After a month of trying to avoid paid software for everyday tasks, Parth Shah kept five apps in his workflow: Obsidian for notes, Flow Launcher for Windows navigation, ONLYOFFICE Desktop Editors for office files, PDFgear for PDFs, and Affinity for creative work. It is a useful set of personal recommendations, not a benchmark or proof that every reader will save money. The best fit depends on your operating system, files, privacy needs, and tolerance for setup.
What “free” means in this experiment
Free here means the author could use the apps for his described tasks without paying for the software itself. It does not mean every app is open-source, every feature is included, or setup and accounts never matter. Some products offer optional paid services or features, and syncing or configuring an app can take effort.

The experiment lasted a month and produced five apps the author chose to keep. It did not measure subscription savings, compare performance under controlled conditions, or establish that the apps are right for everyone. Treat the picks as a shortlist to try against your own routine.

Obsidian for notes
Obsidian stores notes as local Markdown files. The author uses Google Drive to sync his vault rather than paying for Obsidian Sync, and says a recent mobile redesign made the app usable for him on mobile; he still prefers the desktop experience. That is a personal setup, not an equivalent replacement for the dedicated sync service: a generic cloud folder does not promise the same merging, version history, or end-to-end encryption. Decide where your notes live and how they are protected before syncing them.

Flow Launcher for Windows navigation
Flow Launcher gives Windows users a keyboard-driven way to launch apps, find files, calculate, and search the web. The author values having those actions available from one launcher. Some functions may require plugins or settings, so expect to configure it to match your habits. The project is described as MIT-licensed open-source software in the republication context; this is distinct from simply being free to use.
ONLYOFFICE Desktop Editors for office files
The author found the interface familiar and says his existing documents worked well for everyday use. He also found Microsoft Office more capable for advanced Excel and PowerPoint work. ONLYOFFICE describes Desktop Editors as a free desktop suite for documents, spreadsheets, presentations, fillable forms, and PDFs, with Windows, Linux, and macOS support and formats including DOCX, XLSX, and PPTX: ONLYOFFICE Desktop Editors.

Do not infer that every Office file will behave identically. Before migrating, open copies of the documents you rely on and check formulas, macros, tracked changes, fonts, and complex layouts. The vendor’s enterprise migration topics include macros, legacy formats, and font compatibility, all of which can affect real-world fit.
PDFgear for PDF tasks
For his needs, the author says PDFgear handled text edits, page operations, merging and splitting, signatures, and document organization. That is a report of what worked for him, not a guarantee about every workflow or platform. Browser-based PDF tools and desktop applications can differ in where files are processed; the available evidence does not establish that sensitive documents are processed locally. Check the tool’s current privacy terms and handling of files before using it for confidential material.

Affinity for creative work
The author uses Affinity for image, graphics, and thumbnail work, citing layers, masks, typography, selections, and RAW handling as sufficient for his needs. A republication reports that Canva announced an all-new Affinity in 2025 as free to use, with a free Canva account required for new users and some AI features reserved for paid plans. Those current product terms were not independently verified against an official Canva page here, so confirm the terms with Canva before choosing the app on the assumption that a particular feature is free.

The comparison is about the author’s task fit, not speed, reliability, or total cost. Licensing and product terms differ: the republication describes Flow Launcher as MIT-licensed and ONLYOFFICE as AGPLv3, while its account and optional-feature notes concern other products. Free-to-use and open-source are not interchangeable labels.

Try replacements without risking your work
- Keep originals and make copies. Back up important documents before opening or converting them in a new office suite or PDF editor.
- Test representative files. Use the spreadsheets, presentations, forms, PDFs, and layouts you actually depend on, not just a blank sample document.
- Check storage and syncing. For notes and PDFs, establish where files are stored, how they are synced, and whether that arrangement meets your privacy and recovery needs.
- Verify the terms that matter. Check current account, paid-feature, and platform requirements directly with the vendor before building a workflow around them.
- Keep what solves a real problem. The author also tried Joplin, Bitwarden, LibreOffice, and GIMP but did not keep them because they did not suit his workflow. That choice is not evidence that those apps are inferior.
