Google Workspace, Microsoft 365 and Zoho Workplace are broad-suite candidates; Tuta and Fastmail are more email-centered options. Compare the actual plans your team would buy—not just the providers’ security labels—against your workflows, administration needs, migration scope and total cost.
What are the main alternatives to Proton Business?
Proton currently positions Workspace as a business bundle with Mail, Calendar, Drive, Docs, Sheets, Meet, VPN and Pass; its Premium level also includes Lumo. Its published Standard plan lists 1 TB of storage per user, up to 15 custom email domains and meetings for up to 100 participants. Premium lists 3 TB per user, up to 20 custom domains and meetings for up to 250 participants. These are Proton’s stated plan limits, not a comparison of independently tested performance, and should be confirmed on the live plan page before purchase.

Alternatives differ in how much of a company’s work they bundle. Google Workspace and Microsoft 365 are broad productivity environments; Zoho Workplace combines office and communications tools and offers both Mail-only and Workplace plans. Tuta and Fastmail are worth considering when business email, calendars and privacy are more central than matching a full office suite.
| Service | What its business offering covers | Most relevant when | Important qualification |
|---|---|---|---|
| Google Workspace | Custom-domain email, storage, video meetings and AI features; higher tiers list expanded storage, meeting features, retention/search and security controls. | Your team works in Google’s collaboration environment or wants email and shared productivity tools in one ecosystem. | Storage, meeting features and controls vary by tier. Confirm current regional pricing and plan details. |
| Microsoft 365 | Email and calendar, Office apps, Teams, OneDrive, SharePoint, identity and security tools. | Employees and processes depend on Outlook/Exchange, Word, Excel, PowerPoint, Teams or Microsoft identity and device tooling. | Capabilities and costs depend on the selected tier and add-ons. A displayed Business Standard with Copilot price is not a like-for-like baseline against plans without Copilot. |
| Zoho Workplace | Mail, calendar, tasks, WorkDrive, Writer, Sheet, Show, Cliq, Meeting, Vault and Directory. | You want integrated communications and office tools, or want to mix Mail-only and Workplace plans across staff. | Some enterprise pricing and capabilities are custom or limited by customer scale or region. |
| Tuta | Encrypted email, calendar and contacts, with custom-domain support and administrative tools. | Encrypted business email and calendar are the priority, rather than broad document-suite parity. | Tuta’s encryption, post-quantum and 99.95% SLA statements are vendor claims; verify the applicable plan and terms. |
| Fastmail | Business custom-domain email, calendar, security features and integrations with third-party services. | You want business email and calendar and are comfortable selecting other collaboration tools separately. | Its positioning is email-centered; account for the cost and administration of tools needed beyond email and calendar. |
Choose by the workflow your company needs to keep
Choose a broad suite if staff share files and work on documents every day
If employees routinely co-edit documents and spreadsheets, share files externally, chat and meet, an email provider alone will not replace the current working environment. Compare the specific document, file-sharing, meeting and chat features in each candidate’s plan. Google Workspace, Microsoft 365 and Zoho Workplace all describe broader bundles, but the names of their apps do not prove that sharing controls, file formats, meeting capacity or administration match your existing setup.

- Certified to FIPS 197 - High-level information security standard approved by the U.S. Government
- Brute-Force Password Attack Protection - Data is automatically erased after 6 failed access attempts. The data and encryption key are securely destroyed and the crypto drive is reset
- Rugged Double-Layer Waterproof* Design - Protects the crypto drive against knocks, drops, break-in and submerging in water. The electronics are shielded by a hardended inner case. The rubberised silicone outer casing provides a final layer of protection
- Auto-lock - The crypto drive will automatically encrypt all data and lock when removed from a PC/Mac or when the screen saver or "computer lock" function is activated on the host PC/Mac
- Secure Entry - Data cannot be accessed without the correct high-strength alphanumeric 8-16 character password. A password hint option is available. The password hint cannot match the password
Choose around existing identity and office dependencies
Inventory how people sign in and what their work depends on: Outlook/Exchange, Office files, Teams, SharePoint, OneDrive, Gmail, Google Drive, or integrations connected to those services. Microsoft 365 is a natural candidate to assess where Microsoft apps and identity tools are already embedded; Google Workspace is relevant for teams built around Google’s environment. Zoho’s mix-and-match plans may suit organizations that do not need the same bundle for every employee.
Keep email-centered options in the shortlist when that is the real requirement
Tuta and Fastmail are plausible alternatives when the need is custom-domain email and calendars rather than a complete replacement for shared office apps. Tuta documents encrypted email, calendars and contacts alongside user management and centralized billing. Fastmail describes email, calendars and integrations, with other services selected separately. If your employees need shared document editing, cloud file management, chat or meetings, list those requirements explicitly before treating either as a suite replacement.

Compare security and privacy by data type, not by label
“Secure” and “encrypted” do not by themselves establish that two services protect the same data in the same way. Proton markets its business services as end-to-end encrypted and says it cannot access protected organizational data. Tuta describes encryption for its email, calendar and contact data. Those are provider statements about their own services, not evidence of an independent, side-by-side security audit.

Include mail, calendars, contacts, files, documents, meetings, backups and administrative access in the review. A company’s compliance outcome also depends on its obligations, configuration, contracts and operating practices; marketing language alone cannot establish that a service ensures compliance. Map requirements such as retention, audit, access controls and applicable regional rules to current provider documentation and your organization’s legal and security review.

- Protection against brute force password attacks - Data is automatically erased after 6 unsuccessful access attempts. The data of the USB flash drive type c encryption with dual connectors is destroyed and the cryptographic drive is reset.
- Durable dual-layer waterproof design* — Protects the crypto reader from bumps, drops, run-in and immersion in water. The electronics are protected by a hardened internal case. Rubberized silicone outer case provides a final layer of protection.
- Auto-Lock —The cryptographic key automatically encrypts all data and locks when removed from a PC/Mac or when screen protection or "computer lock" is enabled.
- Secure Entry —Data on these flash drives cannot be accessed without the correct alphanumeric password of 8 to 16 characters. A password indication option is available for this flash drive. The hint cannot match the password.
- List the data categories your company handles and the protections required for each.
- Check admin roles, user lifecycle, directory or single sign-on needs, endpoint controls, retention and audit features at the exact plan tier.
- Confirm how external sharing works and whether your policies can govern it.
- Treat vendor-stated security claims and service levels as claims to verify in current documentation and terms.
Scope migration before choosing a replacement
Changing email providers can affect more than mailboxes. Proton describes Easy Switch as transferring Microsoft 365 emails, contacts and calendars, and says it offers business migration support. That stated scope is useful, but it does not establish that every data type or dependency in a particular Microsoft 365 environment will transfer automatically.
- Inventory what exists. Record mailboxes, contacts, calendars, aliases, domains, shared mailboxes, archives, files, identities, retention rules and third-party app connections.
- Map each item to a migration method. Confirm what the destination imports, what needs a separate export or transfer, and what must be rebuilt or retained elsewhere.
- Test with representative accounts. Check message history, attachments, calendar events, permissions, aliases, mobile access and business-critical integrations before scheduling a company-wide move.
- Plan cutover and recovery. Set a timeline for domain and mail routing changes, tell employees what will change, retain access to the old service as needed, and define how to handle missed or misrouted mail.
- Confirm support and responsibility. Ask each provider what its migration assistance covers, what your administrators must do, and how data is handled under the relevant contract and retention policies.
Calculate the full cost and verify plan limits
A per-user price is only one part of the decision. Compare the plan each employee actually needs, the number of users and domains, annual versus monthly commitment, regional taxes, storage and security add-ons, migration labor, and any separate applications needed to fill bundle gaps. A lower email subscription can cost more overall if the company must separately license documents, meetings, identity or file-sharing tools.

Plan terms change and may vary by region. Google’s pricing page showed US-dollar plan prices and a promotion whose displayed dates were later than October 4, 2026, so those promotional terms should not be treated as current. The page capture listed Starter at $7 per user per month after the displayed introductory offer, Standard at $14 and Plus at $22 as ongoing monthly prices; verify current prices, billing terms and features directly before relying on those figures. Microsoft’s reviewed US page displayed Business Standard with Copilot at $23.50 per user per month paid yearly. That is a specific tier with Copilot, not a comparable baseline for plans without it; confirm region, commitment and add-ons.
For every candidate, compare the exact allowances that constrain your use: per-user storage, custom-domain counts, meeting participant limits, retention, support terms and administration. Proton’s published Standard and Premium storage, domain and meeting limits are listed above; do not assume similarly named tiers at other providers include equivalent allowances.

A practical shortlist by company profile
- Microsoft-dependent company: Assess Microsoft 365 first if Outlook/Exchange, Office apps, Teams, SharePoint, OneDrive, Entra ID or Microsoft device and security tools are core dependencies. Validate the required tier and add-ons.
- Google-centered company: Assess Google Workspace where Gmail, shared Google files and Google collaboration workflows are already central. Compare tier-specific storage, meetings, retention and security controls.
- Company seeking a broad suite with bundle flexibility: Assess Zoho Workplace if its mail, office, file, communications and identity tools cover the workflow, especially if Mail-only and Workplace packages would suit different staff groups.
- Company prioritizing encrypted email and calendar: Assess Tuta, while checking what other collaboration tools the team will still need and verifying the plan-specific terms.
- Company prioritizing email and calendar with separately chosen tools: Assess Fastmail if its business email, calendar and integrations fit, and include the separate collaboration services in the cost and administration comparison.
Before deciding, have representatives from IT, security, finance and the teams who use the tools score the same requirements: workflow fit, privacy model, administration, collaboration coverage, migration scope, limits, regional availability and total cost. The shortlist should reflect what the company actually relies on, not an assumption that every product called an alternative replaces the same set of services.
