A shipping price shown at checkout or in a rate-comparison tool is only as dependable as the shipment details and pricing context behind it. Save the inputs and the rate source with each result, label indicative or non-binding prices as estimates, and request a fresh rate when important details or pricing conditions change.
Why can the final shipping charge differ from an estimate?
A rate estimate is not automatically a binding offer or the amount that will appear on the carrier’s invoice. ShipStation cautions that its rate estimates may exclude insurance, fuel surcharges, customs charges, and other carrier fees. DHL Freight describes its Price Quote API result as indicative and non-binding: the final invoice can vary because shipment details were wrong, surcharges or prices changed, or the shipment differed from the applicable standards or price zones. ShipStation’s estimate documentation and the DHL Freight 2026 R01 Product Manual describe these limits.

Make the status visible wherever a customer or employee sees the amount. Use “estimate” or “indicative price” when that is what the provider supplies, and explain that the final charge may change. Do not present a non-binding result as a guaranteed price.

Keep enough detail to explain what was rated and, where possible, reproduce the request. The fields depend on the carrier, service, and shipment type; this is a practical record, not a universal API schema.

For LTL freight, accessorials are rating inputs, not just notes for the driver. ShipStation lists liftgate service, inside pickup or delivery, appointment delivery, notification, and terminal hold as examples; it says accessorials are priced into the quote. If one changes, request fresh quotes and use a new offer. See ShipStation’s freight documentation.
What can a rate estimate leave out or fail to support?
Check the specific endpoint’s coverage before relying on its result. ShipStation’s estimate endpoint does not support multi-package shipments or filtering with rate_options. Its documentation also warns that fees such as insurance, fuel surcharges, customs charges, and other carrier fees may not be included. An estimate from that endpoint should not be treated as a complete landed cost or as a multi-package rate.

Other services have different boundaries. DHL Freight’s 2026 R01 manual says its Price Quote response separates freight amount from additional services and returns the calculation basis, while describing the resulting price as indicative and non-binding and based on currently valid tariffs, surcharges, and processes. A breakdown makes a result easier to inspect; it does not make the price binding.
If you are evaluating an API for estimates, compare what it covers rather than assuming all quote endpoints rate the same shipment types or include the same charges. Freightos describes its shipping calculator API for marketplace and custom-site freight estimates, but labels the APIs beta quality, as-is and as-available, and subject to change without notice. When should you refresh an estimate?
Request a new rate whenever a material shipment input changes, including weight, dimensions, package count, route, shipment date, service, freight class, or accessorials. Also refresh when the rate source’s pricing context may have changed, such as a tariff or surcharge update. Compare like-for-like service levels and check which fees each result includes; otherwise, two displayed prices may not be comparable.
Do not assume that fields required for a future shipment purchase will remain fixed. Amazon Shipping warns that additional required inputs can change as customs and regulatory rules change, and recommends not caching or hardcoding those fields for future purchase calls. A practical record for an auditable quote
- Collect the shipment facts. Use measured package weight and dimensions, the correct origin and destination, and the intended ship date and service. Include freight class, pieces, and accessorials for LTL requests when the provider requires them.
- Request a rate from the intended source. Record the carrier or rate provider, service, relevant account or tariff context, and API identity or version where available.
- Save the request and response. Retain the inputs, timestamp, currency, price breakdown, warnings, and the provider’s stated quote status. Follow the provider’s own guidance for dynamic required fields rather than assuming an old request remains valid.
- Show the result with its limits. Label non-binding prices as estimates and state material exclusions or unsupported shipment types that apply to the endpoint.
- Re-rate after changes. If a shipment detail, selected service, accessorial, or pricing context changes, obtain a new rate and associate it with the updated inputs.
With this record, a displayed price can be traced to the shipment and rate context that produced it. That makes discrepancies easier to investigate without implying that a carrier’s estimate guarantees the final charge.
