Before installing an AI assistant on a Mac, decide which features you actually plan to use, then check whether the app requests only the permissions those features need. In macOS, review them at System Settings > Privacy & Security. File access, screen capture, microphone use, Accessibility, and other controls govern what an app can access or do locally; they do not tell you how its provider stores or uses information you submit. Check the provider’s privacy terms separately.
Start with the feature, not the permission prompt
Apple says apps ask for permission the first time they want to use something on your Mac and explain how they use the information. That prompt is a point to assess the feature and the scope requested—not a reason to approve access automatically. See Apple’s overview of app permissions on Mac.

- Identify the feature you intend to use, such as asking questions about a chosen document, dictating a prompt, or interpreting on-screen content.
- Compare that feature with the permission requested. A request for broad access deserves more scrutiny than access to a particular folder.
- If you do not want the feature, do not grant its associated permission just to complete setup.
Permission names and availability can vary with macOS version, language, region, and device. The locations below follow Apple’s current Privacy & Security guidance, which includes a macOS 27 versioned settings page.

Files & Folders: check the locations individually
Look at whether the assistant can access locations such as Desktop, Documents, or Downloads. macOS lets you review access by location and turn it on or off. Grant only the folders needed for the file-related feature you want; access to one folder is not the same as access to the whole disk.

Full Disk Access: treat it as a broad grant
Apple describes Full Disk Access as allowing access to all files, including information from other apps and Time Machine backups. Ask why the assistant needs that scope and whether a narrower folder permission will support the feature. If the reason is not clear in the app’s explanation or current documentation, do not assume the request is necessary.
Screen & System Audio Recording: consider what could be captured
Review this category if the assistant offers to interpret screen content or capture system audio. macOS provides per-app controls for it. Screen or audio access can involve information displayed or played by other apps, so match the grant to a feature you deliberately want to use. Apple also notes that information collected through this access is governed by the third party’s terms and privacy policy. Read Apple’s screen and system audio recording guidance.

Microphone and Camera: approve only for input features you want
Microphone and camera access are separate permission categories. An assistant’s voice or camera feature may need the corresponding access; a text-only workflow does not, by itself, explain why either is needed. Review each category separately rather than treating them as one general “AI” permission.

Accessibility can allow an app to use scripts and system commands to control the Mac. Input Monitoring can provide access to mouse or trackpad input and typed keys. These permissions can reach beyond a document the user intentionally shares, so look for a clear explanation tied to an interaction or automation feature you want. Apple advises authorizing only apps you know and trust in its Accessibility app approval guidance.

Automation: check which other apps can be controlled
Automation is a distinct permission category in macOS. If an assistant asks to control other apps, consider which app interactions its feature requires and whether you want that control. Do not treat Automation as interchangeable with reading a file or capturing the screen; it concerns app control.
Where to review or change access
- Open Apple menu > System Settings > Privacy & Security.
- Select the relevant category, such as Files & Folders, Full Disk Access, Screen & System Audio Recording, Microphone, Camera, Accessibility, Input Monitoring, or Automation.
- Review the listed apps and the access each one has. For Files & Folders, check the locations individually.
- Turn off access you no longer want or cannot justify for a feature you use. If an app later needs access for a feature, macOS may ask again.
Apple’s Privacy & Security settings guide describes the categories, and its platform security overview of app access covers reviewing and revoking permissions. Permission lists can be revisited; an initial approval need not be permanent.

Check the AI provider’s data practices separately
macOS permissions answer questions about an app’s access to specified local resources. They do not establish what happens to prompts, files, or other information you voluntarily send to the AI service. Before using an assistant with sensitive material, read the provider’s current terms and privacy policy for what it collects, how it uses information, how long it retains it, and what controls or reporting it offers. Apple specifically recommends learning third-party privacy practices for screen/audio and files/folders access.
Apple’s Apple Intelligence privacy information describes Apple’s own feature: it says many requests are processed on device, while some more complex requests use Private Cloud Compute, and explains an Apple Intelligence Report for requests sent there. Those statements apply to Apple Intelligence, not independent AI assistants. They cannot establish another provider’s processing location, retention schedule, or data use. Use these checks to compare assistants
If you are choosing between apps, compare them on the same practical questions rather than assuming that the “AI assistant” label implies a standard permission set:
- Permission scope: Does it ask for selected folders or Full Disk Access? Does it request screen/audio, microphone, camera, Input Monitoring, Accessibility, or Automation?
- Feature necessity: Does the requested access support a feature you actually intend to use?
- Vendor data handling: What does the provider disclose about collection, use, retention, and available controls?
- Visibility and revocability: Can you see the app’s grants in macOS settings, change them, and find useful privacy controls or reports from the provider?
Apple documents the macOS permission categories and local controls; product-specific data handling must be checked in each assistant’s current documentation.
