Set up buckets that match the work
Buckets are the board’s columns. Use them to group tasks by a useful category, such as project phase, workstream, department, or topic. Choose categories that help the team understand where a task belongs and what should happen next.
- Open the plan’s Board view.
- Select Add new bucket and enter a name.
- Repeat for the other categories the team needs.
- Rename or reorder buckets as the work changes.
If Add new bucket is not visible, check the board’s Group by setting and choose Bucket. Microsoft documents bucket creation and, in supported premium plans, bucket color-coding in its bucket guide.

Add tasks and make them actionable
Create a task from the board, give it a clear title, and place it in the bucket that best describes its current category or stage. Open the task to add the information people need to act on it. Depending on the Planner experience, task details can include an assignee, progress, start and due dates, priority, description, checklist, attachment, and comments. See Microsoft’s task guide for its current instructions.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsUse the title for the outcome or action, and put supporting detail in the task itself. Assign an owner when someone is responsible, set dates when timing matters, and update progress as work moves forward. Microsoft’s plan-building training notes that comments can go to the group inbox and can also be sent to a user’s email; the exact controls may vary by experience.

Use labels, filters, and grouping for different jobs
Labels identify attributes that recur
Labels let you mark common attributes across tasks, such as requirements, location, dependencies, or time constraints. They are reused across tasks in a plan, so they work best for categories that are meaningful throughout the plan. Microsoft explains labels in its label guide.
Filters narrow what you see
Use filters to focus on tasks matching selected attributes, such as assignee, label, priority, bucket, status, or due date. A filter changes the visible set of tasks; it does not change the plan or remove tasks.

Grouping rearranges tasks into sections
Grouping organizes the board by a shared field—for example, assignee, bucket, label, due date, priority, or status. Choose a grouping that answers the question you have now: who owns the work, what is overdue, or which tasks share a category. Microsoft describes filtering and grouping options in its plan guide.

Choose the view that fits the question
| View | Best for | What it shows |
|---|---|---|
| Board | Following visual flow and moving work between categories | Tasks arranged in columns, commonly by bucket |
| Grid | Scanning details and making quick edits | A table of task information; you can sort and adjust visible columns |
| Charts | Getting an overview of plan distribution | Visual breakdowns by status, priority, bucket, or members, depending on the plan experience |
| Calendar or Schedule | Planning dated work | Tasks arranged by date; Schedule can also help schedule tasks that lack dates |
These views present plan tasks in different ways. Microsoft’s plan guide describes Board, Grid, Charts, and Calendar views; its Schedule view guide covers date-based planning. Additional views such as Timeline, Goals, People, or Assignments are associated with premium personal plans in Microsoft’s personal-plan guide; do not assume they are available in every plan.
