Use live chat to start a timely, relevant conversation when an outbound prospect returns to a page that matters to their decision. Greet them naturally, offer help tied to what they are viewing or to your earlier outreach, answer their question, and only then ask a small number of qualifying questions. Route a qualified conversation to the right salesperson or offer a meeting when the prospect is ready. A page visit is a useful prompt—not proof of buying intent.
1. Choose which visits deserve a conversation
Do not put every visitor into the sales queue. Focus coverage on pages that give a useful reason to talk, such as pricing and product pages, and target visitors who match your ideal customer profile. A prospect’s return to a relevant page can justify a contextual greeting, but it does not establish that they are ready to buy.

Set criteria before turning on proactive messages. Those criteria might include the page viewed, known account or contact details, and fit signals such as industry, region, or company size. Selective targeting helps sales representatives spend time on conversations with a plausible fit rather than treating all traffic as equally valuable. Intercom recommends targeting visitors and reviewing message results in its lead-response guidance and sales-funnel guidance.
2. Open with context, not a pitch
Make the first message brief, human, and connected to the page or the previous outreach. The goal is to make it easy for the prospect to ask a question—not to force an immediate sales conversation. If your CRM gives the team relevant context, use it so the prospect does not have to repeat information they have already provided.

For example, a representative could say: “Hi Jordan, I saw you’re looking at our team plan. I can help clarify how implementation works or answer a question about pricing.” If you are following up on a prior email, a natural reference to that exchange may help orient the prospect. Avoid implying that you know more about their browsing or intentions than you do.
Intercom’s sales-training guidance recommends beginning warmly and answering the prospect’s questions before asking questions of your own. Its article on using live chat for sales also discusses tailoring conversations to the visitor. Treat these as vendor guidance, not as a guaranteed conversion formula.
3. Qualify lightly and use known information
Qualification should feel like a continuation of helping, not an intake form. First understand the question or problem the prospect brought to chat. Then ask only for details needed to assess fit or direct them to the right person. If the CRM already contains a reliable answer, do not ask the prospect to provide it again.
Useful qualification context can include the prospect’s role, company size, industry, region, and the use case they are evaluating. Which details matter depends on your product and the rules your sales team uses to define a qualified lead. Intercom describes using CRM or third-party data and bot questions for qualification; its sales-funnel guidance gives industry, region, and company size as examples of routing criteria. HubSpot describes website chat alongside lead scoring and qualification context in its live chat product information.

- How it Fits: On-ear compact design may feel snug initially—adjust properly and wear 30-60 minutes daily for the first week. Optimal comfort achieved after 1-2 weeks as ear cups conform to your ears. Take 10-minute breaks during extended use.
- Wired computer headset with foldable design; ideal for calls, meetings, online learning, and more. Compact headset measures 6.1" W x 7.2" H with 2.8" ear cups and 4.4" boom mic. Ideal fit for small to medium head sizes
- Flexible, adjustable boom mic can be positioned at any angle; unidirectional mic reduces the background noise to ensure crisp, bright conversations (Provided that your conversation is under the correct direction of the microphone)
- 32mm speaker drivers offer an immersive listening experience with clear sound quality
- One-touch mute/unmute with intuitive in-line control box; Using microphone, slide the button upward to unmute and enabled audio settings in your device. For USB connection, ensure the 3.5mm jack (4-pin) is fully inserted into the USB adapter. For direct 3.5mm connection, first remove the USB adapter from your device
Keep the exchange proportional. A visitor asking a narrow product question may need an answer before any qualification. If they are exploring more broadly, one relevant follow-up question can help determine the best next step. Avoid asking multiple questions at once when a single answer will do.
4. Route the conversation or schedule the next step
Once you understand the request and have enough fit context, connect the prospect to the appropriate owner or team. Routing criteria can reflect the same factors used for qualification—for example, industry, region, or company size—so the visitor reaches someone equipped to help. When the prospect is ready to discuss the opportunity, make meeting scheduling available rather than leaving them to work out the next step themselves.
Automation can collect basic information, answer common questions, or help direct a visitor. It should not become a dead end. Offer a route to a person when the question is complex, outside the automated flow, or the prospect expects human help. Intercom and HubSpot both describe capabilities relevant to chat qualification and routing; the exact options depend on the product and configuration.
5. Close the loop after the chat
Record the conversation and its agreed next step in the CRM. That record helps the next representative continue from the prospect’s question and prevents a useful chat from disappearing into an unowned inbox.

If a prospect appears to fit but leaves without responding or scheduling, choose a specific follow-up date instead of treating the visit as an open-ended signal. Intercom’s lead-report guidance describes adding the lead to Salesforce and snoozing the chat until a planned follow-up date. Apply that approach only when it matches your team’s CRM workflow and follow-up policy.
6. Measure conversation quality, not just activity
Track whether chat creates useful sales progress, not merely how many messages it generates. A practical scorecard can include:
- Reply time, to understand how quickly prospects receive a response.
- Qualified chat rate, using your stated fit criteria.
- Meetings booked from chat conversations.
- Opportunities created and eventual outcomes for those conversations.
- Performance by message, target audience, and timing.
Compare results across the pages and audiences you target. If it is unclear whether a message, timing, or audience explains a difference, test one change at a time or use an A/B test where the software supports it. Intercom’s help guidance recommends trying to respond within three minutes; that is an Intercom operational recommendation, not a universal performance benchmark. Its reporting guidance covers reviewing message results.

Intercom’s 2023 guide says it analyzed an anonymous dataset of 20 million live-chat messages. The guide reports that people who chatted were 82% more likely to convert to customers and that accounts with a prior chat had 13% higher account value. These are vendor-reported associations. They do not establish that chat caused the conversion or account-value differences, so they should not be treated as expected lift for another company.

How much should a sales representative ask during chat?
Ask only for information needed to understand the request, assess fit, or route the conversation. Use reliable CRM context instead of asking the prospect to repeat known details.
Should a chatbot qualify outbound leads?
Automation can collect basic details or handle common questions, but provide a path to a person for complex requests or when the visitor expects human help.
How quickly should sales respond?
Intercom recommends trying to respond within three minutes in its help guidance. That is vendor advice, not an independent universal benchmark; measure response time alongside qualified conversations and sales outcomes.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsDo the published conversion figures prove live chat causes more sales?
No. Intercom’s reported conversion and account-value differences are associations from its 2023 vendor dataset, not evidence that chat caused those outcomes.
