To use Notion for project tracking, create a project page, add a task database, define a small status workflow, and choose views that help your team see what is moving, what is due, and what needs attention. Start with one board; add project-level structure only when the work genuinely needs it.
1. Create a project home
Make a page for the project and put its goal, scope, stakeholders, and links to working documents near the top. The aim is to keep essential context close to the work, so teammates do not have to search across unrelated pages to understand why tasks exist.

This page layout is a practical recommendation, not a required Notion feature or template. Keep it lightweight: include the information people need to make decisions and complete tasks.

Add a database to the project page. If your team wants to organize work by workflow stage, use a board view. Notion’s Tasks & Issues guide demonstrates creating a board database, adding tasks, and moving cards between status columns.

Enter a few representative tasks before migrating everything. This gives the team a chance to check whether the workflow and fields make sense without committing to a large cleanup later.
3. Set statuses that match your workflow
Use a short status flow that describes how work actually progresses. For example:

These labels are an example, not a required Notion default. Rename the board’s status columns to fit your team. The official guide also demonstrates keeping or hiding a no-status column: leave it visible if you want an intake area, or hide it if unassigned tasks do not belong in the working view. To update a task’s stage, drag its card to the appropriate status column.
4. Add only the task details you will use
Begin with a clear task title and status. Add properties when they answer a real coordination need:

- Owner or assignee: Make responsibility visible when work needs an accountable person.
- Due date: Track timing when a deadline matters.
- Tags: Categorize tasks when labels will help people filter or group the work.
Notion’s Getting Started overview describes assigning project work, setting deadlines, adding tags, and viewing project information in databases. There is no universal property set that suits every project; avoid fields that nobody will maintain or use.
5. Choose views for the questions you ask
Views let you inspect the same organized work in different ways. Notion’s overview names board, table, and calendar views for project work.

| View | Useful question |
|---|---|
| Board | What stage is each task in, and where is work accumulating? |
| Table | Which tasks, owners, dates, and statuses need a compact scan or sort? |
| Calendar | What is due when? |
A view changes how you inspect the records, not the underlying project facts. Use the board for workflow, the table for structured scanning, and the calendar for dates; do not add a view unless it helps someone make a decision or take action.

6. Add project-level structure when one task board is not enough
A small project may be well served by one task database. If the work spans teams or includes several levels, keep a project database alongside tasks, or adapt the official Notion Roadmap template as a starting point.
Best Value
- MAGNETIC DRY-ERASE SURFACE — Designs are directly printed onto a durable vinyl layer that is resistant to stains and ghosting, ensuring long-lasting visibility and a smooth writing surface. The surface is also magnetic, giving you freedom to accessorize your whiteboard however you like or attach any number of documents
- EASY INSTALLATION — Includes mounting brackets and hardware for secure and hassle-free wall mounting. For a quick tutorial on how to properly install your whiteboard, please watch our video located in this product page
- SPACIOUS WRITING AREA – Large enough to capture a wide range of information without running out of space, encouraging collaboration and communication between departments. Writing area measures 2" less than the board's total dimensions
- DURABLE ALUMINUM FRAME – 1" aluminum border paired with a 2.5" deep aluminum tray for convenient accessory storage
- Please inspect your whiteboard upon arrival – If you notice any issues, please contact us through Amazon's Buyer-Seller Messaging system
The template distinguishes four kinds of work:
- Epics: Large, overarching initiatives.
- Sprints: Time-bounded pushes.
- Tasks: The actions that make up epics.
- Bugs: Tasks to fix.
Adapt these distinctions to the way your team plans and delivers work. Extra layers are useful only when they make ownership, scope, or progress easier to understand.
7. Keep the tracker current
Agree on who updates task statuses and dates, then review blocked or overdue work on a consistent cadence. A tracker is only as useful as the information people maintain in it; Notion does not automatically ensure accurate records or project delivery.
Check plan details before relying on a feature
Notion’s project guides and template show ways to organize project work, but they do not establish current pricing, plan limits, or feature entitlements. If a particular capability or limit matters to your setup, confirm it in Notion’s current official plan documentation before choosing a plan.
