To use Dropbox offline, mark the files or folders you need as available offline while you still have an internet connection, wait for them to download, and confirm they are stored on your device. Online-only files are cloud placeholders; they cannot be opened or downloaded after you lose internet. Offline edits stay on that device until it reconnects and Dropbox syncs them.
What Dropbox offline access means
An offline file is a local copy stored on your computer, tablet, or phone. Dropbox says you can open and edit these files without an internet connection, but they use storage on the device. By contrast, an online-only file remains in your Dropbox account without taking local storage and needs an internet connection to download or open. Dropbox explains the difference between online-only and locally stored files.

Prepare before a flight, commute, or outage: select what you need while connected, wait for the download to finish, and check its offline status. Merely opening an online-only file while you have internet is not a reliable substitute for deliberately making it available offline.

macOS
- Connect to the internet and open Finder.
- Find the file or folder in your Dropbox folder.
- Right-click it and choose Make available offline.
- Wait for Dropbox to download it. Dropbox identifies a ready offline file on macOS with a green checkmark.
Dropbox notes that macOS behavior can depend on whether Dropbox is using File Provider. In some cases, making a file available offline is necessary to use it in a third-party application. See Dropbox’s macOS guidance for online-only files.

Windows and other desktop setups
The exact menu label and file-provider behavior can vary by operating system and Dropbox setup. Use the Dropbox context-menu option that downloads or makes the item available offline, then wait until it is stored locally. Do not rely on an online-only placeholder: it needs internet to fetch its contents. Check Dropbox’s current platform-specific instructions if your menu differs.
Make files available offline in the Dropbox mobile app
- While connected, open the Dropbox app and locate the file or folder.
- Use the item’s menu to make it available offline. Dropbox’s mobile settings guidance confirms that files and folders can be stored locally this way.
- Leave the app online until the download completes, then verify the item is available offline before disconnecting.
Dropbox can download offline items over mobile data if that option is enabled. If you want to avoid cellular data use, prepare them over Wi-Fi and keep mobile-data downloading turned off. The relevant setting names may differ by app version or language. Dropbox’s mobile app settings guidance describes offline availability and mobile-data downloads.

Choose the right storage option
| Option | Offline access | Local storage use | Granularity | Where it applies |
|---|---|---|---|---|
| Available offline | Yes, once the local download is complete | Uses device storage | Files or folders you select | Computer or mobile device where you make the item available offline |
| Online-only | No; internet is needed to download or open the contents | Does not store the full file locally | Files or folders, depending on the Dropbox interface | The relevant Dropbox device setup |
| Selective sync | Selected folders are stored on that computer; unselected folders are not | Reduces space used by removing unselected folders from that computer | Whole folders and their contents, not individual files | One computer; preferences are specific to each computer |
Selective sync is a desktop folder-management control, not a way to delete content from your Dropbox account. Unselecting a folder removes it from that computer while keeping it in the account. Dropbox says selective sync is available to all users, including Basic accounts. See Dropbox’s selective sync overview.

You can access a file offline only after it is stored locally. Whether you can edit it depends on the file type and the application that opens it; offline availability alone does not guarantee that every app supports offline editing. Check the app’s own offline requirements and make sure it can save changes to the local file.

Editing supported Office files on mobile
Dropbox’s mobile Office instructions describe opening a file in Dropbox, tapping Edit, and continuing in the relevant Microsoft Office app. The guide lists Office 2007-or-later .docx, .xlsx, and .pptx files as editable, while older Office files are read-only. It requires current Dropbox and Office app versions; some account and device combinations may also require a Microsoft account or subscription. Those instructions do not establish offline-editing support for every file and app. See Dropbox’s mobile Office integration guidance.
What happens to offline edits when you reconnect?
Edits made while offline remain on the device until it has internet access and Dropbox syncs them. Reconnect, give Dropbox time to finish syncing, and check that the updated file is reflected in Dropbox before relying on another device to have the latest version. Dropbox describes this sync behavior in its online-only and offline files guidance.

If a file will not open offline
- It was online-only: reconnect and make it available offline; an online-only placeholder cannot fetch its contents without internet.
- The download had not finished: reconnect, allow the local copy to complete, and check its status before going offline again.
- You selected a folder with selective sync: confirm that the folder is selected for that specific computer. Selective sync does not choose individual files.
- The file opens but will not edit: check whether the format is editable in the app you are using and whether that app supports the required offline workflow. Some older Office files, for example, are read-only in Dropbox’s mobile Office guidance.
- Your changes are missing on another device: reconnect the device that made the edits and wait for Dropbox to sync before checking elsewhere.
