How to Use OneDrive on Mac [Everything You Need to Know]

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

OneDrive on Mac is built for one job: keeping your Microsoft cloud files in sync with a local folder on your Mac. Once it’s set up, you can create and edit files like they live on your drive—while OneDrive handles the upload, conflict handling, and sharing.

This guide covers the full workflow: installation, sign-in, choosing folders to sync, using Files On-Demand, sharing, and the most common sync problems (with practical fixes). You’ll also see when the OneDrive web interface is the better choice.

What OneDrive on Mac Actually Does

On macOS, the OneDrive client creates a dedicated OneDrive folder and synchronizes its contents with your OneDrive cloud storage. Changes you make locally are detected and uploaded; changes from the cloud are pulled down so your Mac stays up to date.

Depending on your setup and whether Files On-Demand is enabled, you can keep some files “available” without downloading the full data immediately—saving disk space.

Sandisk 2TB Extreme Portable SSD, Up to 1050MB/s, USB-C, USB 3.2 Gen 2, IP65 Water and Dust Resistance, Updated Firmware, External Solid State Drive, SDSSDE61-2T00-G25
  • Get NVMe solid state performance with up to 1050MB/s read and 1000MB/s write speeds in a portable, high-capacity drive(1) (Based on internal testing; performance may be lower depending on host device & other factors. 1MB=1,000,000 bytes.)
  • Up to 3-meter drop protection and IP65 water and dust resistance mean this tough drive can take a beating(3) (Previously rated for 2-meter drop protection and IP55 rating. Now qualified for the higher, stated specs.)
  • Use the handy carabiner loop to secure it to your belt loop or backpack for extra peace of mind.
  • Help keep private content private with the included password protection featuring 256‐bit AES hardware encryption.(3)
  • Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C

Prerequisites (So You Don’t Hit Setup Walls)

  • macOS: OneDrive supports modern macOS versions (commonly macOS 13 Ventura and newer, including macOS 14 Sonoma). If your Mac is very old, the Mac client may not install.
  • A Microsoft account (Personal) or a work/school account (Microsoft 365 / Office 365).
  • Enough disk space for the files you choose to sync or for any downloads when you open files marked as available-only.
  • Network access for initial sync. First-time sync can take time, especially with large libraries.

Also check that you know which account you want to use. OneDrive Personal and OneDrive for work/school behave differently, especially with organizational restrictions.

Method 1: Use the OneDrive Mac App (Recommended)

The OneDrive Mac app is the most complete option: it integrates with Finder, keeps a local sync folder, and supports Files On-Demand.

Install OneDrive for Mac

You can install the official client from the Mac App Store or by downloading the installer from Microsoft. In most cases, installing via the Mac App Store is the cleanest path for updates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open the App Store on your Mac.
  2. Search for Microsoft OneDrive (or OneDrive).
  3. Click Get or Install.
  4. After installation, open OneDrive from Applications or by using Spotlight.

If you already have an older OneDrive client installed, update it before troubleshooting sync issues. An outdated client can fail with newer storage behaviors.

Sign In and Choose Personal vs Work or School

When you first launch OneDrive, it will ask you to sign in and confirm which account you’re connecting.

  1. Open OneDrive.
  2. Enter your Microsoft email/username.
  3. Complete the sign-in flow (including any 2FA prompt).
  4. Confirm whether it’s Personal or Work or School.

If your organization uses Microsoft 365, you may be required to install additional components or comply with device policies. Those policies can affect sync behavior.

Pick What to Sync (Folder Selection)

Folder selection is where you control disk usage. If you only need certain folders locally, don’t sync your entire drive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. After signing in, OneDrive will show a list of folders (or prompts for folder selection).
  2. Select the folders you want to sync to your Mac.
  3. Click Next (or Done) to start syncing.

You can change this later. In the OneDrive menu bar icon, open Settings → Account and look for sync or folder options. The exact labels vary by client version, but the control is always tied to selecting what’s on your device.

Understand the OneDrive Folder on Your Mac

Once setup completes, Finder will show a OneDrive folder at your chosen location (commonly inside your home directory). Inside it, you’ll see the same folder structure as your cloud storage.

To keep everything consistent:

  • Store your OneDrive files inside the OneDrive folder.
  • Avoid moving files in and out of the OneDrive folder from Finder in ways that break sync (especially if you’re also manipulating them in the web interface).
  • Use the OneDrive client status indicators to confirm uploads/downloads are complete.

Use Files On-Demand (when available)

Files On-Demand lets you browse your OneDrive contents without immediately downloading everything. When you open a file, it downloads on demand.

  1. In the macOS menu bar, click the OneDrive cloud icon.
  2. Open Settings.
  3. Find Files On-Demand.
  4. Ensure it’s enabled.

Not every account setup exposes Files On-Demand in the same way. If you don’t see the option, you can still sync normally—just expect more local storage usage.

Upload and Download Files the Right Way

For the smoothest sync behavior, upload by placing files into the local OneDrive folder. Download happens automatically when you open files (with Files On-Demand) or when sync pulls changes.

  • Upload: Copy or move files into the OneDrive folder in Finder.
  • Download: Open a cloud-only file (if available-only). It should download automatically.
  • Confirmation: Wait for the sync status to finish before you assume changes are uploaded everywhere.

If you’re using macOS apps (Pages, Excel alternatives, Photoshop, etc.), save directly into the OneDrive folder to keep file tracking consistent.

Create, Move, and Rename Files Without Breaking Sync

OneDrive sync is robust, but it still depends on predictable file operations. For best results:

  • Rename carefully: Rename once, then wait for sync to settle.
  • Move within OneDrive: Moving files between folders that are both synced is usually safe.
  • Avoid heavy concurrent edits: If the same file is being edited in two places, OneDrive may create versions or conflicts.

If you see duplicate files or conflict copies, don’t delete them immediately. Check which version is correct, then keep the right one and remove the rest after confirming.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Share Files and Folders

Sharing from your OneDrive folder should work consistently across Finder and the web. The most reliable way to share is to use OneDrive’s share controls rather than exporting links manually.

  1. Right-click a file or folder inside your OneDrive folder in Finder.
  2. Choose the share option (often Share or a OneDrive share action).
  3. Select permissions (commonly view-only or edit access).
  4. Decide whether the link can be used by anyone or only specific people.
  5. Copy the link and send it.

For work/school accounts, sharing settings may be restricted by your organization. If sharing fails, check whether your tenant blocks anonymous links or external sharing.

Manage Storage and Offline Access

If your Mac storage is limited, lean on Files On-Demand or reduce what you sync.

  • Reduce synced folders: In the OneDrive settings, deselect folders you don’t need locally.
  • Use “available” vs “always keep on this device”: With Files On-Demand, some files can stay placeholder-only until opened.
  • Keep an eye on large attachments: Video, RAW photos, and zipped archives can consume space fast.

If OneDrive can’t download or fails to keep files updated due to disk pressure, syncing may lag or stop until you free space.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Method 2: Use OneDrive in a Web Browser

You don’t need the Mac client to access OneDrive. The web experience is great for quick viewing, sharing, and edits in supported Microsoft apps.

Use https://onedrive.live.com for Personal and your organization’s Microsoft 365 portal for work/school accounts.

Upload, Sync, and Edit via the Web

  1. Sign in at your OneDrive web address.
  2. Click Upload.
  3. Choose Files or Folder.
  4. Select items and upload.

When you later open those files on your Mac, the OneDrive client will sync the changes—assuming your Mac client is configured to sync the relevant folders.

Share Links and Permissions

  1. Select a file or folder.
  2. Click Share.
  3. Choose link type and permissions.
  4. Copy the link and send it.

Web sharing is also the fastest way to create links if your Mac client share UI is limited by your account policies.

Method 3: Use Finder + iCloud Drive-like Expectations (Practical Workflow)

If you’re used to iCloud Drive on Mac, you can follow a similar mental model: your OneDrive folder behaves like a local folder, but the sync layer handles what’s downloaded and when.

Best Practices for Reliable Sync

  • Write to the OneDrive folder, not directly to a mounted external drive unless you’ve planned the workflow.
  • Avoid editing files while they’re mid-upload. Wait for sync to finish if you’re doing long edits.
  • Don’t “cancel” partial uploads repeatedly. If an upload keeps failing, fix the underlying issue (network, auth, permissions, disk space) instead of retrying blindly.
  • Keep OneDrive running. If you fully quit the app, sync will pause.

Common Problems and Fixes

Most OneDrive issues are solvable. The fastest path is to check network/auth first, then sync status, then storage constraints.

OneDrive Won’t Start or Keeps Signing Out

  1. Check if you have a stable internet connection.
  2. Restart OneDrive: quit it, then launch again from Applications.
  3. Confirm you’re signed in to the correct account type (Personal vs Work/School).
  4. In OneDrive menu bar icon, open Settings and verify account status.

If sign-in loops persist, your best bet is to sign out and sign back in. If your work account is managed, your organization may also require periodic re-authentication.

Sync Stuck (Spinning Circle / “Working on it”)

When sync appears stuck, the culprit is often a specific file, a network hiccup, or a permission issue on one item.

  • 256-BIT AES ENCRYPTION(4) – helps keep private files secure with password protection.
  1. Click the OneDrive cloud icon in the menu bar.
  2. Open View Sync Problems (or the equivalent option).
  3. If you see a file listed, open it to confirm it’s accessible and not corrupted.
  4. If the file is large, try uploading it from the web first to isolate whether it’s a client-side problem.
  5. Pause and resume sync from the OneDrive menu if that option is available.

If the same file repeatedly fails, rename it and re-upload (from within the OneDrive folder) after confirming the content isn’t locked by another process.

Files Don’t Appear or Appear as Errors

  • Give it time: Initial sync can take hours with many files.
  • Check sync selection: The file may be in a folder you didn’t select to sync.
  • Verify file types: Some specialized file formats may trigger preview or handling quirks.

If you see an error icon next to a file, check OneDrive’s sync problem view and look for permission-related messages. Fixing a permission issue is usually faster than restarting the client repeatedly.

Files On-Demand Isn’t Working

If Files On-Demand is enabled but everything downloads immediately, check these common causes:

  1. Confirm Files On-Demand is actually enabled in OneDrive Settings.
  2. Check whether your storage setting forces “always keep on this device” for specific folders.
  3. Look for low disk space constraints—some behaviors change when storage is nearly full.

If you still can’t get placeholders to behave correctly, test with a small folder first. Once you confirm it works on a sample, move to the bigger library.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Insufficient Permissions or “Read-only” Files

Permissions issues are common with shared folders, especially on work accounts.

  1. Open the file in the browser and confirm your role (viewer vs editor).
  2. If you’re a viewer, you’ll only be able to read, not write.
  3. For folders, check whether the share link grants edit permissions.
  4. If it’s an org-managed library, ask an admin to verify external sharing or library permissions.

Don’t waste time trying to force sync by restarting OneDrive. If permissions are wrong, sync will keep failing on the same operations.

Account or Organization Restrictions

For work/school accounts, admins can enforce policies that affect:

  • Whether you can sync certain libraries locally
  • Sharing settings (anonymous links, external access, link expiry)
  • Device compliance requirements

If you’re blocked, the quickest route is to check your organization’s guidance or ask your IT team what OneDrive capabilities are enabled for your account.

OneDrive on Mac vs Other Options

Choosing the right approach depends on how you work: ongoing sync across devices, occasional file access, or heavy collaboration.

OneDrive App vs OneDrive Web

Task OneDrive App for Mac OneDrive Web
Day-to-day editing Best fit (works with Finder and local apps) Good for browser-based editing
Space saving Supports Files On-Demand (when available) N/A (you only use the browser)
Sharing links Works well, but policies may limit options Often the most consistent permission UI
Troubleshooting sync issues Central for sync problems and status Helpful to verify whether a file is accessible

OneDrive vs iCloud Drive (Quick Comparison)

Both services sync across Apple devices, but their ecosystems differ. OneDrive is built around Microsoft accounts, Microsoft 365 collaboration, and enterprise policy controls. iCloud Drive is tightly integrated with macOS and Apple ID workflows.

If your team lives in Microsoft 365 (Word, Excel, SharePoint), OneDrive is usually the smoother choice. If your personal workflow is Apple-centric, iCloud may feel more “native.” Many users run both—just keep a clear boundary on which folders live where.

Frequently Asked Questions

Do I need to keep OneDrive running on my Mac for sync?

OneDrive sync runs in the background while the app is active. If you fully quit the app, syncing pauses until you reopen it.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I use OneDrive with external drives?

You can, but sync behavior depends on how the external drive is used. For reliability, store your active sync folders on your internal drive. If you must use an external drive, treat it as a separate workflow and expect fewer “smart” placeholder behaviors.

Why do some OneDrive files show as placeholders or cloud icons?

That’s typically Files On-Demand behavior. The file exists in your OneDrive folder, but the content may not be fully downloaded until you open it.

How do I fix persistent sync errors without losing files?

Use the OneDrive menu to view sync problems and identify the specific failing item. Work from the reported cause (permissions, file locked by an app, disk space, corrupted file) rather than deleting random files.

Will shared files automatically sync to my Mac?

Shared files should sync if they’re in a synced folder and your OneDrive client has permission to access them. If you don’t see them, check folder selection and confirm you’re signed into the correct work/school account.

Bottom Line

To use OneDrive on Mac reliably, install the official OneDrive Mac app, sign in to the correct account, and be intentional about which folders to sync. With Files On-Demand enabled, you can browse a large library without immediately consuming disk space.

When something breaks, don’t guess: check sync status from the OneDrive menu bar, identify the specific file causing trouble, and fix permissions, network/auth, or storage constraints before restarting the client repeatedly.
