A professional work voice message should make its purpose and requested next step clear near the beginning, with only enough context for the listener to respond. Plan what the recipient needs to know, speak naturally and respectfully, and choose voicemail only when it fits the situation.
How do I leave a professional voicemail at work?
Before recording, decide who will hear the message and what you want them to understand or do. The Harvard Division of Continuing Education recommends planning around your goal and audience, outlining necessary points, and removing irrelevant detail. Its advice applies to spoken as well as written communication: “The key to powerful and persuasive communication — whether written or spoken — is clarity and, when possible, brevity.” (Harvard DCE, “8 Ways You Can Improve Your Communication Skills”.)

- Identify yourself if needed. Say your name and team or organization if the recipient may not recognize your number.
- Give the reason for calling early. State the specific matter rather than making the listener wait through background.
- Add only necessary context. Include the detail the recipient needs to understand the request; leave out side issues.
- State one clear next step. Say what you are asking the recipient to do or tell you. Include a deadline only if there is a real one.
- Give a return route if a reply is needed. Leave your callback number or another suitable way to reach you.
This is a practical outline, not a formal voicemail standard. Replace each bracket in the example below with accurate information and omit anything unnecessary:
“Hi, this is [name] from [team]. I’m calling about [specific matter]. [One sentence of relevant context.] Could you [specific next step] by [real date, if applicable]? You can reach me at [number]. Thanks.”

What should I say in a work voice message?
Use direct, respectful language that sounds natural aloud. Put the main point before secondary detail, then make the requested response or action explicit. Microsoft’s Outlook guidance recommends keeping written messages short and organizing information from most important to least; that is a useful adaptation for planning a voice message, not a voicemail-specific rule (Microsoft Support, “Best practices for Outlook”).
Be considerate rather than abrupt. Microsoft notes that tone does not always translate in workplace chat, so its reminder is useful as a general reason to choose words carefully—not as direct evidence about vocal tone (Microsoft 365 Team, “Your guide to chat etiquette in the workplace”). Speak at a measured pace, and make names, dates, numbers, and the requested action easy to follow.

How long should a professional voicemail be?
There is no established universal ideal duration for a workplace voice message. Keep yours only as long as needed to explain why you called and what the recipient should do next. Harvard DCE advises clarity and brevity where possible, while Microsoft’s Outlook advice favors concise, well-organized messages; neither source sets a voicemail time limit.

Choose the channel based on the work, recipient, and topic. Microsoft recommends selecting a communication mode with those factors in mind and suggests moving to a quick voice call if written instant messages remain unclear. It does not prescribe when voicemail is better than a live call. Consider these practical questions:

- Urgency: Does the recipient need to respond immediately, or is an asynchronous message appropriate?
- Nuance: Would speaking make the explanation easier, or would written wording be clearer?
- Availability and preference: Is the recipient likely to be able to take a call, and do they prefer another channel?
- Recordkeeping: Does the matter need a written record that can be reviewed or forwarded?
These are decision prompts, not a published scoring system. If you use voicemail but the topic also needs a durable record, follow up through an appropriate written channel.

Options depend on the phone system. Cisco Unity Connection Release 14 documents capabilities such as recording a message, addressing recipients, marking a message private, and scheduling future delivery. Those controls are specific to that system and release; check your organization’s phone instructions rather than assuming another service has the same features (Cisco, User Guide for the Cisco Unity Connection Phone Interface (Release 14)).
