OneDrive Folder Backup: Which Windows 11 Folders Should You Sync?

Use OneDrive’s Manage backup settings to sync selected Windows 11 folders, then verify the upload and understand how deletions and recovery work.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To back up selected Windows 11 folders to OneDrive, open the OneDrive cloud icon in the notification area, select Settings > Sync and backup > Manage backup, turn on the folders you want, and choose Save changes. Let the initial sync finish and verify its status before relying on the cloud copies. This feature syncs changes—including deletions—so it is useful for access across devices but is not, by itself, a permanent archive of every past version.

Before you turn on folder backup

  • Sign in to the intended account. Windows 11 includes OneDrive; open its cloud icon and sign in with the personal or work/school Microsoft account where you want these files stored. Microsoft documents the setup in Sync your computer’s files and folders with OneDrive.
  • Check available cloud storage. Microsoft’s current support guidance says a free Microsoft account includes 5 GB of OneDrive storage. That capacity is shared with other OneDrive content on the account, so check your remaining space before selecting large folders. Windows Backup guidance also explains the storage requirement.
  • Choose folders deliberately. The standard folders Microsoft identifies are Desktop, Documents, Music, Pictures, and Videos. You do not have to select every folder; choose the ones you need available in OneDrive.
  • Remember that sync includes deletions. Adding, editing, or deleting a synced file updates the OneDrive copy too. Sync keeps locations aligned; it does not guarantee that all previous versions remain available.

Turn on OneDrive folder backup

  1. Select the OneDrive cloud icon in the Windows notification area. If it is hidden, open the notification-area overflow. The icon’s appearance can vary with sync status.
  2. Open the OneDrive menu and choose Settings.
  3. Go to Sync and backup, then select Manage backup.
  4. For each folder you want protected, turn on the option marked Not backed up. Available folders and labels can vary by account, Windows update, and organization policy.
  5. Select Save changes and follow any prompts. Keep the device connected while OneDrive uploads the selected content.
  6. Check the backup or sync status in OneDrive settings or Windows Backup. Do not assume the files are online as soon as you save the selection; wait until syncing is complete.

Choose a setup path that fits your account

You can manage OneDrive folder protection directly or use Windows Backup settings. These paths overlap in purpose but are not interchangeable in account eligibility.

OneDrive Settings > Sync and backup > Manage backup Managing which standard folders OneDrive syncs OneDrive supports personal and work/school accounts, although an organization may disable folder backup.
Windows Settings > Accounts > Windows backup or the Windows Backup app Personal-account users who also want Windows settings and app preferences in their backup configuration Microsoft describes Windows Backup as consumer-focused; work/school accounts are not supported in that app. This limitation does not mean OneDrive folder backup is unavailable to all work/school accounts.

Understand what happens to synced files

Online-only and offline files

With Files On-Demand, a file may be online-only, locally available, or always available on the device. Online-only files save local disk space but need an internet connection to open. If you need a file without internet access, choose Always keep on this device for it in File Explorer.

Folder backup is synchronization, not a separate archive

OneDrive mirrors additions, edits, and deletions between the selected PC folders and OneDrive online. A deletion can therefore propagate to the cloud. Recovery options can help in some cases, but their availability and retention depend on the account and feature.

Verify backup and fix common problems

If a folder will not turn on or files are not appearing online, check these likely causes:

  • Storage or sync status: Confirm the account has room and OneDrive has finished uploading. A selected folder is not proof that every file has synced.
  • Managed-account restrictions: An IT administrator may disable folder backup for work/school accounts. A domain-connected folder can also affect availability; ask your administrator before changing managed-device settings.
  • Folder selection: Check that the intended folder is selected to sync to the PC. Microsoft notes that Pictures-related issues may involve the Pictures, Screenshots, or Camera Roll folders.
  • File names and paths: OneDrive does not sync names beginning with a space or containing \ : / * ? < > " |. Microsoft’s current guidance also says individual files over 250 GB cannot sync, and the full Windows path—including the file name—should be under 260 characters.
  • Files in use or unsupported folder structure: Close open files before changing folder protection. Certain nested important folders and file-system links can prevent backup.

Microsoft’s detailed eligibility and troubleshooting notes are in Back up your folders with OneDrive.

Stop backing up a folder without losing the copy you want

In OneDrive Settings > Sync and backup > Manage backup, turn off the folder and follow the prompt about where to keep its files. Choose carefully: content kept only in OneDrive will no longer appear in that PC folder, while content kept only on the PC will be removed from OneDrive. If the folder contains cloud-only files, Microsoft advises changing them to Always keep on this device before stopping backup. Review the choices in Microsoft’s folder-backup instructions before confirming.

Recover deleted or changed files

Restore a deleted file

Sign in to OneDrive on the web, open Recycle bin, select the file, and choose Restore. Also check the Windows Recycle Bin if the file disappeared locally; an online-only file deleted from OneDrive will not appear there. Microsoft says deleted files remain in the recycle bin for 30 days for personal accounts and 93 days for work/school accounts unless an administrator changes retention. Items permanently deleted from the recycle bin cannot be recovered. See Restore files deleted from your OneDrive.

Roll back broader changes

Microsoft 365 subscribers can use file version history or restore the whole OneDrive to recover from events such as unwanted edits, corruption, or malware. Whole-OneDrive restore requires Microsoft 365 and can roll back changes from the last 30 days. Files created after the chosen restore point are sent to the recycle bin, so review the activity before confirming the restore. Details are in Microsoft’s Restore your OneDrive guide.
