One can fund the other, but they are not the same thing. If you are designing a system, keep the concepts distinct and define an explicit rule for how payment events affect access.
What is the difference between a membership and a subscription?
A subscription describes an agreement to receive a product or service under defined commercial terms. Those terms may include what is provided, how it is billed, and whether it renews. Microsoft Learn describes subscription billing as billing contractually agreed services on a recurring basis, while its Business Central model distinguishes contracts, subscriptions, and subscription lines. The line can carry billing details such as period and amount. Microsoft Learn’s subscription billing documentation is an example of separating the commercial framework from the recurring charge details.

A membership describes a person’s status or relationship with an organization, community, or service, often including permissions or access. A membership can be paid for by a subscription, granted manually, or last for a term that differs from the billing period. The precise labels vary by product and industry, so define them in your own system rather than relying on the words alone.

Should membership and subscription be separate in your system?
Usually, yes: represent the customer or member, the commercial agreement, billing activity, and access entitlement as distinct concepts. Then specify the business rule that connects them. This follows the separation of contract and billing details in Microsoft’s model and the linked or separately timed access options documented by WooCommerce.

- Billing schedule and transactions: when charges are due and what payments, failures, refunds, or reversals have occurred.
- Membership or entitlement: what the person can access, for which products or content, and during what dates.
Do not use a payment provider’s status as the entire authorization model. Payment state is an input to access policy, not a complete account of who may access what. Keep a record of the entitlement decision and its effective dates so that support and authorization checks can distinguish a failed charge from an ended membership.
Choose how billing changes access
Write down the relationship between payment and entitlement as a policy. WooCommerce documents both access that follows subscription status and membership access governed separately, including access for a defined length or until a fixed date. Those are product-specific examples, not universal definitions.

- Access follows active billing: access is enabled while the associated subscription qualifies under your rules.
- Access lasts for a separate term: a payment or completed installment plan can fund access through a fixed period, even if recurring billing ends earlier.
- Access is independently granted: an administrator or another business process can grant membership without a current subscription.
Decide what happens on cancellation, pause, failed payment, refund, or reversal. For example, cancellation may stop renewal while access continues until the paid period ends. WooCommerce documents pending cancellation access through the end of the period, while Apple’s subscription guidance addresses time-dependent renewal and lapse states. Your own policy must state when access actually ends.

Model subscription time and lifecycle explicitly
“Active” is not enough unless you define what it means at each point in time. A subscription may be new, renewed, in a retry period, lapsed, or expired. Apple’s StoreKit guidance on handling subscription billing emphasizes determining current and historical subscription activity and responding to renewal and lapse.

Represent dates and lifecycle changes in a way that supports both current authorization and past questions such as “Why did this user have access last week?” Define policies for:
- trial start and end;
- billing retries and any grace period;
- pause and resume;
- cancellation requested now versus cancellation effective at period end;
- expiry, refund, or payment reversal where applicable;
- manual grants, extensions, and revocations.
Keep billing cadence, contract commitment, and entitlement duration as separate fields or rules. SAP documents rolling and fixed-term subscriptions, minimum terms, auto-renewal, license-based billing, and pay-per-use models. Its examples show why the word “subscription” alone does not establish either how often a customer is charged or how long access lasts. SAP’s subscription overview describes these different models.

Plan for multiple products, people, or platforms
An entitlement needs a scope: it may belong to one person, a household, a team, or an organization, and cover particular seats, products, content, or platforms. Decide whether one subscription grants access to one user or several, and how seats are assigned, transferred, or removed.
If purchases can happen through more than one app or platform, associate validated purchase records with a user identity and a canonical entitlement record. Apple notes that cross-platform access is the developer’s responsibility: the app must identify users and track the content to which they subscribe. A store receipt or platform account alone may not identify the customer in your own system.

Use these design questions before implementation
- Purpose: Which records describe the commercial agreement, and which describe access or member status?
- Coupling: Does access follow billing state, last for a separate fixed term, or come from an independent grant?
- Time and commitment: What is the billing cadence, term, minimum commitment, and renewal rule?
- Failure and cancellation: What happens during retry, grace, pause, pending cancellation, expiry, refund, or reversal?
- Entitlement scope: Which people, seats, products, content, organizations, and platforms are covered?
- Changes and history: How are upgrades, downgrades, manual changes, and prior access decisions recorded?
Examples show why the distinction matters
The following are implementation examples, not competing universal definitions:
Quick Recap
- Microsoft Business Central: contracts, subscriptions, and subscription lines are distinct parts of its documented billing model; recurring billing details such as period and amount belong with the lines. Microsoft Learn.
- WooCommerce: membership access can follow a subscription’s status or use a separate length or fixed end date. WooCommerce’s integration documentation.
- Apple StoreKit: subscriptions change over time, and cross-platform entitlements require the developer to connect purchases with identities and access rights. Apple Developer.
- SAP Subscription Billing: documented subscription arrangements include rolling, fixed-term, minimum-term, auto-renewed, license-based, and pay-per-use models. SAP Help Portal.
- Stripe: its educational discussion distinguishes recurring payments—which can support memberships and other purposes—from subscription billing for recurring access, and describes options such as tiers, trials, and upgrades. This is vendor-authored guidance rather than a neutral standard. Stripe’s explanation.
