A reliable pipeline can read a brief from Google Sheets, generate an article and title, validate the output, create a WordPress draft, generate and attach a featured image, prepare SEO metadata, and write the result and status back to the sheet. Keep the WordPress item as a draft until a person approves it; automatic generation and automatic publication are separate decisions.

What n8n does in an automated content system
n8n is a fair-code licensed workflow automation tool that combines AI features with business-process automation. It does not replace your content-management system or act as an editor. Instead, it orchestrates the hand-offs between them.
As an Amazon Associate I earn from qualifying purchases.
A workflow is a connected set of nodes. A trigger starts an execution, data nodes read or transform information, AI nodes generate or analyze text, application nodes write to services such as Google Sheets and WordPress, and control nodes decide whether the run can continue. Each node exposes its input and output, so you can inspect the exact payload passed to the next step.
The content pipeline at a glance
- Trigger: start manually while building, or on a schedule when the workflow is dependable.
- Queue: read the next eligible content brief from Google Sheets or another datastore.
- Generation: send the validated brief and context to an AI model for the article, title and structured fields.
- Controls: check for missing output, required sections, length, links and prohibited claims; divert risky items to a human.
- Draft: create a WordPress post with a draft status rather than publishing immediately.
- Media: generate an image, upload it to WordPress media and set it as the featured image.
- Metadata: generate a meta title and description, then update the post or the fields exposed by your SEO setup.
- Tracking: write the URL, title, metadata, status, timestamps and errors back to the source row.
This separation makes failures recoverable. If image generation fails, you should be able to retry that step without asking the model to write the article again. If an editor rejects a draft, the source row should remain traceable to the original run.

Choose where n8n runs
n8n documents two deployment paths: n8n Cloud and a self-hosted instance. The choice affects who maintains the runtime, how credentials are controlled and how upgrades are handled; it does not change the logical workflow described here.
| Deployment | Best fit | Operational responsibility | Questions to settle before building |
|---|---|---|---|
| n8n Cloud | Teams that want a managed starting point | The service handles the hosted runtime; you still manage workflows, credentials and access | Workspace roles, credential ownership, execution retention and plan limits |
| Self-hosted n8n | Teams needing control over hosting, network placement or upgrades | You maintain the server, updates, backups, access control and availability | Where secrets are stored, who patches the instance, how backups are tested and how the public endpoint is protected |
For a first build, the official quickstart recommends starting with Cloud. Self-hosting is viable when you already operate the infrastructure and can take responsibility for security and maintenance.

Prepare the content queue and credentials
Create a source-of-truth sheet
Use one row per planned item. The documented template expects fields such as ID POST, PROMPT, TITLE, URL, METATITLE and METADESCRIPTION. Add workflow-control fields so a retry cannot create a second post accidentally.
| Column | Purpose | Example value |
|---|---|---|
| ID POST | Stable identifier used for idempotency | tech-2026-014 |
| PROMPT | Brief containing topic, audience, angle, evidence and constraints | Explain ... for small publishers |
| TITLE | Generated or editor-approved title | Filled by the workflow |
| URL | WordPress post URL after draft creation | Filled from the WordPress response |
| METATITLE | Search title draft | Filled by the metadata step |
| METADESCRIPTION | Search description draft | Filled by the metadata step |
| STATUS | Queue state | queued, processing, draft, needs_review, published or error |
| POST ID | WordPress identifier for later updates | Filled after draft creation |
| ERROR | Human-readable failure detail | Filled only when a branch fails |
| STARTED AT / UPDATED AT | Audit and retry information | ISO timestamps |
Google Sheets is convenient for a small queue and visible editorial hand-off. A database or CMS may be a better source of truth when many workers run concurrently or when you need stronger audit and locking behavior.
Connect every external service before testing
- Google Sheets: create credentials and confirm that n8n can read and update the target document and sheet tab.
- WordPress: configure the WordPress credential, verify that the site is reachable through its REST API, and test permissions for creating and updating posts and media.
- Text and SEO models: add the credentials for the providers you select. The documented example uses DeepSeek for article and title generation through OpenRouter.
- Image generation: configure an image provider if every post needs a featured image. The documented example uses OpenAI for this step.
Keep secrets in n8n credentials. Never place API keys in a prompt, a Google Sheets cell or a hard-coded field that will be copied into execution data.
Build the workflow step by step
1. Start with a manual trigger
Add a Manual Trigger while developing. It lets you execute one controlled run, inspect every node and correct mappings without waiting for a schedule. Do not switch to recurring execution until the review gate, status updates and failure branches work.
When the workflow is ready, replace or supplement the manual trigger with a Schedule Trigger for recurring production. A schedule should run only as often as your queue, model limits and review capacity can support. If another system already owns the event, use an event or webhook trigger instead.
2. Read and reserve one eligible row
Use a Google Sheets node to read rows, then filter for an approved queue state such as queued. Select one row per execution unless you have deliberately designed concurrency controls.
Before calling a model, update the selected row to processing and store a start timestamp. The stable ID POST travels through every node. If a scheduled run starts twice, that identifier and the processing state give you a way to detect that work is already in flight.

Do not mark the row complete when generation begins. Mark it draft or needs_review only after the WordPress response and the required downstream steps have been recorded.
3. Validate the brief before spending on generation
Add a validation or conditional node immediately after the sheet read. Check that the row contains an ID, a non-empty prompt, an intended audience and any required constraints. Route incomplete rows to an error or needs-input state with a clear message.
Useful checks include:
- the prompt is not empty or made only of whitespace;
- the topic and audience are present;
- required source notes or links exist for factual subjects;
- the row is not already marked processing, draft or published;
- the content ID has not already been associated with a WordPress post.
Rejecting a bad row here is cheaper and easier to explain than debugging an incomplete article later.
4. Generate the article with a structured prompt
Pass the brief as explicit input rather than relying on hidden context. Tell the model the audience, purpose, tone, required headings, factual boundaries, internal-link rules and the output format. Ask it to return fields that later nodes can map reliably, for example:
{"article_html":"...","summary":"...","source_notes":["..."],"needs_review":false}
Structured output reduces fragile text parsing. If your selected node or provider does not enforce a schema, add a parser and a validation branch that stops when the expected fields are missing.

The official example uses DeepSeek for article generation. You can use one provider for drafting or separate providers for drafting, SEO analysis and images; record the provider and model configuration with each run so later edits can be traced to the right setup.
5. Generate the title and other fields separately
Use a second AI step for the title instead of extracting the first line of the article. Supply the approved topic and the generated article or summary, then request one title in the required format. Store the result in TITLE.
Separate generation also makes it possible to regenerate a title without rewriting a reviewed article. Apply the same approach to a short excerpt, slug suggestion or social copy when those fields are genuinely needed.
6. Add editorial and safety gates
Before creating a WordPress record, validate the generated fields. A practical gate checks:

- links use approved destinations and do not contain prohibited claims;
- the title and metadata are not empty or duplicated;
- the model has not returned an error, refusal or prompt text in place of content;
- high-risk subjects are routed to a human with source notes attached.
Do not treat a passed technical check as editorial approval. The gate only decides whether a draft can be created and queued for review.
7. Create a WordPress draft
Use the WordPress node to create a post with the generated title and article HTML, assigning the status draft. The node supports creating, retrieving and updating posts and pages. Store the returned WordPress post ID and URL in the workflow item and then in the sheet.
Keep publication separate from creation. A draft-first design lets an editor correct facts, links, formatting, tone and metadata inside WordPress without exposing unreviewed output to readers.
8. Generate and attach the featured image
If the editorial format requires an image, call the configured image-generation step after the draft exists. The documented template uses OpenAI to generate an image, uploads it to WordPress media and sets the resulting media identifier as the featured image.

9. Generate and apply SEO metadata
Run a separate metadata step for a meta title and meta description. Save both values in the sheet regardless of whether your WordPress installation exposes custom SEO fields through its API.
If your SEO configuration provides writable fields, update the post after draft creation and verify the response. If those fields are not available through the connected endpoint, leave the values as editorial drafts in the sheet or WordPress content notes rather than claiming that they were applied.

10. Write the final state back to the queue
Update the source row with the WordPress post ID, URL, title, metadata, status, provider/model information and an updated timestamp. Use a status such as needs_review when a person must approve the draft, or draft when your team uses the WordPress dashboard as the review queue.
Only set published after a confirmed publication event. If any required node fails, write error and the error detail while preserving the content ID and any intermediate identifiers.
Design the human approval step
Human review is the control that catches errors an automation cannot reliably judge: invented facts, missing attribution, unsuitable images, accidental disclosure, weak audience fit and misleading SEO copy.
Quick wins for a faster PC:

- Create the WordPress item as a draft.
- Set the sheet status to
needs_reviewand include the post URL. - Notify or assign an editor using the communication method your team already operates.
- Have the editor verify facts, links, structure, title, metadata and image.
- Let the editor publish manually, or record an explicit approval signal that a separate publishing branch checks.
- Write the final state and publication timestamp back to the sheet.
For higher-risk topics, require source notes or citations in the brief and make the workflow stop when they are absent. n8n’s AI examples describe human fallback and human-in-the-loop patterns; use those patterns for escalation rather than trying to encode every editorial decision as a binary rule.
Compare the main design choices
| Decision | Option A | Option B | Choose based on |
|---|---|---|---|
| Trigger | Manual run | Schedule or event trigger | Manual is safer for building; automatic triggers suit a tested queue |
| Deployment | n8n Cloud | Self-hosted n8n | Managed operations versus infrastructure control and maintenance ownership |
| Model layer | One provider for most steps | Separate providers for drafting, SEO and images | Operational simplicity versus specialized capabilities and independent failure domains |
| Publishing state | WordPress draft | Automatic publication after validation | Drafts preserve editorial control; automatic publication requires unusually strong safeguards |
| Source of truth | Google Sheets queue | Database or CMS | Sheets are visible and simple; databases handle concurrency and audit requirements better |
| Knowledge access | Context included directly in the prompt | Tools, APIs, vector stores or memory | Direct context is simpler; connected knowledge is useful when material is large, changing or shared |
The documented example separates DeepSeek, OpenRouter and OpenAI, but that is an architecture example rather than a requirement. Select providers whose credentials, data policies, output controls and regional availability meet your needs.
Prevent duplicate and partial runs
Duplicate posts
Use a stable content ID and reserve the row before generation. Before creating a post, check whether that ID already has a stored WordPress post ID. Mark the row complete only after the response is saved. If a retry occurs, update the existing post instead of creating a second one.
Partial executions
Persist intermediate values such as the generated article, title, WordPress post ID and media ID. Separate checkpoints let you retry a failed image or metadata step without paying for or changing the reviewed article.
Credential failures
Test each credential independently with a small read or draft operation. Confirm that the WordPress REST endpoint is reachable, that the account can create media and posts, and that the Google Sheets identity can update the target row. Keep secrets in n8n’s credential store and rotate them using your normal access process.
Model drift
Record the provider, model name, prompt version and run timestamp. Review samples periodically because a provider can change behavior even when your workflow has not changed. When quality drops, compare the stored configuration before changing prompts or switching models.
Best Value
Unreviewed or unsupported claims
Require source notes for factual articles and route the item to a person when the model cannot support a claim. A validation node can detect missing citations or required fields, but it cannot establish that every assertion is true.
SEO over-optimization
Use generated titles, descriptions and keyword suggestions as drafts. Reject wording that promises results, repeats terms unnaturally or misrepresents what the article contains.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesOperate the workflow after launch
Monitor failed executions and inspect the first several runs node by node. Keep an execution log that connects the content ID, sheet row, WordPress post ID, media ID, model configuration and final status.
- Set a retry policy that is safe for each service. Retrying a read is different from retrying a create request.
- Make create operations idempotent by checking the stored content ID and post ID first.
- Retain enough execution data to diagnose failures without exposing unnecessary personal or secret information.
- Review queue states for rows stuck in
processing; give them a manual recovery path. - Test the workflow with a single row after every credential, prompt or node change.
- Recheck provider and node availability before relying on a template that was last updated months earlier; labels and integrations can change.
There are no authoritative performance figures establishing a particular time saving, quality score or publishing volume for this pattern. Treat capacity as a function of your n8n deployment, provider limits, queue size and review bandwidth, and measure your own results.
A practical first implementation
Build the smallest safe version first: Manual Trigger → Google Sheets read → validation → article generation → title generation → WordPress draft → sheet update. Run one row and inspect every output. Then add the human review notification, image branch, metadata update, schedule trigger and recovery logic one at a time.
This order gives you a working draft pipeline before you introduce the parts most likely to fail independently. Once the draft, identifiers and statuses are reliable, adding media and SEO enrichment becomes an incremental change rather than an all-or-nothing automation.

Can n8n publish AI-written posts directly to WordPress?
Yes, the WordPress node can create and update posts, but a safer design creates a draft and waits for explicit editorial approval before publication.
Do I need one AI provider for the entire workflow?
No. You can use one provider for simplicity or separate providers for article drafting, SEO analysis and image generation. Store the provider and model used for each run.
Why reserve a Google Sheets row before generating content?
Changing the row to processing and using a stable content ID prevents overlapping executions from creating duplicate posts and makes stuck runs recoverable.
What should happen when image generation fails?
Keep the article and WordPress post ID, mark the item as image-pending or needs-review, and retry the media step without regenerating the article.
