Windows copies the selected area to the clipboard; OneNote places that clipboard image at the cursor. The workflow applies to the OneNote desktop app on Windows 11, including the Microsoft 365, OneNote 2024, OneNote 2021 and OneNote 2016 desktop editions documented by Microsoft.
The shortcut and the complete workflow
For the normal Windows 11 desktop workflow, follow these steps:
- Open the window, document or webpage you want to capture and bring the relevant content into view.
- Press Windows+Shift+S.
- Wait for the screen to dim, then select the area you want to keep.
- Switch back to the OneNote desktop window.
- Click the exact position on the page where the image should appear.
- Press Ctrl+V.
The final paste is essential. The Windows shortcut creates a clipboard image; it does not automatically insert the clipping into whichever OneNote page you are editing.
What you need before pressing the keys
Use OneNote for Windows desktop
Microsoft’s shortcut documentation covers the Windows desktop application. Its support material lists Microsoft 365, OneNote 2024, OneNote 2021 and OneNote 2016 as supported desktop versions. The browser version and other OneNote clients can have different commands and behavior, so confirm that the desktop app is open if the shortcut does not behave as described here.

Keep the OneNote notification-area icon active
Microsoft’s keyboard-shortcut reference says the OneNote icon must be active in the Windows taskbar notification area for its “Insert a screen clipping” shortcut entry. If the icon is missing or inactive, the Windows capture overlay can still appear, but OneNote’s own clipping command may not be available through that integration. Open OneNote, check the notification area near the clock, and enable the icon if your Windows taskbar settings hide it.
Account for your keyboard layout
Microsoft documents these key combinations using a US keyboard layout. On another layout, the physical key or printed symbol corresponding to a key can differ. If the labels on your keyboard do not match the US arrangement, use the equivalent Windows, Shift and S keys for your layout or use the OneNote menu route described below.
Detailed capture steps
1. Prepare the source
Scroll or resize the source until the exact information you need is visible. A screen clipping records pixels, not the underlying document structure. Anything outside the selected rectangle is excluded, and content that is off-screen is not included in that image.
2. Start Windows capture
Press Windows+Shift+S. Windows dims the display and starts its screen-capture selection interface. This is a capture command, not a OneNote navigation command, so the source can be another application, a File Explorer window or a webpage.

3. Select the area
Drag across the portion of the dimmed screen that you want to preserve. Release when the selection covers the required content. Windows places the resulting image on the clipboard. If you selected the wrong area, start the shortcut again rather than trying to edit the clipboard selection inside OneNote.
4. Choose the OneNote insertion point
Return to OneNote and click inside the page at the location where the clipping belongs. Click after existing text to append the image, or click in an empty area to place it separately. OneNote inserts the image at the current cursor location when you paste.
5. Paste
Press Ctrl+V. The selected screen area appears as a picture on the page. If you paste into another application first, that application may consume or replace the clipboard contents, so paste into OneNote immediately after making the selection when possible.

The menu and Alt+N+R routes are scoped to the OneNote desktop workflow described by Microsoft. They are useful when Windows keyboard mappings differ or when you prefer visible commands.
What a OneNote screen clipping actually is
A static image
Microsoft describes a screen clipping as a static image representing a snapshot of information. It has no live connection to the application or webpage that supplied the pixels. If the source changes later, the picture in OneNote does not update. To record a later state, capture and paste a new image.
Clipboard content, not a source link
The image is transferred through the Windows clipboard. Pasting it into OneNote preserves the captured appearance, but it does not preserve a clickable relationship with the original window, file or URL. Add your own note or hyperlink separately if you need readers to find the source again.
Text can still be recovered
Although the clipping is an image, Microsoft notes that OneNote can copy text from pictures and paste it as editable text. This can help when you need to quote a small region, search words from a capture or make the content accessible without retyping it. Recognition quality depends on the legibility of the captured pixels; it is not the same as copying the original document text.

Troubleshooting the shortcut
Nothing happens when you press the shortcut
- Confirm that you are pressing the Windows logo key, Shift and S together, not the letter combination shown by a different application.
- Check whether another utility has remapped the Windows shortcut.
- Try Insert > Screen Clipping or Alt+N+R in OneNote desktop.
- Verify that OneNote is the desktop edition and that its notification-area icon is active, as required by Microsoft’s shortcut reference.
The screen dims, but the image is not in OneNote
The capture probably succeeded but has not been pasted. Return to OneNote, click the target page location and press Ctrl+V. Starting another copy or using a clipboard manager between capture and paste can replace the image, so repeat the selection and paste immediately.
The paste appears in the wrong place
OneNote inserts clipboard content at the current cursor position. Undo the paste with Ctrl+Z, click the intended location and paste again. For a clipping that should stand alone, click an empty area rather than inside an existing paragraph.
The selection does not include everything you need
A clipping is limited to what was visible and selected. Scroll the source, resize its window or capture separate regions. If the source is a long webpage or document, several labeled clippings are often easier to read than one tiny full-screen image.
The keys do not match your keyboard
The Microsoft reference uses US keyboard layouts and warns that other layouts may differ. Use the equivalent physical keys for your layout, or use the OneNote menu command to avoid layout ambiguity.

The image looks blurry or text is hard to read
Capture at a larger on-screen size, maximize the source window and select only the relevant region. Because the result is a pixel snapshot, enlarging a small clipping later cannot restore detail that was not captured.

- Capture only the evidence needed for the note; smaller images are easier to scan.
- Leave enough surrounding context to identify the window, heading or date.
- Add a caption in OneNote when the source may change, since the image itself will not refresh.
- Use OneNote’s text-from-picture function when a short excerpt must become editable, then proofread the recognized text.
- For a sequence of states, paste each capture separately and label it rather than assuming one image will remain current.
