“Directly” usually means one of these:
- In-editor UI: a sidebar, dialog, or add-on panel that appears inside Google Docs or Sheets.
- Command-driven: a menu item that sends selected text (or a sheet range) to ChatGPT and pastes results back.
- Draft-in-place: a workflow that drafts Gmail messages from a prompt or template and inserts the result into the compose window.
- Automated pipeline: prompts triggered by events (time, file change, form submit) that write back into Drive/Docs/Sheets.
Each approach has trade-offs. Faster tools give speed; Apps Script gives control, repeatability, and cost control.

Three practical ways to integrate ChatGPT with Google Docs, Sheets, Gmail, and more
| Method | Best for | How it works | Effort |
|---|---|---|---|
| Sidebar/extension workflow | Fast drafts and edits | You trigger ChatGPT from within the editor via an add-on or browser extension | Low |
| Apps Script + OpenAI API | Reliable, customizable commands | Menu command sends selected content to a server-side function and writes results back | Medium |
| Structured workflow + templates | Repeatable business processes | Use ChatGPT to generate outputs, then store them into Docs/Sheets via templates and automation | Medium to high |
If you want the most “it’s inside Google” experience, Apps Script with an editor UI is usually the winner.
Method 1: Use a sidebar/extension workflow (fastest path)
This path depends on the add-on/extension you choose. Most work the same way: you open a sidebar, enter a prompt (or use a button), and paste or insert the output back into your document.
Because third-party add-ons vary, treat the steps below as a checklist. When you pick an add-on, verify it supports the Google surface you care about (Docs, Sheets, Gmail compose) and that it can use your selected text.
Google Docs
Use a Docs add-on/sidebar that can read selected text and insert generated text at the cursor.
- Open your Google Doc.
- Select the text you want ChatGPT to rewrite (optional, but recommended).
- Open the add-on: Extensions → Add-ons → Get add-ons (or whatever the extension’s menu is).
- Install the add-on, then open it from Extensions → the add-on name.
- In the sidebar, choose an action like Rewrite, Summarize, or Continue writing.
- Click Generate, review the output, then choose Insert or Replace selection (the exact wording varies).
Google Sheets
For Sheets, you want a tool that can send either a selection or a row/column slice and then write back into cells.
- Open your Google Sheet.
- Select the input range (e.g., a column containing raw notes or product descriptions).
- Install the add-on/extension from Extensions → Add-ons.
- Open the add-on sidebar from the same Extensions menu.
- Pick an output mode such as Fill next column, Replace selection, or Write to a specified range.
- Set the response format if available (bullet list, JSON, or plain text), then run generation.
Gmail
Gmail integrations vary most. The best ones add a compose panel or let you generate draft text you can paste into the email.
- Open Gmail and start composing a new message or reply.
- Find the add-on or extension UI inside the compose window (often a side panel icon or a button in the toolbar).
- Enter a prompt using variables like recipient name, email thread summary, or your goal (e.g., “ask for status update by end of day”).
- Generate and then insert the result into the compose body.
- Quickly edit for tone and compliance, then send.
Google Drive and Docs templates
Some workflows work better when you use templates: generate content into a new Doc, then use Drive structure to manage versions.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute- Create a template Google Doc with placeholders like
{{ClientName}}and{{Scope}}. - Run the add-on to generate content, then insert into the template placeholders.
- Save each output as a new Doc in a Drive folder structure (per project, per month, etc.).
If the add-on can’t create files automatically, you can still use it to draft, then create the Doc manually.
Method 2: Build an integration with Google Apps Script + the OpenAI API (most control)
This method is the closest thing to a “real” integration inside Google Docs/Sheets: you send selected content to ChatGPT and insert the generated output back into the document or cells.
Below is a proven Apps Script approach you can adapt for multiple surfaces.
Prerequisites
- A Google Workspace account (Docs/Sheets access) with permission to create Apps Script projects.
- Access to Google Cloud Console to create a project and enable required services.
- An OpenAI API key (from your OpenAI account) and an active API billing setup.
- Basic comfort with JavaScript and Google Apps Script.
Create a Google Cloud project and enable billing
Apps Script typically runs without you managing servers, but you still need a proper Google Cloud project to attach OAuth settings and keep authorization clean.

- Go to Google Cloud Console.
- Create a new project (example name:
chatgpt-google-docs). - Enable Apps Script API.
- Enable billing for the project (some executions and advanced features require it; follow Google’s current guidance for Apps Script + Cloud setup).
Get an OpenAI API key and store it safely
Never hardcode your API key in a script you’ll share publicly.
- In Google Apps Script, open Project Settings.
- Use Script Properties to store secrets, or use User Properties for per-user behavior.
- Store a key like
OPENAI_API_KEY. - Optionally store model and default settings like
OPENAI_MODEL(example:gpt-4.1-mini).
For team use, prefer a deployment strategy where only admins set properties, then restrict usage via IAM and Google permissions.
Create an Apps Script project
- Open a Google Doc or Sheet.
- Go to Extensions → Apps Script.
- Create a new script file (default
Code.gs).
You can reuse the same core API-calling function across Docs and Sheets by copying it into separate projects or by using a shared library.
Grant the right Google OAuth scopes
Apps Script will ask for permissions the first time you run a function that touches external services.
- Open appsscript.json (if prompted, create/edit it).
- Set only what you need. Typical scopes include reading/writing Docs or Sheets depending on your functions.
- When you run for the first time, approve the requested permissions via the Google consent screen.
If you’re only generating text and inserting it into the same Doc/Sheet, keep scopes as narrow as possible.
Implement a reusable “Ask ChatGPT” function
The heart of the integration is a function that calls the OpenAI API and returns the assistant output.
Use the model name that matches your account. Example below uses a common chat-completions style payload.
// Code.gs
function getOpenAIClient_() { const props = PropertiesService.getScriptProperties(); const apiKey = props.getProperty('OPENAI_API_KEY'); const model = props.getProperty('OPENAI_MODEL') || 'gpt-4.1-mini'; return { apiKey, model };

}
function askChatGPT_(systemPrompt, userPrompt, opts) { const { apiKey, model } = getOpenAIClient_(); const payload = { model: model, messages: [ { role: 'system', content: systemPrompt }, { role: 'user', content: userPrompt } ], temperature: (opts && opts.temperature != null) ? opts.temperature : 0.4 }; const res = UrlFetchApp.fetch('https://api.openai.com/v1/chat/completions', { method: 'post', contentType: 'application/json', headers: { Authorization: 'Bearer ' + apiKey }, payload: JSON.stringify(payload), muteHttpExceptions: true }); const text = res.getContentText(); if (res.getResponseCode() < 200 || res.getResponseCode() >= 300) { throw new Error('OpenAI API error ' + res.getResponseCode() + ': ' + text); } const data = JSON.parse(text); return data.choices && data.choices[0] && data.choices[0].message ? data.choices[0].message.content : '';
}
If your OpenAI account uses a different endpoint or response format, adjust the URL and parsing. The error handling above is intentionally strict so you can see payload issues quickly.
Add a Google Docs menu item
In Docs, you can grab the current selection, send it to ChatGPT, then replace the selection with the generated text.

// Docs integration
function onOpen() { DocumentApp.getUi() .createMenu('ChatGPT') .addItem('Rewrite selection', 'rewriteSelection_') .addItem('Summarize selection', 'summarizeSelection_') .addToUi();

}
function rewriteSelection_() { const doc = DocumentApp.getActiveDocument(); const body = doc.getBody(); // Apps Script doesn’t provide a perfect “selection API”. // Common pattern: act on the entire body or use a marker-based approach. // For a quick reference implementation, we’ll use the full body text. const input = body.getText(); const system = 'You rewrite text for clarity while preserving meaning. Output only the rewritten text.'; const user = 'Rewrite the following text:\n\n' + input; const out = askChatGPT_(system, user, { temperature: 0.3 }); body.setText(out);
}
function summarizeSelection_() { const doc = DocumentApp.getActiveDocument(); const body = doc.getBody(); const input = body.getText(); const system = 'You summarize accurately. Output only the summary.'; const user = 'Summarize this text:\n\n' + input; const out = askChatGPT_(system, user, { temperature: 0.2 }); body.setText(out);
}
Gotcha: Apps Script doesn’t expose a reliable “cursor selection” API the way desktop editors do. To get a true selection experience, most teams use a sidebar UI (HTML service) or marker-based editing (e.g., replace text between <<START>> and <<END>>).
If you want, I can provide a marker-based version that replaces only marked regions.

Add a Google Sheets custom menu
Sheets are easier than Docs for scoped input because you can read and write cell ranges deterministically.
// Sheets integration
function onOpen() { SpreadsheetApp.getUi() .createMenu('ChatGPT') .addItem('Rewrite selected rows (col A)', 'rewriteSelectedRows_') .addToUi();
}
function rewriteSelectedRows_() { const ui = SpreadsheetApp.getUi(); const sheet = SpreadsheetApp.getActiveSheet(); // Apps Script can’t directly read the user’s highlight selection reliably. // Practical approach: define a fixed input column range and write to an output column. const startRow = 2; // assumes header at row 1 const inputCol = 1; // Column A const outputCol = 2; // Column B const lastRow = sheet.getLastRow(); if (lastRow < startRow) return; const inputValues = sheet.getRange(startRow, inputCol, lastRow - startRow + 1, 1).getValues(); const system = 'You rewrite text for clarity. Output only the rewritten text.'; const outputs = inputValues.map(r => { const input = (r[0] || '').toString().trim(); if (!input) return ['']; const user = 'Rewrite this text:\n\n' + input; const out = askChatGPT_(system, user, { temperature: 0.3 }); return [out]; }); sheet.getRange(startRow, outputCol, outputs.length, 1).setValues(outputs); ui.alert('ChatGPT rewrite complete for rows ' + startRow + '-' + lastRow);
}
Cost/performance gotcha: calling the API per row can be slow and expensive. For large ranges, batch prompts (combine multiple rows into one request) or add a “run on button per row” pattern.

Gmail: options and limitations
Gmail is harder because Apps Script can’t freely inject UI into the Gmail composer. You usually implement one of these:
- Draft-to-draft workflow: create a draft (via Gmail API) based on an email thread summary.
- Compose-time assistant: a browser extension/add-on that can read the current compose content and generate replacements.
- Integrate with a Google Form or sheet: Gmail content is exported into a Sheet row, ChatGPT generates a response, then you paste it back.
If you’re building with Apps Script, the most reliable approach is a draft generator:
Rank #4
- When the user clicks a button in a Google Sheet or a custom sidebar, pass subject + thread context.
- Call OpenAI to draft an email.
- Create a Gmail draft with
GmailApp.createDraft(to, subject, body).
That gives you “inside Gmail” results with minimal UI injection risk, at the cost of one extra step.
Method 3: Use ChatGPT for drafting, then wire it into structured Google workflows
If you don’t need a full editor integration, you can still get serious productivity by structuring where ChatGPT outputs land.
A strong pattern is: prompt in a spreadsheet + generate into a template Doc + link back to the source row.
- Create a Google Sheet with columns like
Prompt,Output,DocLink,Status. - Write an Apps Script trigger (menu item or time-based) that reads rows where
StatusisReady. - Call ChatGPT with the row prompt and any structured inputs (tone, audience, length).
- Create a new Google Doc from a template using placeholders.
- Write the Doc URL back to
DocLinkand setStatustoDone.
This is the most maintainable approach for teams because it produces auditable artifacts (Docs) rather than hidden transformations.
Prompting that works inside documents and spreadsheets
When ChatGPT is embedded into a workflow, your prompts need to be consistent and machine-friendly.
Use context blocks instead of long free-form prompts
Prefer a fixed structure:
- Role: what ChatGPT should be (editor, analyst, support agent).
- Constraints: max length, reading level, formatting rules.
- Input: the exact text or table values.
Example prompt fragment for Docs: “Rewrite for clarity. Keep all facts. Preserve any numbers. Output only the revised text.”
Constrain output to formats you can paste
Inside Google Docs, you can control structure by telling ChatGPT what to output.
- For email: “Return subject + body only.”
- For proposals: “Return sections with headings: Overview, Timeline, Pricing, Next Steps.”
- For bullets: “Return exactly 8 bullet points.”
For Sheets: generate formulas, not just prose
If you want spreadsheets to stay spreadsheets, ask for formulas explicitly.
Example: “Given columns A=price and B=quantity, return the Excel/Google Sheets formula for total in C2. Output only the formula.”
Then write that output into the target cell(s).

Common failures and troubleshooting checklist
Most integration issues fall into a handful of predictable categories.
OpenAI API errors
- 401 Unauthorized: your
OPENAI_API_KEYis missing or wrong. Check Script Properties and redeploy. - 429 Too Many Requests: you’re hitting rate limits. Add batching and retry with exponential backoff.
- 400 Bad Request: payload shape is wrong (wrong endpoint, missing fields). Inspect
res.getContentText(). - 500 Server Error: retry once or twice; confirm model name is valid for your account.
Apps Script authorization errors
- “Authorization required”: run a function manually once to trigger consent.
- “You do not have permission”: the script’s OAuth scopes or file permissions don’t match the target Doc/Sheet.
- Scope mismatch: request fewer scopes; tighten permissions.
Performance problems in Sheets
- Slow execution: you’re calling the API per row. Batch rows into chunks (example: 10–30 rows per request).
- Time limits: add progress checkpoints and process in smaller batches.
- Large outputs: ask for shorter responses or enforce max tokens/length controls if your API supports them.
Docs content gets wiped or replaced unexpectedly
If you use body.setText(out), you replace the entire document body with plain text. That’s fine for prototypes, but not for production documents.
- For production, use structured insertion: replace only marked segments or rebuild the document while preserving formatting.
- Alternatively, write output into a new Doc rather than overwriting the source.
Comparison: which method should you choose
| Your priority | Best method | Why |
|---|---|---|
| Speed to first draft | Method 1 | Sidebar/add-on setup in minutes, no API billing management required |
| Repeatable, auditable outputs | Method 3 | Template + Doc creation gives you artifacts and traceability |
| Deep customization | Method 2 | Apps Script menus + server-side prompts match your exact business logic |
| Team rollout | Method 3 or 2 | You can control access, outputs, and templates centrally |
If you’re unsure, start with Method 1 for exploration, then move to Method 2/3 once your prompts stabilize.
FAQs
Do I need to code to put ChatGPT in Google Docs or Sheets?
No. You can use add-ons or browser extensions for a sidebar-style workflow. If you want menu commands, automation, and predictable insertion, Apps Script is the usual route.
Can Apps Script read exactly what I highlighted in Google Docs?
Not reliably with a simple API. For true selection-aware behavior, you typically implement an HTML sidebar UI or use markers to define replaceable regions.
Will this work for iPhone or iPad?
Web integrations usually work on mobile if the add-on is supported. For Apps Script menu items, the experience depends on whether the Google Docs/Sheets UI on your device supports the same menu interactions. If you need consistent mobile behavior, consider template-driven workflows (Method 3).
What model should I use?
Use the model that fits your latency and cost needs. Many teams start with a smaller fast model for rewriting/summarizing and reserve higher-capability models for complex tasks. Set the model name in Script Properties so you can change it without editing code.
Can I automate Gmail drafts with ChatGPT?
Yes, but not always with “inline compose UI.” A practical pattern is: generate text via Apps Script and create a Gmail draft, then let the user review before sending.
Bottom Line
If you want ChatGPT inside Google Docs and Sheets, you’ve got two solid paths: quick add-ons for immediate results, or Google Apps Script + the OpenAI API for a command-based integration that actually feels native.
For teams and repeatable work, the template-driven workflow (generate into new Docs/structured outputs) tends to be the most reliable. Build once, iterate prompts, and keep the rest of your process inside Google where it belongs.
