Before dispatch, verify the e-way bill (EWB) in the official portal using its EWB number, date, generator ID and document number. Then compare the returned record with the invoice or other source document, the goods and the planned movement—including the vehicle or transport details in Part B. A number alone does not prove that the bill is complete, valid or accurate.
How do I verify an e-way bill?
- Open the official E-Way Bill Portal and choose its search or verification option.
- Enter the EWB number, EWB date, generator ID and document number. The portal’s FAQ identifies these four details as the lookup inputs for checking authenticity or correctness: E-Way Bill System FAQ.
- Compare the returned record with the underlying invoice, bill of supply, delivery challan or bill of entry, as applicable. Check consignor and consignee, document reference, goods and route details.
- Check Part B against the movement about to begin. For road transport, the conveyance recorded in the bill should match the vehicle actually carrying the goods. For other modes, check the relevant transport-document details.
- Confirm that the bill has been generated, is within validity, and that the accompanying document is available with the person in charge. The EWB number or a copy may be carried electronically, according to the FAQ.
Applicability is not universal: exemptions and applicable central, State or Union Territory provisions can affect whether an EWB is required. Check the current rules and notifications for the movement and jurisdiction rather than assuming every consignment needs one.
Is a Part-A Slip a valid, completed e-way bill?
No. A Part-A Slip temporarily stores document details; it is not by itself a completed EWB for the movement. Generation is completed when the required Part-B transport details are entered—such as the road vehicle number or the transport-document details for another mode. Before dispatch, verify the generated bill, not just a Part-A Slip.
What should I do if information is wrong?
The remedy depends on which information is wrong and what has happened to the consignment. The official FAQ says a generated EWB cannot generally be edited or modified except for Part-B updates. The GST E-Way Bill Rules provide for cancellation when goods are not transported or are not transported according to the bill.

If cancellation is unavailable—for example, because the 24-hour window has passed or an officer has verified the bill in transit—do not treat a new bill as a way to erase the issue. Stop and check the current official rules and portal guidance for the specific consignment before moving it.
What if the vehicle number is rejected or flagged?
Invalid-format alert
Compare the entry with the vehicle’s registration certificate and the format guidance currently shown in the portal. The FAQ says this alert can appear when the entered number does not match the expected format. Older examples may not cover every current format, so do not rely on them as an exhaustive list.

Vahan mismatch or vehicle alert
An alert may mean the vehicle is unavailable in Vahan or that its record is duplicated across RTOs. NIC’s vehicle FAQ advises the vehicle owner to contact the concerned RTO to update registration data. If Vahan shows the vehicle but the EWB portal does not, the FAQ directs users to submit a grievance to the EWB helpdesk. Check the vehicle and the portal record before dispatch; an alert is not proof that the transport details are correct.
How do I check validity or handle an expired bill?
The current EWB FAQ states that regular transport validity is one day for every 200 km or part of 200 km; Over Dimensional Cargo (ODC) validity is one day for every 20 km or part of 20 km. The validity clock starts with the first Part-B entry and is not recalculated when Part B is updated later. It expires at midnight on the last validity day.

There is a version discrepancy in official material: the rules PDF still shows the older rate of one day up to 100 km and one additional day per further 100 km, while the portal notice says the change to 200 km per day took effect on 1 January 2021 and the current FAQ gives the 200 km rate. For current operational calculations, consult the current portal FAQ and announcements rather than applying the older table in isolation.
The FAQ says goods should not be moved after the EWB expires. It describes an extension process in exceptional circumstances and during transshipment, subject to an eight-hour timing condition. An extension is not automatic: check the current portal workflow and rules for the particular case before relying on one.

What if generation or an update fails?
Portal validations change over time. The API error catalog distinguishes, among other cases, invalid vehicle formats, expired validity when updating vehicle details and an EWB that cannot be cancelled because it has been verified. The official announcements page lists additional generation validations effective 2 December 2025 and a relaxation for certain HSNs effective 1 February 2026.
- Record the exact error text or code; different validation failures require different fixes.
- Recheck the data against the source document and the portal’s current field guidance.
- Consult current official announcements or help material for that error instead of relying on a static third-party error list.
- If the error points to vehicle-registration data, use the RTO or helpdesk route described above rather than repeatedly entering a different number.
What if the recipient has not responded?
A recipient can review and reject an EWB created against its GSTIN. The portal FAQ says that no response within 72 hours of generation or before delivery, whichever is earlier, is deemed acceptance. The rules phrase the period as 72 hours after the EWB details are made available on the portal. In either wording, silence is a deemed acceptance under the stated rule—not confirmation that the record matches the goods or vehicle. Verify the actual EWB independently before dispatch.
