Microsoft 365 vs Google Workspace: Which Is Right for Your Organization?

Compare Microsoft 365 and Google Workspace by desktop apps, pooled storage, security controls, user limits and pricing terms before choosing a plan.

There is no universal winner. Shortlist Microsoft 365 if your organization relies on desktop Word, Excel and PowerPoint or Microsoft identity and device-management tools. Shortlist Google Workspace if Gmail, Docs, Meet and its pooled-storage model better match how your teams work. The right choice depends on the specific plan, controls and billing terms your organization needs—not the suite name alone.

Start with the work your organization needs to do

Before comparing prices, list the requirements that could rule a plan in or out. The official plan pages show what each vendor includes; they do not establish that one suite is independently more productive, secure or satisfying than the other.

  • Applications: Do employees need installed desktop Office apps, or are browser-based tools sufficient?
  • Storage: Estimate how much each employee needs and whether pooled storage suits your organization.
  • Collaboration and meetings: Identify the email, document, chat and meeting tools staff and external partners already use.
  • Security and administration: Map required identity, device-management, threat-protection and data controls to a specific plan.
  • Scale and compliance: Check user limits and whether the plan offers the controls required by your contracts or obligations.
  • Total cost: Compare the same market, seat count, term, included services and add-ons.

For current plan details, consult Microsoft’s business plan page and Google Workspace’s pricing page. Both pages can change, so treat the specifications below as a snapshot checked on October 4, 2026, not a permanent guarantee.

How the business plans differ

The names and boundaries of tiers matter: a lower-priced plan may omit an app or control that is essential to your organization.

Decision area Microsoft 365 Google Workspace What to verify
Apps Business Basic emphasizes web and mobile Office apps. Standard and Premium include desktop, web and mobile versions of core Office apps. Microsoft Gmail, Docs, Sheets and Slides are part of the Workspace family; features vary by plan. Google Whether users need desktop Office applications or can work in a browser.
Storage The cited business-plan page lists 1 TB of cloud storage per user. Microsoft Pooled storage per user is listed as 30 GB on Starter, 2 TB on Standard, and 5 TB on Plus and Enterprise Plus. Google Expected storage use and how the plan allocates it across users.
Meetings and collaboration Teams is included in the cited with-Teams plans; configurations and availability differ by offer. Microsoft Meet and collaboration features vary by tier; higher plans include larger meeting capacity and additional meeting features. Google Which tools your employees and outside collaborators already use, and what meeting capacity they need.
Security and administration Business Premium adds advanced threat protection, device management and sensitive-data features. Microsoft positions Enterprise for increased compliance and security management. Microsoft Depending on tier, higher plans add capabilities such as eDiscovery, Vault, endpoint management, data loss prevention and context-aware access. Google Whether the exact SKU supplies the controls required by your security policies and obligations.
User limits Business plans are described for up to 300 users; Enterprise options are for larger organizations. Microsoft Starter, Standard and Plus have a 300-user maximum; the page states no minimum or maximum for Enterprise. Google Licensing terms if you are near or above 300 seats.

Choose a direction based on fit

Shortlist Microsoft 365 if desktop Office or Microsoft administration is central

Business Basic may suit teams that need web and mobile Office apps, business email and cloud storage without desktop apps. Standard is the relevant tier to examine when desktop versions of core Office applications are needed. Premium adds advanced threat protection and device-management capabilities. Microsoft describes Enterprise as offering increased compliance and security management for larger organizations, including those above 300 users. Confirm the current edition and configuration: Teams and Copilot packaging can differ.

Shortlist Google Workspace if its browser-centered tools and storage model fit

Compare Starter, Standard, Plus and Enterprise against the features your users need. Google’s listed pooled-storage allowances rise from 30 GB per user on Starter to 2 TB on Standard and 5 TB on Plus and Enterprise Plus. Meet capabilities and administrative controls also vary by tier, so verify the chosen plan rather than assuming every Workspace subscription includes the same features.

Ask for an Enterprise review when scale or compliance makes the choice less straightforward

For an organization near or beyond 300 users, or with formal compliance requirements, review Enterprise licensing and control availability with the vendor. A plan page can help identify listed features, but it does not replace an organization-specific assessment of security, compliance or migration needs.

Compare prices on equal terms

Do not compare a promotional price from one vendor with another vendor’s standard rate, or an annual commitment with a monthly-flexible plan. Microsoft’s page distinguishes monthly and annual commitments and configurations with or without Teams. Google’s page presents USD pricing billed monthly, annual-commitment savings and introductory promotions; it says standard prices apply after the promotional period. Prices, offers and plan packaging can vary by region and change over time.

  1. Choose the exact plan and feature set you need from each vendor.
  2. Use the same country or market, seat count and commitment term for both quotes.
  3. Check whether Teams is included, what storage applies and whether required security features are in the selected SKU.
  4. Include taxes and any necessary add-ons, and distinguish a temporary offer from recurring pricing.
  5. Confirm the amount shown at checkout and the date of the quote before making a budget decision.

Make the final decision with a short requirements check

  • If desktop Word, Excel or PowerPoint is a firm requirement, verify that the Microsoft tier includes desktop apps.
  • If shared storage is a major concern, compare expected usage with Google’s pooled allowance for the exact tier and Microsoft’s per-user listing.
  • If security or compliance requirements are mandatory, map each control to a named plan and confirm its availability with the vendor.
  • If your staff or partners already depend on one collaboration environment, account for that operational fit rather than assuming a switch is automatically beneficial.
  • If more than 300 seats may be needed, confirm Enterprise terms and licensing constraints before selecting a business tier.
