Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallIf your goal is control over where collaboration data lives and who operates the platform, the alternatives most worth evaluating are Mattermost, which is built around self-hosted, on-premises, sovereign-cloud and air-gapped deployment, and Element (Matrix), which is built around self-hosting and open-standard federation. Neither is a drop-in replacement for the whole Microsoft 365 suite. Before choosing, work out which kind of “data control” you actually need, because Teams already covers some of them.
This comparison relies on vendor documentation from Microsoft, Mattermost and Element, reviewed in October 2026. Vendor pages show what each company says its product does. They are not independent security tests, legal opinions or cost comparisons.

First, define “data control”
“Data control” is several separate requirements. Each one points toward a different answer, and mixing them up is the usual reason a migration disappoints.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitches| Requirement | The question to ask | What it tends to favor |
|---|---|---|
| Geographic residency | Is storage in a defined region enough, or must data sit in infrastructure you or a named local party run? | Region-level: Teams may suffice. Local infrastructure: self-hosted or sovereign-cloud options. |
| Operator control | Must your own staff (or a provider you choose) operate the servers and database? | Self-hosted platforms such as Mattermost or Element |
| Key control | Who holds the encryption keys? | Teams with Customer Key (specified data types only) or a self-hosted platform where you manage keys |
| Retention and audit | Can you enforce retention, export records and audit access to meet your obligations? | Any candidate, verified per edition and configuration |
| Partner federation | Do outside organizations need to join your conversations, and on whose platform? | Matrix federation, or a controlled shared environment |
| Independence in an outage | Must teams keep communicating if the primary platform or network is unavailable? | Air-gapped or out-of-band deployments |
What Microsoft Teams already offers
Switching is only justified if the gap is real, so start with Microsoft’s own description of Teams. Microsoft states that:
#1 Best Overall
- FIDO2 & Passkey Ready: Business-ready and FIDO2 L1 certified. This key is supported by major management suites and is ideal for both individual and enterprise deployment. Works seamlessly with Gmail, Facebook, GitHub, Dropbox, Coinbase, and more.
- Universal Connectivity (USB-A ): Features a built-in USB-A connector—simply unfold the key and plug it into your compatible PC or laptop for seamless authentication on the go.
- Dedicated Manager App: Use the Thetis Manager App for the initial hardware PIN setup. Setting the PIN on the device first ensures a smooth registration process. Once the PIN is configured, you can begin registering the key across your favorite FIDO2-compatible online services.
- Ultra-Durable & Portable: Featuring a rotating metal cover, this key is water, crush, and tamper-resistant. It fits easily on a keychain and requires no batteries or network connectivity.
- Check FIDO2 compatibility before purchase - Known limitations: ID Austria is not supported (requires FIDO2 Level 2). Windows Hello login only works with Windows Enterprise editions that support Entra ID, and NFC is NOT supported.
- customer data remains within the Microsoft 365 tenant, and Teams data resides in the geographic region associated with your Microsoft 365 or Office 365 organization;
- data is encrypted in transit and at rest, and Customer Key is available for specified data types;
- Purview provides auditing and retention, and sensitivity labels classify and protect content;
- it lists compliance standards it supports, and it distinguishes those standards from regulations that may require or recommend encryption.
Two cautions apply. First, Microsoft says licensing determines which information-protection capabilities you get, so a feature that exists in documentation may not be in your plan. Second, a listed certification is not a guarantee that your organization is compliant. Confirm your tenant’s geography, the licenses you hold and how the features are configured. These are Microsoft’s statements and have not been independently validated here.
If your need is region-level residency, retention, audit and labeling, a properly licensed Teams tenant may already meet it. The case for an alternative gets stronger when you must control the infrastructure, hold the keys beyond what specified Customer Key data types cover, or operate disconnected.

Mattermost: the strongest fit for infrastructure control
Mattermost documents deployment on-premises and in sovereign clouds. Its security materials also describe self-hosting, air-gapped deployment, encryption, retention, exports and access administration, along with control over infrastructure and keys.
Where it fits
- Organizations that need to decide the hosting environment, whether their own data center, a private cloud or a sovereign cloud.
- Environments that must run disconnected from the internet.
- Teams that want a collaboration layer separate from the primary productivity suite.
Limits to weigh
- Vendor descriptions of retention, export and encryption do not prove that a deployment satisfies your legal or regulatory duties. That depends on configuration, contract and your own controls.
- Self-hosting moves operational responsibility to you: patching, backups, availability, database administration and key management. The sources describe the deployment choices but do not quantify staffing, total cost or migration effort, so estimate these yourself rather than assuming self-hosting is cheaper or simpler.
- Check which of your required capabilities (meetings, calls, screen sharing, integrations) are supported in the edition you would deploy.
Element and Matrix: federation and open standards
Element presents its workplace collaboration product as a Teams alternative based on the Matrix protocol, and describes self-hosting and federation. Federation is the differentiator: it lets separate organizations, each running their own server, communicate without everyone moving to a single vendor’s platform.
Rank #3
- USB-C or tap via NFC for easy authentication on any compatible device. No drivers needed; optional Kensington software available for advanced management features.
- Works across Windows, macOS, iOS, Android, ChromeOS, and supports Passkeys and Apple ID.
- Slim, keychain-ready form for easy carry and on-the-go authentication
- IP68-rated for dependable performance
- FIDO CTAP 2.1 for enhanced security features (e.g. resident credentials, Passkey support) and backwards compatibility with CTAP 2. FIDO2 L2 certified security for phishing resistant protection against identity theft and unauthorized access.
Where it fits
- Organizations that value an open protocol over dependence on one vendor.
- Groups of partner organizations, such as public bodies or consortia, that each want to keep their own server and still talk to one another.
What to validate
- The exact feature set of the Element deployment you would run, including calls and meetings.
- Support arrangements, who hosts it, and which integrations your workflows depend on.
- Whether you truly need the whole Microsoft 365 stack replaced. The evidence does not show Element does that, and it should not be assumed.
Alternative or companion? The hybrid option
You do not have to remove Teams. Mattermost documents integration approaches for Microsoft-centered environments, plus an out-of-band collaboration use case: a separate channel that stays available if the main environment is compromised or down. That suits two situations:
- Continuity: incident response teams need a channel that does not depend on the systems they are trying to recover.
- Sensitive workflows: only a defined group moves to a self-controlled platform, while everyone else stays on Teams.
A hybrid path reduces migration risk, but it means running two systems, with two sets of policies, identities and records to govern.
Rank #4
- FIDO2 & Passkey Ready: Business-ready and FIDO2 L1 certified. This key is supported by major management suites and is ideal for both individual and enterprise deployment. Works seamlessly with Gmail, Facebook, GitHub, Dropbox, Coinbase, and more.
- Dedicated Manager App: Use the Thetis Manager App for the initial hardware PIN setup. Setting the PIN on the device first ensures a smooth registration process. Once the PIN is configured, you can begin registering the key across your favorite FIDO2-compatible online services.
- Universal Connectivity (USB-C, USB-A, & NFC): Designed for PCs, Macs, iPhones, and Android. For mobile use, simply unfold the key, align it with your phone’s NFC antenna, and hold for a few seconds to authenticate.
- Enhanced MFA (FIDO2 & TOTP/HOTP): Strengthen your security with flexible options. Use the Manager App to access TOTP/HOTP features for accounts that do not yet support FIDO2.
- Check FIDO2 compatibility before purchase - Known limitations: ID Austria is not supported (requires FIDO2 Level 2). Windows Hello login only works with Windows Enterprise editions that support Entra ID. NFC is supported only through mobile authentication, Not MacOS/windows.
A decision path
- Write the requirement in one sentence using the table above, for example “data must be stored on servers we operate in our own country.”
- Test Teams against it. Confirm tenant region, license level, Customer Key coverage, Purview retention and audit settings.
- If a gap remains, name it. Infrastructure or air-gap need points to Mattermost. Federation across independent organizations points to Element/Matrix. Resilience alone may point to a hybrid out-of-band setup.
- List required communications features: chat, channels, files, calls, meetings, screen sharing, integrations. Mark each as essential or optional.
- Assess operating capacity. If you lack staff to run the platform, check whether a managed host can deliver the control you need. Any provider’s scope must be verified individually.
- Check external collaboration. Decide whether partners must federate, join a shared environment or stay on a platform they already use.
- Pilot with one team and verify retention, export, audit and access behavior against your actual obligations before committing.
Questions to put to any vendor
- Which data types (messages, files, metadata, call records, backups) are stored where, and which fall outside the residency or key-control promise?
- Who can access the data operationally, including vendor support staff?
- Which retention, legal hold, export and audit features are in the edition and license you would buy?
- What happens to data and service if the vendor relationship ends?
- What is the documented path for upgrades, patches and disaster recovery?
The Bottom Line
Teams is not a platform without controls, so confirm what your license and configuration already deliver. If you need infrastructure you operate, sovereign or disconnected deployment, Mattermost is the first option to test. If you need an open protocol and federation across independent organizations, look at Element and Matrix. Either way, budget for the operational work self-hosting brings, and treat compliance as something you verify in your own deployment rather than take from a vendor page.
