New Outlook for Windows can sync email in the background even when the app is closed. Microsoft announced the feature in its April 10, 2026 release notes. To disable it, open Settings > General > Offline and change the background-sync option.
What the new background email sync does
Microsoft’s Outlook for Windows (new) release notes list the feature under April 10, 2026: “Outlook now syncs your email in the background even when the app is closed.” The change is intended to keep email syncing without requiring the New Outlook window to remain open.

- Open New Outlook for Windows.
- Select Settings > General > Offline.
- Disable the option for syncing email in the background while the app is closed.
The Settings path is the one Microsoft gives in the April 10, 2026 release note. If you do not see the option, the feature may not yet have reached your installation.

Why availability may vary
A date in the release notes is not a promise that every user had the feature that same day. Microsoft says release-note features roll out to all versions automatically, while its New Outlook release-ring overview explains that functionality is flighted through release rings. Some organizations can also opt into Targeted release. As a result, availability can vary during rollout.

New Outlook also has a user-triggered mail-sync command. Microsoft’s manual sync guidance documents View > Sync and the F9 shortcut. Those instructions cover manually starting a sync; they do not explain how closed-app background syncing is implemented.
Email synchronization should not be confused with calendar notifications while Outlook is closed. Microsoft documents those notifications as a separate feature with its own Outlook and Windows notification settings.
