quality setting from 1 to 100. If using that route, lower quality cautiously and compare the result rather than assuming a particular setting will equal 1 MB.
- Create a copy and inspect the actual exported file size. PowerToys does not provide a guaranteed 1 MB preset.
PowerToys also documents an optional command-line metadata-removal option. Use it only if you intend to remove metadata; it is not a substitute for checking the resulting file size.
#1 Best Overall
- The easiest way to scan photos and documents. Supports 3x5, 4x6, 5x7, and 8x10 in sizes photo scanning but also letter and A4 size paper. Optical Resolution is up to 600 dpi ( PS: two setting: 300dpi/ 600dpi).
- Fast and easy, 2 seconds for one 4x6 photo and 5 seconds for one 8x10 size photo@300dpi. You can easily convert about 1000 photos to digitize files in one afternoon and share with your family or friends.
- More efficient than a flatbed scanner. Just insert the photos one by one and then scan. This makes ePhoto much more efficient than a flatbed scanner.
- Powerful Image Enhancement functions included. Quickly enhance and restore old faded images with a click of the mouse.
If the photo is inside an Office document
If your goal is to reduce the size of a Word, Excel, or PowerPoint file, rather than to make a standalone photo smaller, use the desktop app’s picture-compression controls. Select the picture, open Picture Format > Compress Pictures, and choose a resolution; the dialog also offers an option to apply compression only to the selected picture. Microsoft says compression can cause loss of detail and change the image’s appearance. This feature is available in listed desktop Office apps, not Microsoft 365 for the web. See Microsoft’s Office picture-compression instructions.
Choose the method that matches the job
| Method | What you adjust | Best fit | Important limit |
|---|---|---|---|
| Preview on Mac | Image dimensions and resampling | A standalone photo on a Mac | Check the saved copy’s size; the cited instructions do not establish an export-quality slider. |
| PowerToys Image Resizer | Preset or custom pixel dimensions; JPEG quality is available through the documented command-line option | A standalone photo in Windows File Explorer | It has no guaranteed 1 MB preset; Fit preserves the full photo, while Fill may crop and Stretch may distort. |
| Office picture compression | Picture resolution and compression inside an Office document | Reducing the size of a document containing pictures | It is not the primary workflow for a standalone photo, and compression can reduce detail. |
What to do if the first export is not right
The file is still over the limit
Reduce the dimensions one more step, or lower JPEG quality slightly if your chosen tool exposes that control. Export again and inspect the new copy before uploading it.

You must keep exact pixel dimensions
Keep the required dimensions and adjust encoding or compression instead, if your application supports it. If it does not, use an editor with suitable export controls; do not assume a resize-only tool can meet both requirements.

The image needs transparency
Do not casually convert a transparent graphic to a format that discards transparency. Preserve the format or confirm that the output format supports the transparency you need before exporting.

Pixel dimensions describe how many pixels make up an image; megabytes describe the saved file’s size. The same dimensions can produce different file sizes depending on image content and export settings. Treat resizing as an iterative check: adjust, export, inspect, and repeat until the saved copy meets the destination’s limit while remaining clear enough for its intended use.
