Online Payments: What Happens After You Click Pay?

An online card payment is routed to the issuer for approval, then cleared and settled later. Here’s what happens at each step—and why timing varies.

When you pay by card online, your checkout sends a transaction request through the merchant’s payment provider and a card network to your card issuer. The issuer approves or declines it; if approved, the checkout can confirm your order. Clearing and settlement—the later reconciliation and movement of funds—happen afterward. This walkthrough follows the card-payment route; bank transfers and other online methods can use different systems.

What happens when you pay online by card?

  1. Checkout prepares the request. You enter card details or use a saved credential, then submit the order. The merchant’s checkout or payment service packages the request. In some transactions, a token—a digital identifier that stands in for sensitive card details—is used instead of sending the card number in the same way.
  2. The request is routed to the issuer. The merchant-side provider sends it to an acquiring institution or processor, which routes it through the card network to the card issuer. The Federal Reserve describes the network’s role in electronic debit transactions under Regulation II as routing information from the acquirer to the issuer for authorization, clearance, and settlement. Federal Reserve: Regulation II overview
  3. Identity and risk checks may take place. Authentication checks whether the person initiating the payment appears to be genuine. Depending on the supported checkout flow, it may happen quietly in the background or ask you to verify with a one-time password, biometric check, or app confirmation. Visa describes these possibilities for EMV 3-D Secure; they are not present in every transaction. Visa Secure
  4. The issuer approves or declines. The issuer evaluates the request and returns an authorization response. The network relays that response back through the payment chain to the merchant’s checkout. Visa describes authorization as the issuer’s approval or decline decision. Visa rules and terminology
  5. Clearing and settlement come later. After authorization, transaction information is submitted and reconciled among the participants. Settlement calculates their net positions and facilitates movement of funds. These are later processing steps, not the same event as the approval displayed at checkout. Visa rules and terminology

Where does your card information go?

Your card details enter the merchant’s checkout or the payment service handling checkout. From there, payment information is routed through the merchant-side acquiring or processing arrangement and the card network to the issuer for a decision. The exact parties and technical route depend on the payment arrangement.

Some flows use tokenization: a unique digital identifier replaces sensitive payment information, commonly the primary account number. A token can be limited to a merchant, device, or transaction context. It is a security technique available in supported flows, not proof that every merchant or payment uses a token. Authentication, authorization, clearing, and settlement: what is the difference?

Step What it answers or does
Authentication Checks whether the person initiating the transaction appears to be genuine. It may be frictionless or require an extra verification step.
Authorization Gets the issuer’s approval or decline for the transaction request.
Clearing Submits and reconciles transaction information after authorization.
Settlement Calculates participants’ net financial positions and facilitates movement of funds.

These stages are related but not interchangeable. A successful authentication does not itself approve the purchase, and an authorization is not the final transfer of funds to the merchant.

Why can checkout say “approved” before the merchant gets the money?

“Approved” refers to the issuer’s authorization response reaching the merchant. Clearing and settlement follow, and the merchant’s funding schedule depends on its payment-service arrangement. The U.S. Treasury’s Card Acquiring Service, for example, says it provides next-day funds availability for its card transactions and settles prior-day activity to the Treasury account at the Federal Reserve before 2 p.m. Eastern Time. That is an operational detail of this federal program, not a universal timetable for online purchases. U.S. Treasury: Card Acquiring Service

Does every online payment follow this route?

No. This is the familiar card-payment path. Bank transfers and other payment methods may use different payment systems and processing steps. Visa’s glossary, for example, distinguishes card payments from money transfers and ACH payments. Visa rules and terminology

For an online card purchase, the useful distinction is that the screen response comes from authorization, while reconciliation and movement of funds occur afterward. The time between those events depends on the arrangement rather than a single rule that applies to every merchant.
