In classic Outlook for Windows, choosing an Office theme changes the look of Microsoft 365 desktop apps; in new Outlook and Outlook on the web, appearance settings are specific to those Outlook experiences. Dark mode, reading-pane brightness, and the appearance of an email message are separate controls—not one theme that necessarily syncs across every app and device.
What “theme” means in Outlook and Microsoft 365
The word theme can refer to three different things:

- Office theme: the colors and appearance of the app interface. Microsoft describes it as the color scheme for the Office program.
- Dark mode and reading controls: settings that affect an app’s appearance or how message content looks while you read or compose.
- Email stationery or message theme: formatting for an HTML email, such as backgrounds, fonts, bullets, colors, and effects. It changes message content, not the program interface.
Microsoft distinguishes the Office program’s color scheme from themes used in individual Outlook or Access files in its Outlook and Access theme guidance. That page covers specified versions, so its steps and features should not be assumed to apply identically to every Outlook client.

These are the paths and behaviors documented by Microsoft; available controls can vary by client and version. The documentation does not establish that every theme choice is synchronized across all Outlook versions, accounts, and devices.

Classic Outlook: one Office theme across desktop apps
In classic Outlook for Windows, go to File > Office Account and select the Office theme. Microsoft states, “The theme you choose will be applied to all Microsoft 365 desktop applications.” This cross-app behavior is specific to the classic Outlook desktop instructions; it does not mean that a theme chosen in every Outlook client controls every Microsoft 365 app.
The Black Office theme turns on dark mode by default, but it does not require every message surface to remain dark. Outlook has separate controls for message backgrounds, including an option called “Never change the message background color.” See Microsoft’s classic Outlook dark-mode instructions for the documented controls.

New Outlook and web Outlook: separate appearance controls
New Outlook
In new Outlook, open Settings > General > Appearance, select Dark mode, and save. This is an Outlook-specific appearance setting; Microsoft’s instructions do not say that it changes Word, Excel, or other Microsoft 365 apps.

If the reading pane is too dark, use Turn on the lights to brighten it. Microsoft also documents a Light Reading Pane option and a compose-window background toggle. These controls separate the surrounding Outlook appearance from the surface used to read or write a message.

Outlook on the web and Outlook.com
For Outlook on the web or Outlook.com, open Settings > General > Appearance and choose Dark mode. The Turn on the lights control can brighten the reading pane and restore a message’s original formatting for viewing. These are web-mailbox and reading controls, not a documented way to set the theme for desktop Microsoft 365 apps. Microsoft’s instructions for these experiences are in its dark-mode guide for Outlook.com and Outlook on the web.
Microsoft 365 themes outside Outlook
Windows
In a Microsoft 365 app on Windows, open File > Options > General and find the Office Theme dropdown. Microsoft lists White, Dark Gray, Black, Colorful, and Use system setting. The system option matches Windows appearance; on newer Windows versions, an app may also show a Mica background effect, which lets the desktop background show through the app.

Mac
Microsoft 365 apps on Mac can match the Light or Dark appearance selected in macOS. If you use the per-app Turn off Dark Mode preference, it affects only the current app; repeat the override in other apps where you want it. Microsoft’s Microsoft 365 appearance guidance describes these system and app-level options.

Email themes change message formatting, not app colors
Outlook stationery and message themes style HTML-formatted emails. Depending on the feature and version, they can include a background or pattern, fonts, bullets, colors, and effects. They are not the same as an Office theme: changing stationery changes the email being composed, while changing the Office theme changes the program’s interface.
That distinction matters when a message looks different from the Outlook window around it. Dark mode may affect the app or reading surface, while message-background and formatting controls determine how the email itself appears. The exact behavior depends on the Outlook experience and its available controls.
Which setting should you change?
- To change classic Outlook and other Microsoft 365 desktop apps together: use the Office theme in classic Outlook’s File > Office Account area.
- To change new Outlook or web Outlook: use that client’s Settings > General > Appearance controls.
- To make Microsoft 365 on Windows follow Windows: choose Use system setting under the Office Theme dropdown.
- To adjust only a dark reading pane or message background: use Outlook’s reading or message-background controls rather than changing the Office theme.
- To format an email for recipients: use stationery or message-theme formatting for HTML mail, not the app’s appearance setting.
For any change, first identify whether you are using classic Outlook, new Outlook, the web version, or a Mac app. Similar-looking dark-mode controls have different scopes, and Microsoft’s documentation does not claim that one choice produces identical appearance across all versions and devices.
