A spreadsheet cell showing the “next” number is only a display: if two people copy it or work from separate copies, both can use the same value.
The log-based workflow below is a practical control, not a universal legal specification. Numbering rules depend on jurisdiction, tax type and document type.

Why a “next invoice number” cell can fail
A formula or manually updated cell can show a plausible next number without reserving it. If two people use the same displayed value before either records an invoice, the result can be two documents with one identifier. A row number or customer reference is not a substitute for the number that identifies the invoice document.
The European Commission notes that sequential invoice numbering is common business practice and helps with completeness checks. That benefit depends on being able to reconcile issued documents against the numbering record; a display cell alone does not provide that record.

Set up one authoritative log for each series
Use a shared register as the source of truth for each numbering series. A paper register can suit a single-person paper process; a spreadsheet can work when one person or a controlled process allocates numbers. The following fields are a recommended control design, not a quoted legal checklist:
- Invoice identifier
- Issue date
- Customer or other reference
- Status, such as issued or void
- Person who allocated or issued it
- An explanation for a void or sequence break, where relevant
At issuance, record and commit the next identifier in the log, then prepare and send the invoice. Do not rely on a copied template cell or a formula based on a row number as a reservation mechanism when more than one person can act at a time.

Choose an allocation method that matches how many people issue invoices

SAP Business ByDesign documentation, shown as of August 2026, describes configurable invoice numbering by company, tax country and document type, with local rules potentially requiring further criteria. This demonstrates a capability in that product, not a recommendation or a guarantee that every software system handles simultaneous allocation safely. The European Commission also describes automatic number generation by e-invoicing systems.
If multiple users issue invoices, use a system whose allocation behavior is suitable for concurrent use, or appoint one person or control point to allocate numbers. This is a process recommendation based on the need for unique identifiers, not a claim that a particular spreadsheet product has a specific concurrency defect.

Keep voided numbers visible and explain breaks
Do not delete a log entry or silently recycle a number after an invoice is cancelled or spoiled. Keep the number visible with its status and explanation so the record can account for it. HMRC guidance says a cancelled or spoiled invoice may be retained in the accounting records, or a break in the sequence may be explained; check the rules that apply to your own jurisdiction and document type.
Use prefixes or separate series only with a reason
Letters and digits can form part of an invoice identifier. HMRC says more than one series may be operated, and French tax guidance allows separate series when justified. Before introducing prefixes or separate series, document why they are needed and check the applicable tax rules. A new series is not a substitute for preventing duplicates within each series.

Check the rule where you issue the invoice
There is no single worldwide numbering rule established by these examples, and “sequential” does not mean the same thing in every cited authority. Confirm requirements for the relevant country, tax type, financial or calendar period, and document type before choosing a numbering setup.

It says the number may be numeric or a combination of letters and numbers. Its guidance also addresses retained cancelled or spoiled invoices and explained sequence breaks. - France: DGFiP guidance describes a unique number in a chronological and continuous sequence, permits justified separate series and requires safeguards against duplicate numbers on invoices issued in the same year. See France DGFiP invoicing guidance.
- India GST: CBIC rules describe a consecutive serial number, potentially in one or multiple series, unique for a financial year, with specified alphanumeric and punctuation characters. Check for current amendments in the CBIC GST invoice rules.
These examples should not be generalized into a claim that every jurisdiction requires an identical, gapless sequence. Local rules govern.
