A local drive and OneDrive are not mutually exclusive choices: files can stay on your computer, live in OneDrive’s cloud, or be synchronized between the two. Choose based on how much disk space you have, whether you need files offline or on several devices, and what recovery options you want. For many people, keeping selected files synced while marking essential folders for offline use is more practical than choosing only one location.
Local drive vs OneDrive at a glance
| Consideration | Local drive | OneDrive |
|---|---|---|
| Where files are stored | On the computer’s storage. A local copy does not automatically sync to the cloud. | In cloud storage; files can also be synchronized or downloaded to the computer. |
| Computer disk space | Files use local storage. | Online-only files do not use local file storage until downloaded; synced or offline-kept files do. |
| Offline access | Available offline on that computer. | Online-only files need an internet connection. Downloaded files and files marked “Always keep on this device” can be opened offline. |
| Access on other devices | Not automatically available elsewhere; you need another copy or a way to transfer it. | Available through OneDrive on the web and supported apps, subject to account access and synchronization. |
| Recovery options | Depends on other copies or recovery measures you have arranged. | Includes a recycle bin and version history; eligible Microsoft 365 subscribers can also use Restore your OneDrive. Each has limits. |
How OneDrive storage works on a PC
With Files On-Demand, OneDrive can show cloud files in File Explorer without downloading them all. Microsoft describes the feature as a way to “access all the files in your cloud storage in OneDrive without having to download them and use storage space on your computer.” Microsoft’s Files On-Demand guide explains the feature and its requirements.

Online-only files
An online-only file appears in File Explorer but is not stored as a full local file. You need an internet connection to open it; opening it downloads it to the computer. This saves disk space, but it is unsuitable as the only available copy when you expect to work without connectivity.

Use the File Explorer context menu to choose “Always keep on this device” for a file or folder you need offline. OneDrive downloads it, so it uses local disk space. This is useful for travel, unreliable internet, or folders you use frequently.

When a local drive is the better fit
- You need a file to open without internet and do not want to depend on a OneDrive download.
- You have enough disk space and prefer to keep files directly on one computer.
- You want a local copy that remains accessible if you temporarily cannot sign in to OneDrive.
A local copy only solves local access. By itself, it does not synchronize changes to other devices or create a separate recovery copy if the computer or drive is lost or damaged.
When OneDrive is the better fit
- You want to access files across devices using OneDrive on the web or its apps.
- Your computer has limited disk space and you are comfortable downloading files when needed.
- You want files synchronized between the computer and cloud, with cloud recovery features available for some deletion or change scenarios.
OneDrive’s desktop app can back up and sync files, but synchronization is not the same as an independent backup. A deletion made in a synced folder can propagate to OneDrive and other synced devices. A second copy kept separately can provide a different recovery path if synced content is deleted or changed. Microsoft distinguishes its desktop app from a Store app intended for viewing; see Which OneDrive app?

Understand OneDrive’s deletion and recovery limits
Deleting a synced file
Deleting an online-only file from the computer’s OneDrive folder deletes it from OneDrive and other synced devices; it is not simply hidden from the local view. Microsoft says deleted files can generally be recovered from the recycle bin for up to 30 days in personal accounts, and up to 93 days in work or school accounts unless an administrator changes the retention setting. Permanently deleted items cannot be restored through that recycle-bin process. See Microsoft’s deleted-file recovery guidance.

Restoring an earlier file version
Version history can help recover an earlier state of a file after unwanted edits. Microsoft’s reviewed support page states 30-day version-history retention; a work or school administrator may turn document versioning off. Check the account’s available versions rather than assuming every file or account has them. See Microsoft’s version-history instructions.

Restoring OneDrive as a whole
Microsoft 365 subscribers can use Restore your OneDrive to undo file and folder actions from the preceding 30 days. New items created after the selected restore point are moved to the recycle bin, and permanently deleted recycle-bin files cannot be recovered. The feature is not a substitute for a separate copy of important files. Details and steps are in Microsoft’s Restore your OneDrive guide.
Ransomware recovery
If OneDrive detects ransomware-related activity, Microsoft advises cleaning connected devices before restoring files; otherwise, a compromised device could encrypt recovered files again. Follow the recovery guidance for the account and incident at Microsoft’s ransomware recovery page.

Choose a setup that matches how you work
- Need files offline? Keep them on the local drive or mark their OneDrive folders “Always keep on this device.” Both use local disk space.
- Need to save disk space? Use OneDrive Files On-Demand for files you do not need offline, and download only what you need.
- Need access on multiple devices? Use OneDrive synchronization or the web and apps, and confirm the files have finished syncing before relying on them elsewhere.
- Need a recovery copy? Decide whether recycle-bin and version-history windows are enough for your needs. For important files, consider a separate copy that is not simply another synchronized view of the same files.
Files On-Demand requirements and availability can depend on Windows and account configuration. Microsoft’s guide lists Windows 10 version 1709 or later or Windows Server 2019, and notes possible incompatibility with some third-party antivirus software and lack of support when Windows Information Protection is enabled. Check the current guidance for your device and account before relying on a specific setup.
