Plan the greeting and its follow-through
- Choose a page or moment. Start with a specific context—such as pricing, a product page, or checkout—rather than showing a proactive message everywhere by default.
- Identify the help available there. Decide what the team can reliably do, such as explain plan details, compare product options, or direct a visitor to support information.
- Write one relevant invitation. Use a short opening, one clear offer, and a low-effort question or next step. Remove claims about visitor activity or account details that the team cannot verify or appropriately access.
- Choose a suitable trigger in the chat platform. Depending on the platform, this may be a visitor opening chat or a behavior-based condition. Set it for the moment when the message is relevant; do not assume one platform’s trigger or timing applies to another.
- Match the message to staffing. If an agent is available, invite a real-time exchange. If not, explain that visitors can leave a message and state the support hours or response estimate only when the team can honor it.
- Review whether the invitation is working as service. Check that messages appear in the intended context, that visitors are not seeing them repeatedly or at an awkward moment, and that agents can deliver the offered help. Revise the trigger or wording if the experience feels mistimed or the team cannot follow through.
