You can keep cloud storage free by splitting active files across providers, watching what each account’s quota actually includes, and moving seldom-used files to a local archive. The trade-off is more account management—and no single free account should be treated as an unlimited, permanent backup.
The title’s first-person claim cannot be substantiated from the available facts, so this guide offers a practical setup rather than claiming an author’s personal payment history. Provider limits and terms below were checked on October 7, 2026, and can change.

Start with what each free quota actually covers
A headline storage number can hide a shared pool. Check which services draw from it before deciding where to put files.

| Provider | Free allocation | What counts toward it | Over-limit considerations |
|---|---|---|---|
| 15 GB per Google Account | Google Drive, Gmail, and Google Photos share the allocation. Drive bin items, hidden app data, and some background system files also count. | Uploads and Photos backups may stop; Gmail sending and receiving and collaborative app functions may be affected. Google says content may be removed after two or more years over quota, with at least three months’ notice before content becomes eligible for deletion. | Microsoft | 5 GB of Microsoft storage | OneDrive files and photos, Outlook.com attachments, and Microsoft 365 apps share this pool. Outlook.com also has a separate 15 GB email-storage quota; attachments count toward Microsoft storage as well. | Uploads, editing, syncing, and Outlook mail can be affected. Microsoft says it may delete OneDrive and its files after six months over quota. Microsoft storage FAQ |

These are provider-stated plan and program limits, not independent measurements. Dropbox’s 2026 comparison guide also lists 5 GB for iCloud, but that figure is a secondary comparison rather than an Apple support-page confirmation; check Apple’s current terms before relying on it. Build a setup around access, not just capacity
Keep active files in the account that fits the workflow
Put files you edit or need on multiple devices in the service that best fits your computer, phone, and sharing habits. If you already use Gmail and Google Photos, remember that a large photo library competes with Gmail and Drive for the same Google 15 GB. If you rely on Outlook.com or Microsoft 365, attachments and OneDrive content can compete for Microsoft’s 5 GB pool.
Dropbox can be useful when its syncing and sharing workflow suits you, but its Basic allowance starts at 2 GB. Choose by the whole workflow—shared quota, device fit, syncing, sharing, recovery, and over-limit consequences—not by the largest number in isolation.

Use separate providers deliberately
Using more than one free account can increase the total space available, but it also divides files among services. Keep a simple record of which account holds which folders, and make sure you can still access each account: maintain current recovery details and do not let an old email address or forgotten credentials become the only route back in.

Dropbox’s current help page says Basic users can earn 500 MB per qualifying referral, up to 16 GB total; Plus, Family, and Professional users can earn 1 GB per referral, up to 32 GB. The invited person receives 500 MB. The referral flow requires an eligible new user to sign up through the referral, install and log in to the desktop app, and verify their email. Simply sharing a folder does not qualify. These are program terms, not guaranteed capacity, and may change. Dropbox referral requirements

Move rarely used files out of the cloud carefully
Cloud storage is convenient for current projects and files you need across devices. Older, bulky files that you rarely open can be downloaded to a local archive to free cloud quota. Google specifically recommends downloading files to a personal device and then deleting them from cloud storage as one way to reduce use. Google’s guidance on storage limits
- Identify what is consuming space. Review storage usage in the relevant provider account and check shared services such as Gmail or Photos, not only the Drive or OneDrive file list.
- Choose archive files. Select items you do not need to sync or share routinely, such as completed project exports or older media.
- Download and verify. Copy the files to a local storage drive, then open a few files from that drive to make sure the copy is usable.
- Delete cloud copies only after checking. Confirm that the local copy contains what you need before removing the cloud version; then check the provider’s storage view to see whether the quota has updated.
A single external drive is a local archive, not an off-site cloud copy or a complete redundancy plan. If a file matters, avoid keeping its only copy on one drive. This setup also means archived items will not automatically sync to your phone or other computers.

Prevent quota problems from turning into account problems
Watch the services connected to each pool, especially email and photo backup. When a quota is full, the impact can extend beyond being unable to upload a new document: Google documents possible effects on Drive, Photos, Gmail, and collaborative apps, while Microsoft documents OneDrive syncing and Outlook mail effects. Leave some headroom rather than planning to use every last gigabyte.

Microsoft says canceling a paid Basic or Personal subscription returns the storage allowance to 5 GB; someone using more than that may lose upload, edit, sync, and email functionality. Before canceling, reduce usage below the free limit or move files elsewhere. Google One plans provide 100 GB or more depending on plan, and Google says Basic and higher storage can be shared with up to five other people at no extra cost; that is a paid option rather than part of the free setup. When a free setup is no longer worth the friction
Free tiers work best when your active files fit comfortably, your accounts are recoverable, and you are willing to manage where files live. Consider a paid plan or a different storage arrangement if you routinely hit limits, need a unified library, depend on uninterrupted syncing or mail, or cannot accept the consequences of an over-quota account. The right choice depends on your workflow and risk tolerance, not only the advertised capacity.
