For students, that can make repeated club, class-project, or event communications easier to prepare. It is a practical way to reuse a format, not a proven guarantee of time saved or better academic results.
What mail merge does
A mail merge combines a reusable main document with recipient data. You add fields such as a name, greeting, or address to the document; the software fills those fields from each record to produce personalized copies. Microsoft describes it as a way to create “a batch of documents that are personalized for each recipient.” Microsoft’s overview of mail merge lists letters, email, envelopes, labels, and directories as supported output types.

For student use, that could mean addressing event letters to club members, preparing labels for invitations, creating a project-group directory, or sending personalized messages. The value is in reusing a format while changing recipient-specific details—not in automating the writing or deciding what each person should receive.

Choose a workflow based on the output
| What you need | Suitable route | Check before starting |
|---|---|---|
| Letters, printed envelopes or labels, or a directory | Mail merge in desktop Word | Prepare a clean recipient list, preview records, and check the output before printing. |
| Personalized email sent from Gmail | Gmail mail merge | Confirm that the Google account has an eligible plan, prepare the spreadsheet as required, and check current sending limits. |
| Email generated in Word using an Excel list | Word mail merge | Microsoft’s overview says each recipient is the sole address in the email’s To line; confirm that this suits your intended sending setup. |
Word supports both printed documents and email. The Gmail route described by Google is for personalized email. If you need to send many messages, compare account eligibility and limits before choosing a workflow rather than assuming the two options work identically.

Prepare the recipient list in Excel
A tidy spreadsheet helps prevent names, addresses, and other details from appearing in the wrong place. Microsoft recommends keeping merge data on the first worksheet, using clear column headers that correspond to the fields you plan to insert, and formatting values such as postal codes correctly. Finish spreadsheet edits before connecting the file to Word. See Microsoft’s guidance for preparing Excel data for mail merge.
- Put one recipient in each row and one type of information in each column.
- Use a header such as “First name” or “Email” for each column you may want to insert as a field.
- Check that postal codes, phone numbers, and other values are displayed as intended; spreadsheet formatting can affect how they appear in the merge.
- Review the records for misspellings, blank cells, and duplicate entries before linking the list.
Make a mail merge in desktop Word
- Choose the document type. In desktop Word, start a mail merge for the item you need, such as letters, labels, envelopes, a directory, or email. Word’s mail-merge overview describes these output types and the role of a recipient list.
- Select the recipient list. Connect the prepared Excel file or another supported data source. Confirm that Word is using the intended list and worksheet.
- Write the reusable content. Add the text that all recipients should receive, then insert merge fields where information should vary—for example, a name in the greeting or an address on a letter.
- Preview several records. Move through more than one recipient to check that fields match the right data, names and addresses are complete, and the layout still works with longer values.
- Finish the merge. Depending on the document type, Word lets you edit individual documents, print, or send email. Microsoft’s letter-merge instructions describe the preview and finish options.
- Save the main document if you will reuse it. Microsoft says a saved merge document remains connected to its mailing list, which can help when you return to the same format later.
Word for the web can preserve mail-merge settings, but it cannot perform a merge or edit those settings. Microsoft directs users to desktop Word for those actions. Check Microsoft’s overview if you are unsure which Word version you are using.

Use Gmail mail merge when the task is email
Google’s Gmail mail-merge feature personalizes messages with merge tags and can use recipient details from a spreadsheet. The spreadsheet must have contact information in its first tab, with text-only values. Google lists these eligible plans on its Gmail mail-merge help page: Workspace Individual, Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Standard, and Education Plus. Access depends on the account’s plan; a school or student account should not be assumed eligible without checking.
The same Google help page states a maximum of 1,500 recipients in the To line per message and 1,500 recipients per day using mail merge. It also lists daily outgoing-message limits of 500 for standard Gmail accounts and 2,000 for work, school, and Workspace Individual accounts. These are Google’s product limits, not measures of student productivity. The page gives no publication year; these figures were checked on October 7, 2026, and may change, so verify the current limits and plan eligibility before sending.

Review before sending or printing
A merge repeats whatever is in the template and recipient list, including errors. Before producing a batch, check several records from different parts of the list, including any with longer names or unusual address details. For email, confirm the recipient field and message content; for printed items, inspect a sample page or label layout before printing the full batch. Keep recipient information limited to what the communication requires.
