Most AI project features stop at summarizing tasks or answering questions. Planvio, an open-source project manager created by Hatem Sweileh, is designed to let configured AI agents use the same application tools people use to update work—under controls that the project says include permissions, approvals, workspace limits and audit records. That distinction makes it a useful example of a broader shift: AI that operates software, rather than only talking about it.
What Planvio is—and what it is trying to change
Planvio is a self-hosted project-management application for business work, not just a software issue tracker. Its documented uses include marketing campaigns, construction, events, product launches, HR initiatives, client projects, operations and research. The project lists familiar planning functions such as tasks and subtasks, dependencies, milestones, boards, timelines, calendars, time tracking, budgets, reporting and collaboration.

Sweileh’s design premise is that an AI assistant becomes more useful when it can perform a project action instead of merely describing one. He put it this way: “I think we’re moving from software where AI talks about the application’s data to software where AI operates the application.” This is the creator’s motivation and product thesis, not evidence of an independently tested outcome.
How an AI agent can make changes
According to the Planvio repository, the application exposes its functionality through 39 typed AI tools. The project says those tools validate inputs, check authorization and workspace scope, carry out application actions and create audit information. In this design, the AI does not get raw database access or an elevated account; it invokes application functions.

That can make changes to project work possible, such as updating a task, while leaving the application’s usual rules in the path. The extent of action depends on the selected mode:
| Mode | What the project says it allows |
|---|---|
| Assistant | Answer questions and analyze project data without changing it. |
| Copilot | Propose changes and wait for a person’s approval. |
| Autonomous | Execute within configured workspace and project limits; the project says destructive actions require approval. |
Sweileh summarizes the principle as: “The AI isn’t above the application. The AI operates through the application.” The repository similarly states, “Every AI action runs through the same `Gate`, policy and workspace scope as a human.” These are descriptions of Planvio’s intended architecture by its creator and maintainers, not an independent security assessment.

Why permissions and a stop control matter
An agent that can change assignments, dates or task status needs narrower authority than a human administrator with unrestricted access. Planvio’s documentation says administrators can configure the workspaces and projects within an autonomous agent’s reach, require approval for destructive actions and use a kill switch to halt autonomous execution. It also says actions are logged for auditing.
Outdated Drivers Are Slowing You Down

That is a relevant precaution because project text can contain misleading instructions, but it does not establish that prompt injection is eliminated. Nor do the documented controls, by themselves, demonstrate that failures or unauthorized actions are impossible. The sources reviewed do not include an independent security audit or evaluation.
Self-hosting: shared-hosting route and requirements
Planvio’s README describes a browser-based deployment route for cPanel, including shared hosting. The project says this path does not require Docker, Redis, PostgreSQL, a continuously running queue daemon, SSH or root access in production. It documents database-backed queues drained by a short-lived cron worker. Those are project-stated deployment characteristics; actual compatibility and performance depend on the hosting environment.
The repository lists these requirements. Check the README for the release you plan to install because requirements can change:

- PHP 8.3 or 8.4.
- MySQL 5.7 or later, or MariaDB 10.6 or later.
- Apache or LiteSpeed; Nginx is also documented as supported.
- Two cron entries.
- About 350 MB of disk space, plus room for attachments.
For the browser-based release-archive route, the README’s sequence is to upload and extract the archive with the hosting file manager, point the domain’s document root at the application, configure a MySQL database, run the installer, set up cron jobs and SMTP, and optionally configure an AI provider. This is distinct from installing from source, which the project documents as a developer path using Composer and npm.

AI providers are optional
Planvio does not require a particular AI provider. The creator’s article and current repository describe support for OpenAI, Anthropic, OpenAI-compatible endpoints and local runtimes including Ollama; the repository also names LM Studio and vLLM and gives Azure, OpenRouter, Groq, Together and Mistral as compatible-endpoint examples. Provider support and availability can change, so consult the project documentation and vendor information for the setup you intend to use.

The sources do not compare model quality, price, data retention, privacy terms or response time. A local runtime is not automatically the right choice for every privacy or performance requirement; those depend on the model, configuration and deployment. AI itself is optional, so teams can evaluate Planvio’s project-management functions separately from its agent features.

The repository identifies Planvio as GNU AGPL v3.0 software. It explains that operators of a network-accessible modified version must offer its source. The license text is the right reference for the obligations that apply to a particular use.
The project says it ships in English and Arabic with right-to-left layout support, and that administrators can add languages. Its documented feature set also includes comments, attachments, expenses, reports, roles, guest access, a REST API and webhooks. These are maintainer-listed capabilities, not a comparative product review.

Planvio’s notable idea is not simply adding a chatbot to project software. It is exposing project actions to an agent while describing controls that govern what the agent can do and where. That approach is worth examining wherever teams want AI to update work rather than only summarize it.
The available evidence here is the creator’s account and project documentation. It does not establish independent user adoption, benchmark performance, security assurance or superiority over other project managers. For a team considering deployment, the practical questions are whether its documented workflows match the team’s needs, whether the hosting environment meets the release requirements, and whether the chosen AI provider and configured authority are acceptable.
