I Had 47 Tabs Open During an Incident. Never Again.

Forty-seven tabs were my warning sign. A shared incident channel, live record, clear ownership, and a practiced update rhythm make response easier to coordinate.

I had 47 tabs open during an incident. I kept switching between dashboards, chat threads, notes, and documentation, trying to work out what was current and who was doing what. The number is my own recollection, not a benchmark. What stuck with me was the attention it took just to keep the response organized.

The fix isn’t a magic tab limit. It’s a response pattern that gives everyone one place to find the current state, makes ownership explicit, and sets expectations for updates before the next alert.

Why an incident creates more than a technical problem

When a service is failing, responders need to diagnose and mitigate the technical issue. They also have to coordinate people: decide who is leading, assign work, share status, and make sure important information reaches the right people. Google’s SRE Workbook guidance on incident response treats those coordination tasks as part of the response, not as overhead to improvise later.

Without a shared method, each person may build a separate picture from chat, dashboards, documents, and verbal updates. My 47 tabs were a symptom of that scattered picture. Keeping more windows open did not tell me which information was authoritative or which task had an owner.

A lightweight incident setup: channel, record, roles, and updates

Google’s incident-response guidance and incident-management guidance describe a structured approach: coordinate through clear roles and keep incident information available as the response evolves. A small team can apply the same idea without adopting a complicated process.

Use one incident channel for coordination

Choose one designated channel for response coordination. Use it to announce the incident, identify responders, direct people to the live record, and post updates. Technical investigation may happen in other tools, but the channel should make it easy to find the current coordination thread rather than forcing people to search several conversations.

Keep one live incident record

Create a shared record that responders update as facts change. It should capture the current impact, what is known and unknown, actions taken, decisions, open questions, and the next steps. Link to relevant dashboards or technical work from the record instead of making a collection of browser tabs the only map of the response.

A live record is not a polished report to write after the outage. It helps people joining mid-incident understand the state of play and gives responders something concrete to use during handoffs. Google’s SRE material also recommends retaining incident documentation for post-incident analysis.

Make ownership visible

Google describes distinct incident responsibilities, including incident command, operations, and communications, with work delegated as the response grows. In practice, name a lead to coordinate the response, identify who is handling technical investigation or mitigation, and assign someone to manage updates when the incident warrants it. One person can cover more than one responsibility in a small incident, but the assignments should be explicit.

Give tasks an owner and a clear next action. “Someone should check the database” is not an assignment; “Ari is checking database saturation and will report back in the incident channel” is. This makes progress and unanswered work easier to see.

Set an update rhythm

Agree on where updates go and when they are due. A steady cadence lets responders know when to expect new information and helps communications stay consistent. The exact interval depends on the incident and the audience; these sources do not prescribe one universal schedule. Put the next update time in the live record or channel so people do not have to ask whether the response has gone quiet.

Prepare the workflow before the next alert

Under pressure is a poor time to decide where updates belong, who leads, or how a new tool works. Google’s SRE Workbook recommends preparation and practice so responders can use a defined process when an incident occurs.

  1. Choose the default channel and record. Decide where the team will coordinate and where it will maintain current incident state. Make access straightforward for the people expected to respond.
  2. Define responsibilities. Agree how the team will identify a response lead, assign operational work, and handle communications as an incident grows.
  3. Specify what an update includes. Use a simple pattern: current impact, what changed, actions underway, open needs, and when the next update is expected.
  4. Rehearse a realistic scenario. Practice opening the channel and record, assigning roles, handing off work, and posting an update. A short exercise can expose missing access or unclear ownership before they matter.

Keep the process lightweight enough that people will actually use it. The goal is not to add paperwork; it is to make the current state and next action easier to find.

During recovery, prefer tools the team already knows

This matters especially in security recovery. Microsoft’s incident response overview recommends using capabilities in tools already deployed before introducing a new tool during an active response. It also cautions that tools purchased under pressure may go unused afterward.

That does not mean a new incident-management platform is never appropriate. It means that an incident is a risky moment to buy, configure, and learn an unfamiliar system unless the existing setup cannot support the response. First check whether the organization’s current chat, ticketing, documentation, or operations tools can provide a shared record, clear progress visibility, accountability, and consistent update channels. Microsoft’s incident-management practice guidance highlights those kinds of tracking and communication needs.

If the existing tools leave a real gap, evaluate options against those needs and the team’s ability to operate them—not just their feature lists. The sources cited here establish useful comparison criteria, but do not establish a current ranking of named vendors.

After the incident, preserve the record and improve the process

When response work ends, retain the incident record and use it to examine what happened, what decisions were made, and where coordination became difficult. Google’s Incident Management Guide connects incident documentation with post-incident learning. Turn specific lessons into changes—such as clarifying a role, fixing access to the record, or adjusting the update process—so the next response starts from a better-prepared workflow.
