QuickBooks Free says it automatically sorts business and personal transactions and syncs transactions from one connected bank account. Intuit does not explain the Free plan’s sorting method or promise that every transaction will be classified correctly, so users should not treat the feature as a substitute for checking their books.
Does QuickBooks Free automatically categorize expenses?
Yes. Intuit describes QuickBooks Free as sorting business and personal transactions automatically when you connect a bank account. The published plan description does not specify what information the software uses, how it decides between categories, or how it handles an unclear transaction. It also does not establish that categorization is always correct or that review is unnecessary.
The product page checked on October 2, 2026, describes the plan as an ongoing $0-per-month option for solo or new business owners. It allows one connected bank account. Check Intuit’s QuickBooks Free page for current details, since features and limits can change.
What happens after you connect a bank account?
Intuit says transactions from the connected account sync into QuickBooks Free and that business and personal transactions are sorted automatically. The public Free-plan description does not document the sorting algorithm, its confidence threshold, or a dedicated review-and-correction workflow. In practical terms, the supported promise is automatic sorting—not error-free bookkeeping or an explanation of every classification.

What are QuickBooks Free’s monthly limits?
Intuit’s Free product page lists these limits. They are plan allowances, not measures of sorting accuracy:
Rank #2
| Feature | QuickBooks Free allowance listed by Intuit |
|---|---|
| Connected bank accounts | One |
| Receipt capture | Two receipts per month |
| Mileage tracking | Five trips per month |
| Invoices | Two per month |
| Estimates | One per month |
| Reports | Profit and loss, balance sheet, and account summary |
The same page describes QuickBooks Free as available for as long as you want, with no credit card required. That is different from a 30-day trial, which gives temporary access to a paid plan. Check Intuit’s page for the latest terms and caps.
Can you separate business and personal transactions?
Automatic sorting of business and personal transactions is part of Intuit’s Free-plan description. However, the page does not explain how to correct a mistaken business-versus-personal assignment or whether Free includes the same controls documented for other QuickBooks products. Keep business and personal activity easy to distinguish where possible, and review records rather than assuming the software’s initial sort is final.

What if QuickBooks categorizes a transaction incorrectly?
Intuit’s detailed correction instructions in the sources here are for QuickBooks Solopreneur, not QuickBooks Free. In Solopreneur, users are instructed to review downloaded transactions, correct missing or incorrect categories, customize categories, and create rules for recurring or similar transactions. Its help documentation describes up to 30 rules and up to 180 customizable categories.
Those figures and controls should not be assumed to apply to QuickBooks Free. See Intuit’s Solopreneur transaction categorization guide and Solopreneur rules guide for those product-specific steps.

How is this different from QuickBooks Online’s auto-categorization?
QuickBooks Online has separate help documentation for automatically categorizing familiar expenses. That workflow is not evidence of how QuickBooks Free works. Intuit says QuickBooks Online may leave transactions for manual categorization when they are money-in items, contextual transactions such as loans, transfers, owner’s draws, or check payments, rule-categorized expenses, or items without enough prior information. Its documentation also describes previewing, reviewing, correcting or undoing categorized items, and turning the feature on or off.
For details limited to that product, see Intuit’s QuickBooks Online auto-categorization guide. Do not assume the same exceptions or controls are available in QuickBooks Free.

Is QuickBooks Free enough for a small business?
The published limits may suit someone who needs basic bookkeeping with one bank connection and modest monthly volumes. The one-account cap and small receipt, mileage, invoice, and estimate allowances may be restrictive as activity grows. Intuit says users can upgrade from Free and retain what they have built; its separate Solopreneur product is positioned for one-person businesses, with tax-filing capabilities designed for Schedule C (Form 1040) filers, commonly sole proprietors or single-member LLCs. Those Solopreneur capabilities should not be read as Free-plan features.
When comparing free bookkeeping options, check the number of supported bank connections, what the plan actually documents about transaction sorting and correction, its receipt and mileage caps, its invoice and estimate limits, and whether access is ongoing or only a trial. These details are more useful than treating “automatic” as a guarantee of hands-off or error-free categorization.
