Open the transaction, choose or type the category, and save. Correct any downloaded suggestion that does not fit; split a charge when it covers distinct purposes. The exact controls differ between Quicken Classic for Windows and Quicken Business & Personal.
What a category does—and when to use a tag
A category answers, “What was this money for?” Categories classify income, expenses, and transfers, and they determine how transactions appear in budgets and reports. A tag adds another layer of context that can cut across categories: for example, categorize a charge as meals and tag it with the client or project it relates to. Use a tag when that context will help you find or analyze transactions later, rather than making a new category for every client or project.

For an ordinary purchase with one purpose, use one suitable category. Split the transaction when a receipt includes meaningfully different expense types or a purchase has distinct personal and business portions. Keep categories broad enough to remain useful; create subcategories when the extra detail improves a report or decision.
Assign or correct a category in Quicken Classic for Windows
- Open the transaction in the register. Click its Category field.
- Choose the category. Select one from the list or type its name. Classic’s category groups include personal and business income and expenses, rental-property categories, transfers, and all categories; categories may also have subcategories.
- Save the transaction. To fix a mistaken assignment, choose the correct category in the same field and save again.
To review category spending, open the Banking Transactions report. Subcategory amounts appear as subtotals beneath their parent category. Quicken’s instructions for category assignment and reports are in How do I use categories? (updated May 13, 2026) and How to customize reports in Quicken (updated September 28, 2026).

Create or manage categories
Go to Tools > Category List. Choose New Category, select income or expense, and optionally choose a parent category to create a subcategory. You can rename a category; Quicken updates the associated transactions. In the category’s Tax Reporting tab, you can assign tax-form and line information. That mapping organizes records; it does not determine whether an expense is deductible.
Assign or correct a category in Quicken Business & Personal
Use Settings > Categories & tags to manage categories and tags. You can also create a category from a transaction’s Category field. Choose whether it is an income or expense category and whether it is personal or business. Start with the default categories and add detail only where it will make your records more useful. These controls are specific to Business & Personal; do not assume they match Classic for Windows.

For a mixed-purpose expense, split the transaction and assign the business portion to a business category. A transaction cannot be split between income and expense categories; record those as separate transactions. Quicken’s guidance on categories is in Using Categories & Tags.

Use a split when one transaction total covers distinct categories—for example, a receipt with supplies and meals. Put each portion on its own line, with the relevant category, amount, and optional tag. Before saving, make sure the split lines add up to the full transaction amount.

In Quicken Classic for Windows
Open the split dialog from the register and enter a category and amount for each line; add a tag if useful. Quicken’s Classic guidance says a transaction can have up to 250 split items. See How do I use split transactions? (updated March 27, 2024).
In Quicken Business & Personal
Use the transaction’s split controls to allocate the amounts across categories, adding optional tags to individual lines. Check that the line amounts reconcile to the transaction total. If the transaction includes both income and expense, enter them separately rather than mixing them in one split.

Why Quicken’s suggested category may be wrong or blank
Quicken may suggest a category using payee history, memorized information, or merchant codes, but a suggestion is not a guarantee. In Classic for Windows, manual entry checks memorized payee information and a matching payee in the register; with no match, the category may remain blank. Downloaded or imported transactions may draw on a matching Memorized Payee List entry or a financial institution’s merchant code. Automatic categorization is controlled in preferences. Generic descriptions such as VISA or MasterCard may not provide enough information for a useful category suggestion. See Quicken’s category guidance and Memorized Payee List guidance.

- Check the transaction description and what you actually bought; one merchant can sell items that belong in different categories.
- Select or type the category that reflects the purchase’s purpose. If no suitable category exists, create one or choose the closest meaningful existing category.
- If the transaction covers multiple expense types, split it by purpose.
- Add a tag only when context such as a client, project, or reimbursable status will be useful across categories.
- Save the entry and review category totals in the relevant report.
Choose the right level of detail
- One category or a split: Use one category for one purpose; split a charge when its separate purposes are worth tracking.
- Category or tag: The category describes the type of income or spending. The tag identifies context that may span several categories.
- Broad category or subcategory: Add a subcategory only when finer detail improves a report or decision. Too many narrow categories can make lists and reports harder to maintain.
- Personal or business: In Business & Personal, classify each portion appropriately and split mixed-use purchases so the business category contains only the relevant business amount.
Quicken’s Using Categories & Tags summarizes the distinction as: “Categories = what you spent (or earned) money for.”
