You usually cannot prove that a private employer’s recruiter has read your application from a confirmation email or portal status alone. Those signals generally show that the system received or processed a submission—not that a person reviewed it. To improve the chance your application can be assessed, follow the posting’s instructions, submit a readable file in the requested format, and connect your real experience to the stated qualifications.
What application confirmations and status updates actually tell you
A submission confirmation is evidence that the application reached the employer’s system. A status such as “submitted,” an automated acknowledgement, or a status change is not proof of human review unless the employer explicitly says it reflects that review.

More meaningful evidence of human contact is a direct response from a recruiter or an invitation to interview. Silence, or a generic portal status, is ambiguous: it does not establish whether anyone has read the application or why there has been no response.

How applications may be screened
An applicant tracking system (ATS) is workflow software employers use to collect, track, sort, and identify applications. The U.S. Department of Labor’s March 2026 Employment Workshop guide says these systems may also support job postings, scheduling, email, and alerts to recruiters or hiring managers. Some systems use algorithms or AI to screen applications. That range of functions does not mean every ATS automatically rejects applicants or that every employer uses a universal ranking score. Hiring can involve both automated checks and human judgment. For federal jobs, USAJOBS says some agencies use automated checks for eligibility and qualifications, and that human resources specialists review resumes. This is a description of federal hiring, not a guarantee about private employers. USAJOBS Help Center
Nor is screening limited to resume software. EEOC guidance describes selection procedures as including application review, interviews, education and experience review, tests, and other methods used to make employment decisions. EEOC guidance on employee selection procedures

Make your application easier to assess
- Use the channel in the job posting. Submit through the employer’s stated application route. Save the confirmation, job title, requisition number, and submission date so you can identify the application if you need to ask about it.
- Follow the file instructions. Use a text-readable document in the format the employer or portal requests. The Department of Labor guide warns that some automated screens may not index non-text files and that formatting differences can cause qualified applicants to be overlooked. This is not a reason to assume every PDF fails; follow the specific portal’s accepted formats. U.S. Department of Labor Employment Workshop
- Connect your experience to the requirements. Describe relevant skills and accomplishments using accurate language that reflects the job announcement. The Department of Labor recommends using relevant terms in achievement statements. Keyword stuffing or claiming skills you do not have is not a substitute for showing your qualifications. - Keep a record of what you sent. Retain the submitted resume and answers, along with the job details and confirmation. That makes it easier to check whether the portal accepted the submission and to ask a focused question if a contact is provided.
When and how to follow up
If the posting names a recruiter or hiring contact and permits follow-up, send a brief, professional message through that channel. Include the job title or requisition number, ask whether the application is complete, and ask whether a timeline is available. There is no universal follow-up interval established here, and a message cannot compel or prove that someone has reviewed your file. If the employer gives a specific timeline or contact method, use that instead of guessing.

For a federal vacancy, read the announcement’s instructions and consult the USAJOBS guidance. The Help Center states that real human resources specialists review resumes, while some agencies also use automated eligibility and qualification checks. Hiring technology may be used to target job advertisements, assess qualifications, conduct video interviews, test skills, or score resumes. The U.S. Department of Justice says the Americans with Disabilities Act applies to employers’ selection and testing practices. Employers should assess technology for disability-related screening effects and provide reasonable accommodations when required, absent undue hardship. DOJ also recommends that employers explain what technology is used and how applicants will be evaluated, and provide clear procedures for requesting accommodations. U.S. Department of Justice, “Algorithms, Artificial Intelligence, and Disability Discrimination in Hiring”
If an application step is inaccessible or a disability-related screening tool creates a barrier, use the employer’s stated accommodation process. In the United States, DOJ and EEOC guidance is relevant if you suspect disability discrimination; it does not determine the facts of an individual case or replace legal advice. EEOC guidance also explains that selection procedures with disproportionate effects on protected groups may require validation or another lawful justification.
