It can be reasonable to connect Gemini to work apps, but safety depends on which Gemini experience and account terms apply, what your administrator allows, and what information you can access. A work or school email address by itself does not confirm that Workspace protections cover your Gemini use. Check your account’s Workspace edition and your organization’s policy before connecting confidential work data.
First, check which Gemini terms apply to your account
Google distinguishes qualifying Google Workspace use from consumer Gemini Apps use. In its Workspace FAQ, Google says content from users accessing Gemini through qualifying Workspace editions is not human reviewed or used to train generative AI models outside the organization’s domain without permission. Google also says Workspace protections, including data-region policies and Data Loss Prevention, apply.

For users without a qualifying Workspace edition, Google says the consumer Google Terms of Service and Gemini Apps Privacy Notice apply. Their chats may be reviewed by human reviewers and used to improve services. Do not assume that a work email address, a Gemini feature, or a connection to a Google service automatically puts your use under Workspace terms.

What does connecting Gemini to work apps do?
Google’s work-account guidance describes Gemini Apps connecting with services such as Gmail, Calendar, Chat, Docs, Drive, Keep, and Tasks. Depending on the service and supported features, Gemini may help find or summarize work information or perform certain actions. A connection does not grant unlimited access or make every action available.
Google’s Connected Apps instructions for work accounts list supported interactions and limitations. For example, the documented connection cannot access comments or images in Gmail, create Gmail drafts, or delete Gmail messages. It also cannot manage Drive folders or move Drive content. The supported features can change, so check the current instructions for the app you plan to use.

Can Gemini read all my Gmail and Drive files?
No. Google says Gemini in Workspace has access to Workspace data on the same basis as the signed-in user, subject to administrator settings and the controls set by the owner of the content. An administrator can restrict Gemini or its access to Workspace data.
- Drive: A file shared with you may still be unavailable to Gemini if its owner blocks downloading, copying, and printing.
- Delegated Gmail: Google’s guidance says Gemini does not gain access to another person’s inbox just because you have delegated access to it.
These examples show why “connected” does not mean “can read everything”: account permissions, organization policies, and file-owner restrictions continue to matter.

Does Gemini use work emails to train AI?
Google’s statement that content is not human reviewed or used to train generative AI models outside the organization’s domain without permission is scoped to users accessing Gemini through qualifying Workspace editions. It is not a blanket assurance for every Gemini account, feature, or connected app. If your account is not covered by a qualifying edition, Google says consumer terms apply and chats may be reviewed or used to improve services.
For consumer Gemini Apps, Google’s Privacy Hub also describes information exchanged with Connected Apps. Data shared with other Google services is handled under the Google Privacy Policy; third-party apps handle data they receive under their own privacy policies and terms. Those consumer Connected Apps terms should not be treated as a substitute for the terms governing qualifying Workspace use.

Who decides whether work apps are available?
For work and school accounts, the Workspace administrator must enable app access. Google says users also need a qualifying Workspace edition and Keep Activity enabled; for work accounts, only the administrator can manage that setting. Availability can vary by account type, edition, location, language, device, and Gemini app.
If a connection is missing, ask your organization’s Workspace administrator whether your account and organizational unit are eligible and whether the app is enabled.

What should a Workspace administrator review?
Google’s Admin Help for controlling app access describes reviewing configured and accessed apps, app ownership, verification status, requested Google services, and OAuth scopes. Depending on the app and organization, available access levels include Trusted, Limited, Specific Google data, and Blocked. Some controls require security administrator privileges.
- Confirm which Gemini app and Workspace edition are in use.
- Decide which organizational units can use the connection.
- Review the app’s requested OAuth scopes, ownership, verification status, and access level.
- Check that underlying Workspace sharing and data-access policies match the intended use.
- Tell users what information may be accessed and which data-handling terms apply.
If I disconnect Gemini, does it delete my data?
Not necessarily. Google’s Privacy Hub distinguishes disconnecting future access from removing data that has already been exchanged. Disconnecting a Connected App or deleting Gemini Apps Activity does not delete data another app has already received. An app keeps data Gemini shared with it under that app’s own policies. Google also says changes or deletions in a connected source app may take days to affect Gemini’s experience.
Think of these as separate actions: disconnecting a service changes the connection; deleting Gemini Apps Activity affects activity in Gemini; removing data held by another service depends on that service’s own controls and policies.

- Identify the Gemini account and experience you are using, then confirm whether a qualifying Workspace edition and its terms cover it.
- Ask your administrator whether Connected Apps and the specific service are enabled for your account.
- Check what information the connection can access and what actions it supports; do not assume it can access everything you can see.
- Follow your employer’s rules for confidential, regulated, or otherwise sensitive information.
- Review Gemini’s sources and verify important details: Google warns that responses can be outdated or hallucinated.
Google’s documentation describes vendor policies and controls, not an independent audit or a guarantee about a particular employer’s configuration. Your organization can confirm the edition, settings, and internal rules that apply to you.
