Managed IT services charge a recurring fee for an agreed, ongoing scope of work; break-fix support charges for help when a problem occurs. Neither model is automatically cheaper or more reliable. Compare them using the same devices, users, support hours, security responsibilities, and likely incident workload—and include the cost of downtime, not just the provider’s invoice.
What each support model includes
Break-fix support
With break-fix, you contact a provider when something needs attention and generally pay for the repair work. It can work for a small, stable environment where problems are infrequent and can wait without much business impact. The arrangement may still involve minimum charges, travel costs, after-hours rates, parts, or limited availability, so check the actual terms rather than assuming you will pay only for time spent fixing a fault.
Managed IT services
Managed IT is an ongoing relationship in which a provider takes responsibility for a defined set of services, usually for a recurring fee. Monitoring, maintenance, help desk, patching, backup monitoring, security tools, planning, and onsite support are possible inclusions—not a standard package. The contract and service schedule determine what the provider actually does. The UK National Cyber Security Centre advises that an MSP contract clearly identify who tracks end-of-life dates and acts before support ends: Choosing a managed service provider (MSP).
Hybrid support
A business can combine internal IT or ad-hoc project specialists with recurring monitoring, support, or security services. This can preserve flexibility, but responsibilities and handoffs need to be explicit so that an issue does not fall between providers.

How to compare the total cost
Compare quotes over the same period and against the same requirements. A monthly managed-services price is not comparable to a break-fix hourly rate unless you also account for what each covers and how much work the business is likely to need.

Include onboarding, project work, cloud or SaaS administration, security requirements, and exclusions. For break-fix, use the business’s incident history where available and model plausible busy and quiet periods. Request proposals that answer the same scope questions. No universal price range or general claim that either model always costs less is established by the available evidence.

Compare coverage, urgency, and accountability
Scope and support hours
List the assets, sites, and users that need support, then confirm which are covered. Ask about support channels and hours, onsite terms, project work, cloud and SaaS administration, vendor coordination, patching, security monitoring, and backup and restore testing. Put inclusions and exclusions in writing.
Response time is not resolution time
A response commitment generally describes when the provider starts investigating; it does not promise a fix by a particular deadline. GOV.UK’s guidance for adult social care suppliers notes that response SLAs are common, faster responses may cost more, and fix-time SLAs are less common because repair duration is difficult to predict. Use the distinction, but do not treat that sector-specific guidance as a universal market benchmark: Agreeing service levels.

For any SLA, check severity definitions, the hours when the clock runs, escalation, reporting, how performance is measured, and any remedies or service credits. Distinguish acknowledgment, investigation, workaround, resolution, and uptime commitments; they are different promises.
Security work and evidence
A recurring fee can create a structure for ongoing controls, but paying monthly does not prove that patching, monitoring, backup recovery, or incident response is actually being performed. Confirm the responsible party for each task and what evidence or reports you will receive. Ask how provider accounts are protected, privileged access is limited, subcontractors are managed, and administrative credentials are handled. Outsourcing tasks does not remove the business’s responsibility to protect its own and its customers’ information.

Contract and exit terms
Review the term, renewal, price adjustments, termination notice, return of data, credentials and documentation, transition support, and subcontractor arrangements. Make clear who monitors aging equipment and software and who advises on replacement before support expires.

Break-fix may be worth considering when
- Systems are simple and stable, with infrequent support needs.
- Delays have limited operational impact.
- Someone internally can manage routine maintenance and security responsibilities.
- The business understands the provider’s availability and rates and can tolerate variable support costs.
Managed or hybrid support may be worth comparing when
- Daily operations depend heavily on IT or delays are costly.
- The business needs recurring maintenance, defined response arrangements, or documented security practices.
- There is no internal capacity for the required ongoing technical work.
- Some responsibilities should remain internal while monitoring, support, or security work is handled by a provider.
These are decision cues, not an employee-count rule or a guarantee that a managed provider will prevent outages or save money. Local legal, regulatory, and insurance requirements also affect what responsibilities and controls the business needs; UK and US guidance may not apply to every jurisdiction.

Questions to ask providers before signing
- Exactly what is covered per user, endpoint, site, and service? What is excluded or billed separately?
- Which hours and channels are available? What onsite response terms, severity levels, and after-hours rates apply?
- What does each SLA promise—acknowledgment, investigation, workaround, resolution, uptime, reporting, or service credits—and how is its clock measured?
- Who owns patching, backup monitoring and restore tests, security alerts, incident response, and customer notification? What reports or other evidence will we receive?
- How are provider accounts secured, access limited, subcontractors overseen, and administrative credentials managed?
- Who tracks end-of-life dates, recommends replacements, and supports transition or exit?
- Can you provide relevant small-business references, qualifications, and a written responsibility matrix?
- How will the quote change if the number of users, devices, sites, or support needs changes?
