A good PowerPoint presentation cuts through noise by making the audience’s route through an idea easier to follow. Give each slide one clear point, keep text and visuals readable, and use images or charts only when they help explain what you are saying. The deck should support the speaker—not compete with the message.
Start with what the audience needs
Before opening PowerPoint, decide what listeners should understand or do after the talk. Then shape the presentation around that outcome and the audience’s familiarity with the subject. A group new to the topic may need context and definitions; colleagues who already know it may need the decision, evidence, or next step up front.

A simple story structure can help connect the audience’s need to the idea you are presenting. Nancy Duarte describes the approach as “Creating desire in the audience and then showing how your ideas fill that desire moves people to adopt your perspective. This is the heart of the story.” It is a communication technique, not a guarantee that listeners will agree or act. Duarte’s audience-engagement guidance explains the approach.

How do I make my PowerPoint slides clearer?
Give each slide one job
Build each slide around one clear idea or question. Use its title to state the point, rather than relying on a vague label such as “Background” or “Results.” If a slide is trying to make several unrelated points, split it or decide which one matters most to the talk.

Microsoft’s 2026 PowerPoint design guidance also recommends focusing a slide on one clear idea or question. That is useful advice, not a rigid rule: a complex diagram or comparison may need several elements when they all support the same point. Microsoft’s PowerPoint design ideas offer examples.
Make text easy to read and easy to present
Use a simple, readable font, concise wording, and clear labels. Keep the slide text as a cue for the speaker rather than a script for the audience. Microsoft Support puts it this way: “The text should be a cue for the presenter rather than the full message for the audience.” If people need a detailed record to read later, provide notes or a separate document rather than shrinking the slide text until it is difficult to see.

Make every visual earn its place
Choose a chart, image, or diagram when it makes the point easier to understand than words alone. Label charts so the audience can identify what the values represent, and explain the takeaway rather than expecting people to infer it while you move on. A decorative image that does not clarify the message takes up attention without helping the audience follow.

Duarte’s guidance stresses that visual aids work when they are well designed and relevant to the audience. That does not mean every slide needs a picture: a clear sentence or a well-labeled chart may be the more useful choice. Duarte’s resource on designing slides and visual aids discusses how visuals can support a presentation.
Adapt the deck to the room and how people will use it
A slide that works on a laptop may be hard to read from the back of a large room. Consider the viewing distance, screen or projector, and whether the audience will see the deck live or read it afterward. Microsoft notes that a large room may call for larger type and that projection can affect color and cropping. Check the actual display when possible rather than assuming the slide will look the same on every screen.

Also account for what the audience already knows and what the presentation is meant to accomplish. A persuasive talk, a project update, and a training session have different jobs; a single visual style or amount of detail will not suit them all.
How can I keep an audience focused during delivery?
Design is only part of the presentation. Rehearse the transitions and timing so you can speak to the audience instead of reading the slides. Keep within the allotted time, check the equipment and projection before you begin, and watch whether listeners appear to be following. If a point is not landing, pause to clarify it rather than pushing ahead mechanically.

Microsoft’s delivery advice treats slides as support for the speaker, not a substitute for presenting. Practicing with the equipment and format you will use can help surface problems such as cropped content or unreadable labels before the audience sees them. Microsoft Support’s tips for creating and delivering an effective presentation cover both preparation and delivery.
Check accessibility before presenting or sharing
Readable design helps everyone in the room, but accessibility needs more than a clean layout. Check contrast and text readability, use meaningful link text, and run PowerPoint’s accessibility checks before sharing the deck. If practical, navigate through the finished slides with a screen reader or ask someone who uses one to review them.
Microsoft’s PowerPoint accessibility guidance explains ways to make presentations more accessible. Treat the automated check as one part of review, not a replacement for considering how people will actually access the material.

Microsoft 365 Life Hacks, in an article originally published in 2021 and updated in 2024, reports that 91 percent of presenters said a well-designed deck boosted their confidence, while 45 percent reported difficulty designing a good, creative slideshow. The page does not identify the underlying study in the text reviewed, so these figures should be understood as claims reported by Microsoft, not independently established estimates for all presenters.
The same article says 5 percent remembered statistics and 63 percent remembered stories after watching a presentation. It attributes the figures to researchers but does not identify them or the study in the text reviewed. They should not be treated as a general law of memory or as proof that stories always outperform data. A story can help explain why an idea matters, while clear evidence remains important when the audience needs to assess a claim. Microsoft 365 Life Hacks’ article on design and storytelling provides the figures and its attribution.
Quick Recap
A practical final check
- Can you state what the audience should understand or do after the presentation?
- Does each slide have one main point that supports that outcome?
- Can people read the text and chart labels from where they will sit?
- Does each visual clarify the speaker’s point?
- Have you rehearsed, checked timing, and tested the equipment and projection?
- Have you reviewed contrast, links, and accessibility?
