Visa mistakes that can lead to refusal include missing documents, inaccurate details, applying under the wrong visa category, weak supporting evidence and unusable photos or scans. These are recurring risk areas—not a worldwide ranking: requirements depend on your destination, nationality, application location and visa type. Check the issuing government’s current instructions before you apply, and remember that a complete application does not guarantee approval.
1. Leaving fields blank or omitting required documents
An application may be treated as incomplete if required questions are unanswered or requested evidence is missing. The U.S. Department of State lists incomplete forms or missing supporting documentation among grounds for visa ineligibility. Germany’s Federal Foreign Office, in guidance for Schengen applicants applying in India, warns that documents outside its checklist can leave an application incomplete. Before submitting
- Use the official checklist for your visa category and the place where you are applying.
- Answer every required field. If a question does not apply, follow the form’s instructions rather than leaving it blank by default.
- Check whether documents need translations, copies, originals or a particular submission format.
- Keep a copy of the completed form and submitted documents so you can check what you provided.
2. Entering inaccurate details or creating conflicts between records
Names, passport details, dates and other answers should be accurate and consistent with the supporting documents. Chinese Visa Application Service Center guidance dated 2026-08-28 identifies wrong, untrue, inaccurate or incomplete information as a possible refusal ground. Examples on that service’s guidance include mismatches such as passport numbers and travel dates; those examples describe its process, not a universal form rule. The UK Home Office also sets out consequences for false representations and documents in its Immigration Rules: Part Suitability.
Cross-check the details that commonly differ
- Copy your name and passport number exactly as they appear in your passport.
- Compare planned travel dates across the application, itinerary and reservations. If plans change, follow the destination’s instructions on updating the application or evidence.
- Check that answers about work, address, travel history and trip purpose agree with the records you submit.
- Do not guess or alter a fact to make the application appear stronger. If you discover an error after submission, consult the relevant embassy, consulate or official application service for the correction procedure.
3. Applying for a visa category that does not fit your trip
Visa categories authorize different activities. A visitor, study, work or transit application may have different eligibility rules, and the category must match what you actually plan to do. The U.S. Department of State lists failure to establish eligibility for the category sought among possible grounds for denial. Chinese consular guidance likewise identifies a mismatch between the stated purpose and visa type as a concern. Read the destination’s official category descriptions before choosing; labels and permitted activities vary by country.

For the United States, the visitor visa page explains the B-1/B-2 context and application requirements. Do not assume that a U.S. visitor category, or its rules, maps directly to another country’s visa categories.
4. Not providing the evidence requested for purpose, funds or departure plans
Some applications ask for evidence that supports the stated reason for travel, the ability to pay for it, or plans to leave when the permitted stay ends. For a U.S. visitor visa, an officer may request evidence of trip purpose, intent to depart and ability to pay. Employment or family ties may help show purpose and intent to return, but each case is assessed individually. The U.S. process says applicants qualify based on ties abroad rather than assurances from U.S. family or friends; an invitation letter or Affidavit of Support is not required for a U.S. visitor visa. Those statements apply to that process, not to all destinations.

Germany’s Schengen guidance for applicants in India, for example, identifies travel health insurance and return flight reservations among mandatory documents for that process. Other countries may require different evidence, and a document useful in one application may not be required in another. Start with the exact checklist and submit evidence that addresses its requirements, rather than adding unrelated paperwork. 5. Uploading photos, scans or itineraries that do not meet the instructions
A correct document can still be difficult to assess if a scan is blurry, cropped, incomplete or improperly oriented. Technical requirements vary by application. The Embassy of Japan in the United States lists blurry or low-resolution uploads and a missing or insufficiently detailed itinerary among common rejection reasons for the Japan eVisa process described on its short-term visit visa page. The page also states that 80% of online visa applications are rejected due to missing, incomplete or illegible supporting documents; that figure is attributed to the embassy page and is confined to its stated context, not a global rate or a statistic about first-time travelers.

For U.S. visas, photo specifications depend on the category. The State Department calls the photo a vital part of the application, recommends using a professional photo service and notes that the deciding embassy or consulate has discretion over acceptability. Its photo rules are not universal standards. For one U.S. immigrant-visa document-upload process, the department says scans must be clear, readable and not cropped. Its scan guidance advises: “If you cannot read the scanned document, re-scan it at a higher resolution.” Use the instructions for your own process, including any requirements for format, orientation, file size or image dimensions. File check before upload
- Open each file and verify that all text, edges, stamps and relevant pages are visible and readable.
- Check that the image is upright, complete and saved in an accepted format.
- Use a detailed itinerary when the destination asks for one; confirm it agrees with the application and any submitted reservations.
- For a U.S. photo, follow the rules for your visa category and application post rather than relying on a generic passport-photo standard.
What to do if a visa application is refused
A refusal notice and the destination’s official guidance determine what happens next. For U.S. applications, the State Department explains that a refusal may involve different legal grounds, including missing information or documents under section 221(g); the next step depends on the notice and case. Read the decision carefully and follow its instructions rather than resubmitting unchanged paperwork or assuming that every refusal has the same remedy. For an issued U.S. visa, the department’s visa FAQs advise checking the visa information against your passport.
