A project time tracker records work against projects or tasks, helping you see where hours went. To choose one, compare how people enter time, how the tracker organizes work, whether it handles billable hours, what its reports show, and how it fits the tools your team already uses. The right choice depends on whether you are tracking personal work, internal projects, or client work.
What a project time tracker should do
At its simplest, a tracker connects a time entry to a project or task. That makes it possible to review hours by work area rather than as an undifferentiated total. For teams, confirm that the project and task structure matches how work is assigned and reported; Clockify, for example, describes recording time spent on project tasks, while Toggl describes organizing work around clients and projects. Clockify’s project time tracker and Toggl Track’s project time tracking page describe these workflows.

Compare the ways people can record time
A tracker is useful only if its capture methods fit the way people actually work. Check whether it supports timers, manual entry, calendar-assisted entry, and access on the devices people use.

- Timer: Start and stop an entry as work happens. This can reduce reliance on memory, but requires people to remember to use it.
- Manual timesheet entry: Add or correct hours after the work. This can suit people who prefer a daily or weekly review, though entries depend on accurate recall.
- Calendar-supported entry: Use calendar events to help build or check a record of the day. Treat this as an aid to entry, not proof that every event reflects time actually spent working.
- Desktop, browser, and mobile access: Check that the available apps or extensions cover the places and devices where work happens.
Toggl describes timer and manual entry, calendar events, Pomodoro, desktop tracking, browser extensions, and mobile and desktop apps. These are vendor-described options; availability and terms can vary by product plan. See Toggl’s project time tracking overview.

Check project structure and migration options
Make sure the tracker can represent work at the level you need: project, task, and, for client work, client. If you are moving from another system or maintaining a project-management tool, check the specific import and integration paths rather than assuming a connection exists.
- Confirm that users can select the right project and task when logging time.
- Check whether clients, projects, or historical time data can be imported or exported in the format you need.
- Verify that integrations support your exact tools and are included in the plan you are considering.
Toggl describes importing projects and clients from CSV or selected tools and lists integrations with systems such as Jira and Asana. Its feature descriptions do not establish that every integration or import route is available on every plan. Check Toggl’s current product details before relying on a particular connection.

For client work, inspect the billable-time workflow
Client services teams should distinguish billable from non-billable time and check how rates are applied. Toggl describes billable flags, rates, and reports that show hours by client and project; Clockify describes marking entries billable and reviewing billable amounts in reports. Those capabilities can help prepare billing information, but a time report is not necessarily an invoice. Confirm the handoff to your invoicing process separately. Toggl’s overview and Clockify’s project tracker page describe their respective approaches.
If rates change over time, ask whether the product preserves historical rates or recalculates past work using current settings. The available product descriptions do not establish how every tracker handles historical rates, so verify this for the tool and plan you are evaluating. For context, Harvest’s project-manager guide describes the familiar connection between tracked billable hours and invoicing, but it is an older guide and should not be treated as evidence of current product features or pricing.

Use estimates and reports for planning
When you need to compare actual hours with a project budget, look for estimates and alerts. If you need to understand workload or project economics, inspect reports for utilization, costs, revenue, and hours by client or project. Toggl describes estimates, alerts, and time, utilization, and profitability reporting, as well as billable rates and client- or project-level hours that can inform invoicing. These are product descriptions, not independent evidence of improved productivity or profitability. The cited material does not establish which plan includes each feature; check the current plan details before choosing.
A practical selection checklist
- Define the work: Decide whether you need to track personal tasks, internal projects, client projects, or all three.
- Match capture to routine: Choose the entry methods and device access that people will reliably use.
- Test the structure: Confirm that projects, tasks, and clients map to the way you assign and review work.
- Trace the billing handoff: Follow a billable entry through its report and into your invoicing process; check rates and historical-rate handling if relevant.
- Check planning needs: Identify whether estimates, alerts, utilization, or profitability reports are necessary, then verify their plan availability.
- Verify integrations and data movement: Confirm support for your exact project tools and required import or export formats.
- Review current limits and suitability: Check official pricing, plan caps, feature entitlements, and privacy or security requirements directly with the vendor.
What not to assume from a feature list
Vendor pages are useful for understanding described workflows, but they do not by themselves establish independent performance, productivity gains, or whether a product meets a particular organization’s privacy and security requirements. The available feature descriptions also do not support a current cross-vendor price or plan-limit comparison. Confirm volatile details on official product and pricing pages for your region and intended plan before committing.
