iPhone Notes: How to Organize Folders, Tags, and Smart Folders

A practical iPhone Notes system uses broad folders for hierarchy, tags for cross-folder topics, and Smart Folders for saved filters—with search as the fallback.

Organize iPhone Notes with a few broad folders for durable categories, tags for topics that cross those categories, and Smart Folders for saved filters. Give notes searchable titles, pin only current priorities, and use search when browsing is slower. You do not need a complex taxonomy: a small system you can maintain is easier to rely on.

Choose folders for broad areas

Folders give Notes a hierarchy and provide a place to put notes you want to keep together. Start with a short list of lasting areas—such as work, home, or personal reference—rather than creating a folder for every individual task. Add subfolders only when a broad folder becomes difficult to scan.

On iPhone, open Notes, go to the folders list, and use the new-folder control to create a folder. You can rename or move folders, move notes between folders, and recover deleted notes or folders from Recently Deleted. Apple’s current iPhone instructions are for iOS 26; if a control looks different, check your iOS version and Apple’s folder guide.

Make notes easy to recognize

Use a specific title that states what the note contains: “Passport renewal checklist” is more useful in a list and in search than “Travel.” Pin a small number of notes you need regularly, such as a current project brief or frequently used reference. Pins keep notes at the top of the list; they work best as a short-access area, not a second inbox.

#1 Best Overall
Apple iPhone 14, 128GB, Midnight - Unlocked (Renewed)
  • This phone is unlocked and compatible with any carrier of choice on GSM and CDMA networks (e.g. AT&T, T-Mobile, Sprint, Verizon, US Cellular, Cricket, Metro, Tracfone, Mint Mobile, etc.).
  • Please check with your carrier to verify compatibility.
  • The device does not come with headphones or a SIM card. It does include a generic (Mfi certified) charging cable.
  • Tested for battery health and guaranteed to have a minimum battery capacity of 80%.

Use tags for topics that cross folders

Folders answer “where should this note live?” Tags answer “what else is this note about?” A project tag, for example, can connect notes stored in work, travel, or personal folders without moving them into one location. Keep the vocabulary modest and consistent, and use tags to add a cross-cutting label rather than recreating your entire folder tree.

  1. Open a note and type # followed by a tag name.
  2. Type a space after the tag to activate it.
  3. Use one continuous tag word; hyphens and underscores are allowed.
  4. To find notes by more than one tag, select the tags in the tag browser and choose whether results should match any selected tag or all selected tags.

Apple documents tags for iOS 15 and later. On older software, a tag may appear as plain text instead of functioning as a filter. Locked notes cannot be tagged, and tagged notes cannot be locked. See Apple’s tag instructions and tags and Smart Folders compatibility information.

Use Smart Folders as saved views

A regular folder is a container you maintain by placing notes in it. A Smart Folder is a filtered view: it gathers matching notes from across folders using criteria such as tags, dates, and mentions. Use one when you repeatedly need the same cross-folder view—for example, notes with a particular project tag—rather than manually collecting those notes in a separate folder.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Create a Smart Folder from the Notes folders screen using the new-folder control and selecting the Smart Folder option. Choose the filter criteria, then save the view. The precise labels can vary with iOS version; Apple’s Smart Folders guide describes the current iPhone workflow.

Understand the conversion behavior before converting

Converting a regular folder to a Smart Folder is not just changing how the folder is displayed. Notes in the folder move to the Notes folder and are tagged with the former folder name. Shared folders, folders that contain subfolders, and folders containing locked notes cannot be converted. If you want to preserve the existing container and placement, create a Smart Folder separately instead.

Pick a view and sort order that fit the notes

Notes can be viewed as a list or in gallery form. You can sort by title, creation date, or edit date. For active notes, sorting by most recently edited makes recent work easier to reach; for reference material, title order can make browsing more predictable. Choose one default that suits the folder, then change it when the contents call for a different view. Apple explains the available options in its iPhone folder and sorting guide.

Use search when browsing is not enough

Search is the backstop when you do not remember a note’s folder or tag. Apple says Notes search can find typed text, tags, supported handwritten text, objects in images, and text in scanned documents. For a locked note, search results show only its title. Give notes descriptive titles even when their contents are locked.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Notes can also hold scanned documents. On iPhone, use the scan option in a note to capture a document; Apple also documents scanning and signing in Notes and scanning through Files. Scanned text can then be found through Notes search when supported. Follow Apple’s document-scanning instructions for the current steps.

Apple’s search instructions are available in Search through your notes on iPhone.

Check where your notes are stored

Many Notes features require notes to be stored in iCloud or on the device; features may not work the same way with other email-provider accounts. If tags, Smart Folders, or another control is missing, check the account that contains the note and the iOS version before reorganizing. Apple outlines account and feature availability in Use Notes on your iPhone, iPad, or iPod touch.
