| Best fit | Technical teams that want custom logic, code, API access, or deployment control. | Teams that want a managed service and can build their workflows with available apps and standard tools. |
| Usage meter | Paid Cloud plans are based on workflow executions, regardless of the number of steps, according to n8n. | Tasks generally count successful actions; some built-in tools are free, and AI usage rates can vary. |
| Hosting | Cloud plans and a self-hosted Community Edition are available. | Described by n8n as cloud-only. |
| Integration count | n8n’s comparison page reports 1,000+ integrations. | n8n’s comparison page reports 8,000+; Zapier’s pricing page reports 9,000+. These are vendor-reported figures, not a standardized count. |
| Customization | Highlights code, generic API connections, custom nodes, and configurable error handling. | Highlights prebuilt app connections and workflow tools such as Filters, Paths, and Formatter. |
These capability descriptions reflect vendor materials, not independent hands-on testing. Counts and plan details can change; check whether your specific apps, triggers, actions, and controls are available before choosing. n8n’s comparison page and Zapier’s pricing page describe their respective products.

How the pricing models compare
n8n counts workflow executions
n8n says its paid Cloud plans are priced around monthly workflow executions, not the number of steps in each workflow. Its pricing page, accessed October 5, 2026, displayed Starter at €20 per month billed annually for 2.5K executions, Pro at €50 per month billed annually for 10K executions, and Business at €667 per month billed annually for 40K executions. The page marked Business as self-hosted only. These are vendor-listed prices and plan conditions, not a promise of current availability or a like-for-like comparison with Zapier. Check n8n pricing for current terms.

Zapier defines a task around a successful action. Its pricing page, accessed October 5, 2026, displayed Free at $0 for 100 tasks per month and two-step workflows, Pro from $19.99 per month billed annually, and Team from $69 per month billed annually; Enterprise pricing is available through sales. Zapier describes a shared task pool. Some built-in tools—including Filters, Paths, Formatter, Tables, and Forms—do not use tasks, while AI actions can consume tasks at rates that vary by model tier or tool usage. See Zapier pricing and Zapier’s task-usage explanation for the applicable details.

Estimate with a representative month
Do not compare the €20 n8n entry price with Zapier’s dollar prices as if they bought the same amount of work. Currency, billing period, usage allowances, and the task mix differ. For each candidate, estimate a normal month using the workflows you expect to run:
- List each workflow and how often its trigger is expected to fire monthly.
- For Zapier, count the actions that are likely to succeed on each run, then identify AI or other usage types whose task rates may vary.
- For n8n Cloud, total the expected workflow executions; multiple steps in one execution do not each become a separate execution under its stated model.
- Mark any built-in Zapier steps that do not count toward tasks, and account for retries or other behavior according to each service’s current rules.
- Compare the resulting usage with current plan limits, collaboration needs, and any required hosting or administration work.
This makes the estimate specific to your workflow instead of assuming that either service is always cheaper.

Integrations: verify the exact app and action
Integration totals are not directly comparable. n8n’s comparison page reports 1,000+ integrations for n8n and 8,000+ for Zapier, while Zapier’s pricing page says 9,000+. The pages do not establish a shared counting method or synchronized update date. Treat those totals as vendor claims, not as an audit of equivalent connectors.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsBefore committing, check the exact app, event, trigger, and action your workflow requires. A connector existing in a catalog does not by itself establish that the particular operation, account type, or data behavior you need is supported. If no suitable built-in action exists, consider whether a custom API call or code-based step is practical for your team; n8n highlights these options in its comparison.

Workflow complexity and customization
When n8n’s flexibility matters
n8n presents code, generic API connections, custom nodes, and configurable error handling as ways to tailor workflows. Those capabilities make it a candidate when a process has unusual data transformations, branching logic, or an API that is not covered by a ready-made connector. The trade-off is that a team using more technical controls needs someone able to build, troubleshoot, and maintain them.
When Zapier’s prebuilt tools are enough
Zapier emphasizes its app catalog and low-code workflow tools. Its pricing materials identify Filters, Paths, Formatter, Tables, and Forms as built-in tools that do not consume tasks. If your process fits available connectors and these standard tools, they may cover the needed automation without custom code. Whether that is simpler for your team depends on the actual workflow; the vendor descriptions are not an independent usability test.

Hosting and operational responsibility
n8n offers hosted Cloud plans as well as a free self-hosted Community Edition, while n8n describes Zapier as cloud-only. Self-hosting can give an organization more control over deployment, but it also makes the operator responsible for infrastructure and ongoing maintenance. Choosing it means accounting for hosting, updates, monitoring, backups, and support—not just software access.
With a managed cloud service, the provider runs the service, but the organization still needs to evaluate account access, data handling, workflow reliability, and its own operational requirements. The vendor pages do not establish that either hosting model satisfies a particular organization’s security, residency, or regulatory obligations.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Teams, governance, and AI workflows
Team plans and higher tiers matter when automations are shared rather than owned by one person. n8n lists collaboration and higher-tier enterprise features; Zapier lists shared workspaces and higher-tier administration. Compare the controls your organization actually needs, such as shared access, identity management, administration, and support, against current plan details on n8n’s pricing page and Zapier’s pricing page.
Both products describe AI-related workflow features. n8n’s pricing page lists AI and MCP features, while Zapier’s task guidance says AI model tier and tool usage may affect task consumption. For an AI workflow, map the model calls, tools, deterministic steps, and any human approvals, then estimate their usage under the service’s current rules. The available vendor information does not establish comparative AI performance.
Which platform fits your situation?
Consider n8n if…
- You need custom API calls, code, or workflow logic beyond the available prebuilt actions.
- You want the option to self-host and have the people and processes to operate that deployment.
- You want usage metered by workflow executions rather than successful actions, and your forecast fits a current plan.
- Your team can take responsibility for building and maintaining more customized automation.
Consider Zapier if…
- You prefer a managed cloud service and do not want to operate a self-hosted workflow platform.
- Your required apps, triggers, and actions are available in its catalog.
- You want to use standard workflow tools and can forecast the resulting successful-action task use.
- Your team’s needs align with the available workspace and administration features.
For enterprise or regulated teams
Evaluate deployment location and control, identity and access, auditability and observability, support, and internal compliance requirements before selecting either service. Product feature descriptions alone do not establish that a platform meets a specific legal or regulatory obligation. Involve the teams responsible for security, privacy, and procurement in reviewing the current terms and deployment options.
