Put those terms where shoppers can find them before checkout, use plain language, and distinguish your voluntary change-of-mind policy from legal rights that apply to faulty or misdescribed goods.
What a customer-friendly return policy needs to say
Write the policy to answer a shopper’s practical questions without requiring them to interpret legal or operational jargon. Keep voluntary return terms distinct from statutory rights, which can vary by the customer’s location, the seller, the product, and the transaction.

| Policy detail | What to state clearly |
|---|---|
| Eligibility and exclusions | Which products are returnable and which are excluded. Explain product-specific conditions plainly; do not rely on a broad exclusion customers cannot connect to their purchase. |
| Return deadline | How many days the customer has and the event from which you count them, such as delivery. State the trigger rather than just listing a number. |
| Item condition | What condition the item must be in and whether packaging, tags, hygiene seals, or included parts matter. Include only requirements that are relevant to your products and lawful terms. |
| How to return | How the customer starts a return, where to send the item, and any steps needed to obtain instructions or a label. |
| Shipping and fees | Who pays return postage and whether any fee, including a restocking fee, applies. Use specific descriptions instead of vague labels. |
| Available remedy | Whether the customer can receive a refund, exchange, or store credit, and whether the remedy depends on the reason for return. |
| Refund timing and method | When you issue the refund, how it is sent, and any accurately applicable timing conditions. |
| Sale items | Whether sale or clearance items have different voluntary return terms. Do not imply that a reduced price removes legal rights. |
How to draft the policy in plain language
1. Separate change-of-mind returns from legal remedies
Say whether you offer voluntary returns when a customer simply changes their mind. Then explain how you handle faulty or misdescribed goods without suggesting that your store policy replaces rights provided by applicable law. A single sentence such as “All returns are subject to this policy” can mislead if it appears to limit a customer’s legal rights.

Give customers an exact period and identify the event that starts it. “Return within 30 days” leaves open whether the count begins at purchase, dispatch, or delivery. If different product categories or return reasons have different periods, label each one separately.

3. Make condition requirements concrete
Describe the item’s required condition in terms a customer can check. If tags, original packaging, seals, or accessories matter, name them and explain when the requirement applies. Avoid blanket conditions that do not fit every product.
4. Show the return route and costs
Tell customers how to request a return, whether they need authorization or a label, and where the parcel goes. State whether the customer or merchant pays postage and identify any fee directly. The Federal Trade Commission advises shoppers to check return shipping and restocking-fee terms; its guidance is a useful reminder that these costs should not be hidden behind vague wording. See the FTC staff FAQ on the Rule on Unfair or Deceptive Fees.
5. Explain the result and refund timing
State whether an eligible return leads to a refund, exchange, or store credit, and whether the options depend on the reason for return. Explain how and when the refund is issued. Avoid promising a universal processing time if timing differs by payment method or applicable rules.

6. Make exceptions legible
List exclusions and special sale-item terms in a clearly labeled section. Explain their scope in ordinary language, and do not present a voluntary-policy exception as a reason to deny a legal remedy that still applies.
Put the terms where shoppers can see them
Customers should be able to find the important conditions before deciding to buy. Use short headings such as “Return window,” “Return shipping,” “Refund timing,” and “Exceptions.” Link to the full policy from a persistent location such as the site footer, and surface the relevant terms on product or checkout pages where they affect a purchase decision. These are practical placement recommendations; the official guidance cited here does not prescribe a particular website layout.
The FTC staff FAQ says a “clear and conspicuous” disclosure is “easy for people to understand and difficult for them to miss.” Apply that principle to material return costs and restrictions: make the wording understandable and the disclosure hard to overlook, rather than placing a key fee or deadline in dense text.
Keep rules specific to the customer’s market
There is no single worldwide return deadline. Do not combine jurisdiction-specific requirements into one global promise. The following are summaries of official guidance, not legal advice; applicability depends on the circumstances of the sale.

The FTC’s consumer guidance tells shoppers to check whether a full refund is available, the return period, who pays return shipping, and whether a restocking fee applies. It also notes that sellers often set different terms for sale or clearance items. This is consumer guidance, not a rule requiring every US merchant to accept change-of-mind returns. The FTC separately states that, for most payment types, a refund should be issued within seven business days after a return is accepted; confirm whether that timing applies to your transaction before describing it as a merchant obligation. See the FTC online-shopping guidance and FTC guidance on the Mail, Internet, or Telephone Order Merchandise Rule.
United Kingdom
For covered online, mail, or phone purchases, GOV.UK says a buyer generally has 14 days to notify the trader of cancellation, then another 14 days to return the item. The trader must refund within 14 days of receiving it back. Faulty or misdescribed goods carry refund rights, and sale purchases retain the same rights as full-price purchases. Confirm the relevant exceptions and applicability before using these rules in a policy. See GOV.UK guidance on accepting returns and giving refunds.
European Union
Your Europe says many online, phone, and off-premises purchases carry a 14-day withdrawal right. Customers exercising that right generally pay return postage and packaging. The guidance also describes separate rights for faulty goods; do not confuse those rights with the withdrawal process or treat the EU summary as a universal rule for every country and product. See Your Europe’s guidance on returns and the right of withdrawal.
Use a consistent checklist before publishing
- Can a customer tell which goods are eligible and which are excluded?
- Is the return window stated with the event that starts the clock?
- Are item-condition requirements relevant, specific, and understandable?
- Can a customer follow the return steps without contacting support to decipher them?
- Is the return-shipping payer identified?
- Are restocking or other fees stated plainly?
- Does the policy distinguish refund, exchange, and store-credit outcomes?
- Does it explain refund timing without overstating a legal deadline?
- Are sale-item terms clear without implying that a sale removes statutory rights?
- Can shoppers find the terms before they place an order?
- Does the policy identify the markets it covers and avoid implying that one jurisdiction’s rules apply everywhere?
Optional implementation in Shopify
A store platform can help publish and surface policy text, but it does not decide which return terms are lawful for a particular transaction. Shopify’s help center discusses consumer-protection considerations and store-policy settings. Treat platform settings as a way to present your policy, not a substitute for writing clear terms or checking the rules that apply to your customers. See Shopify’s consumer-protection guidance.

Who pays return shipping?
Your policy should say directly whether the customer or merchant pays return postage. The answer can depend on the reason for return and applicable law. In the EU withdrawal context described by Your Europe, consumers generally pay postage and packaging when exercising the withdrawal right.
Best Value
How many days do customers have to return an item?
State your voluntary return deadline and what starts it. Legal periods differ by market and transaction: for covered UK distance purchases, GOV.UK describes 14 days to notify the trader and a further 14 days to return the item; Your Europe describes a 14-day withdrawal period for many EU distance purchases.
Can a store charge a restocking fee?
Do not leave customers to infer whether a fee applies. State any restocking fee clearly and make the term easy to find. Whether a particular fee is allowed or how it must be disclosed depends on applicable rules.
Can sale or clearance items be excluded from returns?
A merchant may set different voluntary return terms for sale or clearance items in the US, according to FTC consumer guidance. That does not mean a sale price removes legal rights. GOV.UK says UK sale purchases retain the same rights as full-price purchases.
Does every US online store have to accept change-of-mind returns?
The FTC consumer guidance cited here tells shoppers to check whether a full refund is available; it does not describe a universal US requirement that every merchant accept change-of-mind returns. State your own voluntary terms accurately and separately from applicable rights for faulty or misdescribed goods.
