To use ClickUp for project management, create a workspace structure that reflects how your team groups projects, define a small set of statuses and project fields, then manage actionable work as tasks in Lists. Add views for the work people need to do—such as scheduling, status tracking, dependencies, or capacity—and keep shared project context in Docs. Automations can handle repeatable routing and labeling.
The setup below is a flexible starting point, not a universal hierarchy: choose levels and names that fit your organization’s projects and governance.

1. Organize the workspace around your projects
Begin with the ClickUp hierarchy: Workspace, Spaces, Folders, and Lists. Use each level to reflect a real distinction in how your organization manages work, rather than creating layers simply because they are available. ClickUp’s project-management overview covers hierarchy as part of project setup, and its view guide gives examples across Space, Folder, and List levels.

A portfolio-oriented team could instead use Folders for portfolios or project phases and Lists for the workstreams within them. Examples in ClickUp’s guide include roadmaps, status reports, risks and issues, project-team tasks, and project Docs. Adapt these to your own terminology and governance.

2. Set statuses and project fields
Choose statuses that describe how work actually moves through your process, and agree on who updates them. ClickUp’s default status groups are Active, Done, and Closed; statuses can be configured at Space, Folder, Subfolder, or List level. See Manage task statuses for the levels and settings.
Keep the status set small enough to use consistently. Add Custom Fields for project information the team needs to filter, prioritize, automate, or report on—for example, a project phase or health label. ClickUp’s project-management overview describes Custom Fields as a way to capture project information for prioritization, automation, reporting, and knowledge sharing.

3. Create project work as tasks in Lists
In ClickUp, tasks are the actionable work items, and every task must belong to at least one List. Tasks can include an assignee, status, priority, start date, due date, and duration. Build each project List around work people can own and move forward, rather than using a task as a catch-all for background information. The task introduction explains task fields and List membership.
If you add a task to multiple Lists, its home List controls its status and Custom Fields. Decide which List is the task’s home before relying on those values for project reporting or automation.

4. Pick views to match the work
A view is a different working perspective on tasks, not a separate project plan. Choose it based on the question the team needs to answer:
| View | Best fit |
|---|---|
| List | Group, sort, and filter project tasks. |
| Board | See work by status and move tasks through a visible workflow. |
| Calendar | Plan around dates and schedules. |
| Gantt | Review timelines, deadlines, and task dependencies. |
| Team or Workload | Assess how work is distributed and consider team capacity. |
ClickUp documents these use cases and other view types in Views feature availability and limits. The page also states that List view loads up to 5,000 tasks at a time. View availability and usage limits vary by plan, so check the current plan table before making a limited-use view central to your workflow.

5. Connect work that depends on other work
When one task must wait for another—or another task cannot proceed until it is complete—create a dependency relationship. ClickUp supports creating dependencies in List, Board, Calendar, and Gantt views; in Gantt, arrows depict the relationships. The dependency guide says dependencies are available on all plans but are not available in the ClickUp mobile app.

6. Keep project context in Docs
Use Docs for material the team needs to understand or run the project, such as a charter, brief, or shared project knowledge. Keep that context associated with the project structure and its work so people can find the rationale and guidance alongside the tasks. ClickUp’s project-management overview and examples of project views both include Docs as part of project organization.

7. Automate repeatable routing and labeling
Once statuses, Lists, and fields are consistent, use Automations for routine actions with a clear trigger and outcome. ClickUp’s project-management Automations guide gives examples such as routing status-report tasks to a Project Health List and setting a Project Phase Custom Field when a task is created in a phase List.
Keep an automation narrow and predictable: define the condition that should trigger it, the action it should take, and the List or field it should affect. That makes it easier for the team to understand why a task was routed or labeled.
