When Outlook reply/forward status icons don’t show, the problem usually isn’t the message itself—it’s the way the message list is being rendered (view settings, conversation threading, columns, filters) or a corrupted client cache.
This guide focuses on Microsoft Outlook across Windows (classic and new), Mac, and Outlook on the web. You’ll get practical steps you can run in minutes, plus deeper checks if the icons still won’t appear.

Terminology note: Outlook can show reply/forward “status” as icons, labels, or read/unread indicators depending on your view and configuration. The fixes below target the most common pathways that hide those indicators.

What forward/reply status icons actually are in Outlook
In Outlook, replied/forwarded “status” isn’t always stored as a single universal flag you can count on. Often, Outlook renders status cues from one or more of these sources:
#1 Best Overall
- [Ideal for One Person] — With a one-time purchase of Microsoft Office Home & Business 2024, you can create, organize, and get things done.
- [Classic Office Apps] — Includes Word, Excel, PowerPoint, Outlook and OneNote.
- [Desktop Only & Customer Support] — To install and use on one PC or Mac, on desktop only. Microsoft 365 has your back with readily available technical support through chat or phone.
- Message metadata (e.g., whether a message is a reply or forward in a conversation thread)
- Conversation view threading (grouping messages hides or rearranges how cues are displayed)
- View layout (columns, fields, and list formatting controls whether certain icons/labels show)
- Client cache/state (especially for Exchange/Microsoft 365 accounts)
That’s why two users in the same mailbox can see different status visuals—because their Outlook view and cached state differ.
Common reasons Outlook icons for reply/forward status disappear
Here are the most frequent root causes:
- Conversation view enabled changes how message items are grouped and which cues are shown in the message list.
- Custom view or column layout hides the fields/icons that drive reply/forward indicators.
- Filters (Focused Inbox, search filters, or rules) hide messages or alter what you see.
- Corrupt view cache / OST cache can cause list rendering glitches or missing status cues.
- Add-ins (classic Outlook) can break rendering or message list behavior.
- New Outlook vs classic Outlook uses different UI and view controls, so an option may not exist the same way.
Before you change anything: prerequisites and quick checks
Do these first; they save a lot of time.
- Confirm you’re not looking at the wrong folder. Reply/forward status cues often appear differently across Inbox, Sent Items, and the folder where you filed the message.
- Check if icons show on other messages. If only one thread is affected, the issue may be with that conversation or a server-side state.
- Compare with Outlook on the web. Open the same mailbox in a browser. If the icons appear there, the problem is almost certainly your desktop view/cache.
- Look for a “current view” indicator. If you recently changed view/layout, that’s your fastest path to a fix.
Fix 1: Switch to a standard Mail view (reset columns and layout)
Most “missing icon” cases boil down to view configuration. Resetting the view restores the default message list rendering.
Outlook for Windows (classic)
- Open Outlook and go to Mail.
- On the View tab, in the Current View group, select Change View.
- Choose Compact or Single (either is fine for testing).
- If you still don’t see status cues, repeat and select View Settings > Reset View.
Outlook on the web
- Open mail.office.com.
- In the message list, look for View settings (often a gear icon).
- Switch between available views (e.g., “Compact” vs “Comfortable,” if present) and confirm the reply/forward cues show.
Outlook for Mac
- In Outlook for Mac, go to the folder where you’re missing icons (e.g., Inbox).
- Use the view menu (commonly under View) to switch layouts (e.g., Compact vs Expanded).
- If you see options for columns or list formatting, restore defaults.
Fix 2: Turn off Conversation view and re-check the message list
Conversation view is useful, but it often changes what status cues are visible in the list. Turning it off helps you confirm whether threading is masking reply/forward indicators.
Recommended Free Tools
Outlook for Windows (classic)
- Go to the View tab.
- Under Show, find Show as Conversations.
- Uncheck Show as Conversations.
- Return to the message list and re-check the same thread.
Outlook on the web
- Open Outlook on the web.
- Open Settings (gear icon).
- Find Mail > Layout or Messages.
- Turn off Conversation view.
Fix 3: Verify the message is in the right message context
Reply/forward “status” cues can be thread-dependent. If you’re viewing a filtered or archived view, Outlook may not show the icon even when the message is technically a reply or forward.
- Check Inbox, Sent Items, and the folder where the message actually lives.
- If you’re viewing a search result, clear the search and go back to the folder.
- Try viewing the conversation by clicking the message itself, then look for reply/forward actions or headers.
Fix 4: Confirm the data that drives status icons is present
If the message truly lacks the metadata Outlook uses for reply/forward cues, no client-side setting can “manufacture” icons. Still, you can validate quickly.
- Open one affected message.
- Check the subject thread and message headers for indicators like “Re:” or “Fwd:” in the subject (not always present, but common).
- Compare with a message where the icons do show. If the “good” message displays cues in the same view, the issue is likely view state; if both are missing everywhere, it may be how that message was created (rules, SMTP forwarding, or client-to-client behavior).
If Outlook on the web shows the correct reply/forward cues but your desktop does not, stop at view/cache fixes.

Fix 5 (Outlook for Windows classic): Reset the navigation pane and view cache
Sometimes the message list renders incorrectly because of cached view state tied to the mailbox.
Reset the view
- Go to View tab.
- Select Change View.
- Choose Compact (then switch back to your preferred view if needed).
- Open View Settings > Reset View.
Test with a fresh folder selection
- Switch to another mailbox folder (e.g., Sent Items).
- Return to the original folder (e.g., Inbox).
- Re-check the missing icons in the message list.
Fix 6 (Outlook for Windows classic): Start in Safe Mode to rule out add-ins
Add-ins are a common reason list rendering and icons go missing. Safe Mode helps isolate that quickly.
- Close Outlook.
- Press Win + R, type
outlook.exe /safe, and press Enter. - Wait for Outlook to open in Safe Mode.
- Go to the affected folder and check whether reply/forward status icons appear.
If they appear in Safe Mode, disable add-ins:
- Open Outlook (normal).
- Go to File > Options > Add-ins.
- At the bottom, next to Manage, choose COM Add-ins and click Go.
- Uncheck add-ins one by one, restart Outlook, and test after each change.
Fix 7 (New Outlook): Reset the app and check view options
New Outlook has a different settings model. When icon/status rendering is broken, a reset often fixes UI state issues.
Reset New Outlook UI state
- Open New Outlook.
- Go to Settings (gear icon).
- Look for General or Reset options (naming varies by rollout version).
- If an explicit reset exists, use it and then reload your mailbox.
Force a view re-check
- In the message list, switch layouts if available (e.g., compact vs comfortable).
- Toggle conversation-related options (if present) and test again.
If New Outlook is still wrong but Outlook on the web is correct, switching briefly to classic Outlook (if your org allows it) is a useful comparison and often confirms the issue is client-side.
Fix 8 (Outlook on the web): Check view, conversation settings, and filters
If icons are missing in the web client too, the cause is more likely mailbox/server state (or the specific message properties) rather than desktop UI.
Outlook on the web checks
- Verify you’re viewing Inbox (not a custom folder view or saved filter).
- Turn off Conversation view in Settings.
- Disable Focused Inbox (if available) to ensure nothing is being hidden into a different tab.
- Clear any active search query and reload the page.
If the icons show after disabling filters/conversation view, you’ve confirmed the root cause.

Fix 9 (Outlook for Mac): Rebuild the view and test in a fresh session
On macOS, view/layout corruption can happen, especially after migrations or large mailbox moves.
Try a minimal test
- Quit Outlook completely.
- Reopen Outlook and wait for the mailbox to finish syncing.
- Open the affected folder and re-check the icons.
Reset list formatting
- Switch the message list layout (Compact/Expanded).
- Check any column settings and restore defaults.
When it still fails: deeper troubleshooting
If none of the view toggles help, you’re likely dealing with cache corruption or a deeper client rendering issue.
Clear cached Exchange data (Windows/classic)
If you use Cached Exchange Mode, clearing it can force Outlook to rebuild local data.
- Close Outlook.
- Open Control Panel > Mail (or search “Mail” in Windows).
- Select your Outlook profile and open Change.
- Ensure Use Cached Exchange Mode is set (you’ll usually toggle it off, apply, restart, then toggle back on).
- Restart Outlook and wait for synchronization.
Gotcha: This can take time for large mailboxes. Don’t interrupt the initial sync.
Repair Office/Microsoft 365 apps
If Outlook’s UI components are malfunctioning, a repair can fix broken installs.
- Open Windows Settings > Apps > Installed apps.
- Find Microsoft 365 or Office.
- Choose Modify > select Quick Repair.
- If that doesn’t work, run Online Repair.
Check for OST/cache corruption and account connectivity
If only one account is affected, test the same mailbox via Outlook on the web. If web shows correct icons, focus on your local Outlook profile.

Comparisons: what to check if the icons are missing vs the status is wrong
These two symptoms point to different causes:
| Symptom | Most likely cause | Fastest test |
|---|---|---|
| Icons/labels don’t show at all | View layout, conversation view, or cached rendering | Toggle Conversation view and reset view; compare with Outlook on the web |
| Status is incorrect (shows replied/forwarded when it isn’t) | Wrong thread grouping, server threading differences, or message classification | Open the same message on the web and verify headers/subject changes |
| Only some folders affected | Folder-specific view settings or filters | Check the same message from Inbox vs Sent Items |
Common mistakes that keep the icons hidden
- Relying on a single client to confirm the issue. Always compare with Outlook on the web.
- Forgetting Conversation view is folder-specific. It can be on in Inbox but off in Sent Items.
- Keeping a custom filter/search active. Even a small query can remove the messages where status cues would appear.
- Assuming Safe Mode fixes everything without testing normal mode. After disabling add-ins, restart and validate again.
FAQs
Why do I see reply/forward icons in Outlook on the web but not on Windows?
That usually means your Windows Outlook view/layout or cache is the culprit. Reset the view (View > Change View > View Settings > Reset View) and toggle Conversation view off, then retest.

Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Does Safe Mode disable all icons and status indicators?
No. Safe Mode only disables add-ins. If the icons appear in Safe Mode, the missing icons were caused by an add-in interfering with Outlook’s message list rendering.
Can organization policies hide reply/forward status cues?
They can, indirectly, by controlling which Outlook version features are enabled, forcing conversation threading, or restricting add-ins. If Outlook on the web shows the icons, your org is less likely to be the direct cause.
What if only one email thread is missing the reply/forward status icons?
Open the same message in Outlook on the web and compare headers/subject threading cues. If web also hides it for that thread, the message may have been created/relayed in a way that doesn’t produce consistent reply/forward metadata.
Will rebuilding the OST fix missing reply/forward icons?
It can. If your desktop cache is corrupt, clearing cached Exchange data or creating a new Outlook profile is often effective—especially when the issue affects multiple folders and multiple message types.

When Outlook icons aren’t showing forward/reply status, start with the fastest, most common fixes: reset the message view, toggle Conversation view, and compare behavior with Outlook on the web. That combination quickly distinguishes view/layout problems from mailbox/message metadata issues.
If the icons are still missing after view resets, move to deeper checks: Safe Mode (classic Outlook), cached data rebuild, and—if needed—a repair or new profile. In most real-world cases, one of those steps restores the reply/forward status indicators within one troubleshooting session.
