If you’re asking, “Does payroll sync with my accounting software?” or “What actually syncs between payroll and QuickBooks or Xero?”, the answer depends on the specific pairing: the connection may create a journal entry, create a bill, or require you to download and upload a file. The detail and automation also depend on account mapping, settings, edition, and country.
What does a payroll-accounting sync actually do?
A payroll integration typically transfers information needed to record payroll in the accounting ledger. It does not necessarily make the payroll and accounting systems complete, continuously updated copies of one another. In the examples documented by Gusto, QuickBooks Online receives a journal entry for each payroll; Xero can receive a bill or a manual journal, depending on edition and configuration; and QuickBooks Desktop uses a downloadable IIF file that a user uploads.

Mapping is the setup step that assigns payroll categories—such as wages, taxes, or benefits—to the accounting accounts where those amounts should land. The integration can only create useful entries if the mappings and other settings match the way the business keeps its books.

What transfers in the documented Gusto examples?
| Example connection | What lands in accounting | Automation and setup | Important limitation |
|---|---|---|---|
| Gusto + QuickBooks Online | A detailed journal entry for each payroll, using mapped accounts. Optional breakdowns can add detail by department, employee, job, or project; only one consolidation choice can be selected at a time. | Connect through the app directory, map payroll categories, choose sync preferences, and review sync status. Gusto documents manual re-sync steps. | Unmapped new payroll items can cause sync issues. Gusto’s documentation says non-US employee payrolls and Gusto or NEXT insurance invoices cannot sync through this connection. |
| Gusto + Xero | A bill on eligible Xero editions, or a manual journal. Optional settings can break entries down by department, employee, job title, or project and provide additional tax detail. | Integration settings determine grouping and detail. Gusto says its Business edition can use bills or journals, while Partner edition plans such as Cashbook or Ledger use journals. | Confirm the Xero edition and accounting object you need before relying on a particular workflow. |
| Gusto + QuickBooks Desktop | Payroll data in an IIF (Intuit Interchange Format) file. | After running payroll, download the IIF file from Gusto and upload it into Desktop. The account mappings must be set up. | This is a user-driven file transfer, not an automatic or real-time sync. A chart-of-accounts change may require a fresh upload. |
| QuickBooks Online Payroll setup import | Employee and pay history imported from ADP, Gusto, or Paychex, based on the reports selected for import. | A guided onboarding flow includes report upload and review of imported information. | This is a setup or migration import into QuickBooks payroll, not evidence of a recurring sync between the platforms. |

QuickBooks Online: what the journal entry includes—and how mapping works
Gusto says its QuickBooks Online integration reads the connected chart of accounts and asks an administrator to map Gusto payroll categories. All Gusto categories must be mapped during setup, although categories that do not apply to a particular payroll will not appear in that payroll’s journal entry. If a new payroll item has no mapping, the sync may fail or need attention.

- You can now print to blank check stock. Customization of the check layout is "not" possible at this time. Check the Help file for additional details.
- Electronic form filing for W-2, 1099-NEC and 1099-MISC is available through a third party service (there is a nominal fee for this service).
- Tax forms for 2022
- Includes tax tables for 2023
- Support for new 1099-NEC form
The entry is not necessarily a separate line for every tax and deduction. Gusto says employee taxes and employee benefit contributions are included in Gross Wages & Salaries in this integration; it does not separately track those amounts as additional company expense in the entry. Employee deductions are included in gross wage amounts and benefit liability along with employer contributions.
Gusto’s documented mapping flow does not support QuickBooks Online accounts receivable or accounts payable account types because those require a contact. Asset and liability accounts are supported without a contact. This constraint applies to the documented Gusto mapping flow, not necessarily to other providers or integrations.

- Email and fax reports to your accountant
- Create and track quotes, invoices and more
- Connect to the app with secure web access
Gusto’s QuickBooks Online documentation also says non-US contractor payments can sync, but non-US employee payrolls cannot sync to QuickBooks Online at this time. Gusto or NEXT insurance invoices cannot sync through this connection. These are product-specific statements; check the current Gusto integration guide for changes.
QuickBooks Desktop: why a file upload is different from a sync
QuickBooks Desktop uses a manual IIF workflow in Gusto’s documented integration. You download the file after running payroll and upload it to Desktop. Gusto describes this as an offline workflow rather than an automatic online sync. Its guide lists Desktop versions that support IIF imports, including Mac, Pro, Premier, and Enterprise, but version support should be confirmed in the current guide before setup. The same guide says Accounts Receivable and Accounts Payable types are unsupported in its mapping flow.

Because the file is imported by a person, this workflow has an extra handoff compared with an online integration. Changes to the chart of accounts may also mean creating and uploading a new file. See Gusto’s QuickBooks Desktop instructions for the current steps and supported versions.

Xero: confirm whether you need a bill or a journal
Gusto’s Xero integration can create a bill on eligible Xero editions or a manual journal on all Xero editions, according to its guide. Gusto’s product page says Business edition can use bills or journals, while Partner edition plans such as Cashbook or Ledger use journals. The available accounting object matters: verify your Xero edition and the intended bookkeeping workflow rather than assuming that “Xero integration” always means the same output.

Grouping and additional detail are configurable. Gusto describes breakdowns by department, employee, job title, or project, as well as additional tax detail. Its product page reports that 42,000+ companies have connected the integration; this is a vendor-reported, changeable count, and the page does not state a publication date for the statistic. See the Xero setup guide and Gusto’s integration page for current options.

A recurring accounting integration and a payroll-provider migration solve different problems. A ledger sync records payroll in accounting—such as by creating a journal entry or bill. By contrast, Intuit’s QuickBooks Online Payroll setup flow can import employee and pay history from ADP, Gusto, or Paychex using selected reports. It then asks the user to review imported employees, work locations, pay schedules, and personal, job, and pay details. That onboarding process is not proof that those records continue syncing between the systems afterward. See Intuit’s import instructions, updated August 5, 2026.
What to check before relying on an integration
- Identify the accounting output. Confirm whether the integration creates a journal entry, a bill, a file for manual import, or another object. Ask which payroll period or event triggers it.
- Check edition, plan, and country. Confirm support for the exact online or desktop edition, payroll plan, and employee locations involved. A provider’s integration may have exclusions.
- Review mappings and desired detail. Assign payroll categories to appropriate accounts, then check whether grouping by department, employee, job, or project is available and how it changes the entry.
- Test an actual payroll entry. Compare the resulting accounting entry with payroll reports and the intended chart-of-accounts treatment before depending on it for routine bookkeeping.
- Decide who monitors failures. Establish how to check sync status, resolve missing mappings or authorization problems, and retry a failed transfer.
Why a sync can fail—or need a manual retry
For QuickBooks Online, Gusto identifies lost authorization and missing mappings as common causes of failed syncs. Its integration page provides status information and manual re-sync steps. Gusto also says an entry must be unreconciled before it can be re-synced; that includes unmatching a bank transaction. A successful connection therefore does not remove the need to review the accounting result and its reconciliation state. See Gusto’s QuickBooks Online troubleshooting instructions.
What if your accounting software is not one of these examples?
Gusto’s integration directory points users of NetSuite, Sage, or similar products toward its General Ledger Mapper as another route for adding payroll entries. That is not evidence that those setups are automatic or identical to the QuickBooks Online or Xero integrations. Check the provider’s documentation for the specific workflow and confirm what it transfers. The Gusto app directory overview lists its integration options.
