I Ditched My Cloud Password Manager for KeePassXC—and Feel More Secure

Switching to KeePassXC can reduce dependence on a password manager’s hosted vault, but you must manage syncing, backups, recovery, and device security.

Switching to KeePassXC made me feel more secure because I now control where my password vault is stored instead of relying on a password manager’s hosted vault service. That is a change in who manages storage and recovery—not proof that KeePassXC is universally safer. KeePassXC keeps an encrypted KDBX database on your device; if you want it on multiple devices, you arrange syncing separately, and you take responsibility for backups, recovery, and compatible clients.

What changed when I switched

With KeePassXC, my passwords and other vault entries live in an encrypted database file in the KDBX format. KeePassXC supports KDBX 3.1 and KDBX 4. The app does not include its own cloud-sync service: I choose where the file lives and, if needed, which separate file-sync service copies it between devices. KeePassXC says this provider-agnostic approach keeps synchronization outside the application.

As an Amazon Associate I earn from qualifying purchases.

That distinction matters. A hosted password manager may bundle vault storage and synchronization into its service; a KeePassXC setup separates the vault application from storage and syncing. This reduces dependence on the password-manager vendor’s hosted vault service, but it does not mean that every hosted manager can read its customers’ vaults. The cited documentation does not establish the storage or key architecture of any particular competing manager.

My feeling of increased security comes from having a more explicit view of the system: one encrypted file, a master password, optional additional key material, and a sync method I select. The trade-off is equally explicit: I must keep the file available and recoverable, and I must secure the devices that open it.

Is KeePassXC more secure than a cloud password manager?

There is no universal answer. KeePassXC can reduce exposure to a password-manager vendor’s hosted vault service, but it cannot make a compromised computer safe. A cloud-synced KDBX file is still a cloud-stored copy, even though KeePassXC documents the database as encrypted at rest. The security comparison depends on what each product protects, how it handles keys and synchronization, and how well you manage your own devices and recovery.

Where the vault lives

KeePassXC creates a local database. You can leave it on one device or place it in a cloud-synced folder; in the latter case, the storage provider handles file synchronization, not KeePassXC. You are choosing two separate components: the vault application and the file-storage/sync service.

Sync and availability

A managed service may make access across devices part of its product. With KeePassXC, you choose and maintain a sync method and should understand how it handles simultaneous edits, file history, and deleted or conflicted copies. The available documentation does not establish how any particular provider handles those cases, so check its own guidance before relying on it.

Unlocking and endpoint risks

KeePassXC supports AES-256 or Twofish encryption and configurable key transformations that strengthen the master password’s contribution to the database key. Those controls help protect a database file, especially if someone obtains a copy and tries to guess its password offline. They do not protect secrets after the vault is open on a compromised device: malware, screenshots, clipboard snooping, or unsafe browser integration can expose credentials.

ANSSI’s security target for KeePassXC 2.7.9 on Windows 10 explicitly considers threats such as system access, memory dumps, screenshots, clipboard snooping, offline database brute force, and browser integration. Its assumptions include an up-to-date operating system with malware protection and exclude a keylogger recording a trusted user’s keystrokes. These boundaries are a useful reminder that vault encryption is not a substitute for endpoint security.

Recovery and responsibility

In a self-managed setup, the database, master password, and any required key file are your responsibility. KeePassXC warns that losing required unlock material can leave the vault inaccessible. A hosted product may package more of the sync and availability work, but its exact protections and recovery design must be evaluated product by product.

What security reviews do—and do not—show

An independent review can provide evidence about a particular build and configuration, not a blanket guarantee. KeePassXC’s project announced a review by security consultant Zaur Molotnikov, completed January 19, 2023, against version 2.7.4. The reviewer’s conclusion was conditional on a strong authentication method and use of the latest secure file format. The project also cautions that an audit does not prove total safety and applies to a specific code snapshot. Read the project’s audit announcement and report.

The official listing records an ANSSI Security Visa, ANSSI-CSPN-2025/16, dated November 17, 2025, and valid until November 17, 2028, for KeePassXC 2.7.9 on Windows 10. The listing notes that evaluations are tied to specific versions and platform builds and are not endorsements. It should not be generalized to other KeePassXC versions or operating systems. How to set up a safer KeePassXC workflow

Choose a strong master password

Use a long, unique passphrase that you do not use elsewhere. KeePassXC’s configurable key transformations add work to deriving the database key from the password, but they do not make a weak or reused password a good choice. Store the password in a way that remains accessible to you without leaving it alongside every copy of the database.

Decide whether to use a key file or hardware key

A random key file can add protection, but it becomes required unlock material. KeePassXC advises that it contain unpredictable data, remain unchanged, and have its own secure backup. If you sync the KDBX file through a cloud provider, KeePassXC recommends syncing only the database and distributing the key file by different means. Treat the key file like another password, and do not rely on a USB thumb drive as its only copy; the project warns that such drives are unreliable.

KeePassXC also supports YubiKey and OnlyKey challenge-response to strengthen the database decryption key. This is not technically conventional two-factor authentication: the database is decrypted offline rather than authenticated to an online service. Preserve a backup of the hardware key’s secret and check model compatibility before buying or configuring a device. KeePassXC’s implementation is incompatible with KeePass2’s KeeChallenge method.

Keep two-factor codes appropriately separate

KeePassXC can store TOTP secrets. If you keep a website password and its TOTP seed in the same database, access to that database can expose both. For a stronger separation benefit, KeePassXC’s FAQ recommends a separate database protected by a different password, potentially on another computer. Consult the official documentation and FAQ.

Plan sync and backups before relying on the vault

  1. Choose a storage location and sync service, if you need multi-device access. Confirm which KeePassXC-compatible client is available on each device rather than assuming the desktop app covers phones.

  2. Sync the KDBX file and learn how your provider handles version history, deleted files, and conflicting edits. Avoid making simultaneous changes on multiple devices until you understand the conflict workflow.

  3. Keep a recoverable backup in a separate safe location. KeePassXC’s guide recommends choosing a cloud service with automatic backups or version history, but that should not be your only recovery copy.

  4. Test restoration by opening a copy of the database and confirming that it unlocks and contains current entries. Do this before you depend on the backup during an emergency.

  5. Keep required unlock material—especially a key file or hardware-key secret—recoverable through a separate secure route. Do not put the only copy of every recovery factor in the same place as the database.

KeePassXC says the database remains encrypted when stored locally or in cloud storage. Encryption does not prevent accidental deletion, sync conflicts, corruption, account compromise at the storage provider, or loss of the password or required key material. Your recovery plan needs to account for those practical failure modes.

How to move an existing vault

KeePassXC supports KDBX 3.1 and KDBX 4, opens older KDBX 2 files and upgrades them, and can import KeePass 1.x KDB databases into KDBX. Its FAQ recommends KDBX 4 for migration. That does not establish a universal import route from every commercial password manager: check whether your current manager exports a format KeePassXC can import, and handle any plaintext export as highly sensitive.

  1. Check the current manager’s export options and KeePassXC’s supported import formats before creating an export.

Who is likely to prefer this approach?

For me, the switch feels safer because the storage arrangement is under my control and the responsibilities are visible. It is a deliberate trade: less reliance on one password manager’s hosted vault, more ownership of synchronization and recovery. That is a good fit only if you are willing to manage the whole system, not just install the app.
