How to Use Block Templates in WordPress

A practical guide to WordPress block templates: prerequisites, Site Editor steps, custom assignments, template hierarchy, theme files, and troubleshooting.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Block templates are reusable page layouts built with WordPress blocks. They control the structure around dynamic content—such as a post title, post content, archive results, header, navigation, and footer—without changing the text stored in individual posts or pages.

With a block theme, open Appearance > Editor > Templates to edit a shared template, or open a post or page and choose Edit template from the template setting. Create a custom template when one item needs a different layout; editing a shared template changes every item assigned to it.

What a block template does

A block template is a list of block items that defines a view’s layout. Some blocks are static, such as a heading, separator, spacer, image, or columns. Others are dynamic template blocks that display information from the current object. Examples include Post Title, Post Content, Post Featured Image, Post Author, Query Loop, Navigation, and Template Part.

Think of the template as the frame and the post or page as the data placed into that frame. A Single Posts template can specify where the title, featured image, author, content, comments, and related posts appear. The content itself remains editable in the normal post editor.

WordPress object What it controls Typical examples
Template The layout for a type of view or an assigned custom layout Single Posts, Pages, Archives, Search, 404
Template part A reusable section inserted into multiple templates Header, footer, sidebar, post meta area
Post or page content The unique material for one item Paragraphs, images, lists, embeds, buttons
Global styles Site-wide typography, colors, spacing, and block defaults Body font, link color, button appearance

Changing a template changes the layout around content. It does not rewrite the words in every post that uses that template.

What you need before editing

Use a block theme when possible

The normal prerequisite is an active block theme. A block theme uses blocks for all major site areas, including navigation, header, content, and footer, and exposes the Site Editor at Appearance > Editor. The Template Editor is documented for WordPress 5.9 and later when a block theme is active.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. In the dashboard, open Appearance > Themes.
  2. Identify whether the active theme is a block theme. Theme descriptions and available editor options can help confirm this.
  3. Activate the block theme if you intend to manage the full site layout with blocks.
  4. Open Appearance > Editor. A block theme normally shows areas such as Templates, Template Parts, and Styles.

If you are using a classic theme

A classic theme does not normally provide the full Site Editor. Depending on the theme and its backend support, you may still see a template control in the post or page editor, but the available templates and editing capabilities are limited. If Appearance > Editor is absent, use the labels and controls available in your installation rather than assuming the block-theme workflow is enabled.

Admin labels, template types, and available controls can differ between WordPress releases and themes. The concepts remain the same: open the template area, edit blocks, save, and assign the desired template.

Edit a shared template in the Site Editor

Use this route when you want to change the layout for every post, page, archive, search result, or error page that uses a particular template.

  1. From the WordPress dashboard, go to Appearance > Editor.
  2. Choose Templates. If the Site Editor opens on another screen, return to its template list.
  3. Select the template that matches the view you want to change, such as Single Posts, Pages, Archives, Search, or 404.
  4. Click a block to change its content, settings, spacing, alignment, or order. Use the List View when nested blocks make the canvas difficult to navigate.
  5. Add or remove template blocks as needed. A typical post layout may include Post Title, Post Featured Image, Post Content, author information, date, comments, and a Query Loop for related content.
  6. Use Template Part blocks for shared headers, footers, or other reusable sections. Editing that template part can affect every template in which it appears.
  7. Click Save, review the changes shown in the confirmation panel, and confirm the save.

After the save, every item using that template receives the new structure. The change is broad by design, so inspect at least one representative post, page, archive, and mobile view before considering the work finished.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Edit a template while working on a post or page

This route is useful when you are already editing content and discover that the surrounding layout needs adjustment.

  1. Open a post or page in the Block Editor.
  2. Open the Post or Page Settings sidebar if it is hidden.
  3. Click the current template name in the settings panel.
  4. Choose Edit template.
  5. Make the layout changes in the template editor. Add, move, configure, or remove blocks as required.
  6. Use View > Show template when available to preview the template while you continue editing the content.
  7. Choose Publish and then Save when WordPress prompts you to confirm the template change.

The template edit is separate from the post or page content edit. If you only wanted to change this item’s text or images, return to the content canvas instead of editing the template.

Create a custom block template

A custom template is the safest option when one or a small group of items needs a layout that should not become the default for the whole site. Give it a descriptive name so another editor can understand its purpose later.

Create it from the Site Editor

  1. Go to Appearance > Editor > Templates.
  2. Click Add Template.
  3. Select the applicable content type, or choose Custom Template when your installation offers that choice.
  4. Enter a name that describes the layout, such as Post with sidebar or Landing page with hero.
  5. Build the layout with blocks. Include the dynamic blocks needed to display the item’s content, especially Post Content for a post or page body.
  6. Save the template.
  7. Open the post or page that should use it, open the template selector in the settings sidebar, and select the new custom template.

Create it while editing a post or page

  1. Open the target post or page.
  2. Open its template control in the settings sidebar.
  3. Click the add icon and choose New.
  4. Name the template descriptively and create it.
  5. Construct the layout with blocks, then save when prompted.
  6. Confirm that the new template is selected for the current post or page.

The assignment belongs to the individual post or page. Other content keeps using its existing template until you explicitly assign the custom one.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Shared template or custom assignment?

Choose based on scope, not on which editor screen happens to be open.

Approach Scope Entry point Best for Persistence
Shared template Every item using that template Appearance > Editor > Templates Changing the standard structure for posts, pages, archives, search, or 404 views Saved Site Editor customization in the site database
Custom template assignment Only posts or pages assigned to it Template selector in the post/page editor, or Add Template in the Site Editor Special layouts, landing pages, feature posts, or one-off page structures Saved custom template plus an assignment on each selected item
Theme template file The theme’s default for a matching view Theme development workflow Distributing a block theme or establishing defaults in code Stored as markup in the theme; editor customizations can override it

If a page alone needs a sidebar, do not alter the shared Pages template. Create or select a custom template, assign it to that page, and leave the default layout unchanged for other pages.

How WordPress chooses a template

Block themes store template files as block markup in the theme’s /templates directory. The minimum required file for a block theme is index.html. More specific files can target particular views, including single.html for individual posts, page.html for pages, archive.html for archives, search.html for search results, and 404.html for not-found pages.

WordPress uses its template hierarchy to select the most specific applicable template and falls back to a less specific file when a matching file is unavailable. A single-post view can therefore use a more targeted template when one exists, or fall back through the hierarchy to a general template.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Editor customizations take precedence

When an editor saves a template in the Site Editor, WordPress stores that customization in the database. The saved version takes precedence over the bundled template file until the customization is removed or otherwise replaced. This explains why changing a theme file may appear to have no effect on a site that already has a saved editor version.

A minimal theme-file concept

A block template file is HTML containing WordPress block comments and markup. A developer might place a structure such as a header template part, a post title, post content, and a footer template part in single.html. The exact block attributes depend on the intended design, but the principle is consistent: the file declares the block tree that WordPress renders for that view.

Prevent accidental site-wide changes

  • Check the template name before saving. “Single Posts” and “Pages” are shared views, not individual documents.
  • Use a custom template for exceptions. Assign it only to the posts or pages that need the alternate layout.
  • Separate structure from content. Edit words, images, and embeds in the post or page editor; edit placement and repeated layout elements in the template.
  • Watch template parts. A header or footer edited through a Template Part can change wherever that part is used.
  • Preview representative content. Check a long title, a post without a featured image, an archive with many results, and a narrow screen before publishing.
  • Keep a recovery path. If a layout becomes unusable, use the Site Editor’s available undo or revision controls, or restore the intended template customization from your site’s backup.

Common problems and fixes

The Templates menu is missing

Confirm that a block theme is active and that your WordPress installation meets the theme’s requirements. With a classic theme, the full Site Editor may not be available. In that case, look for a template selector in the post or page editor or consult the theme’s documented support.

Changing one template changed every post

You edited a shared template. That behavior is expected: every item assigned to it receives the same layout. Undo the change if necessary, then create a custom template and assign it only to the intended item or group.

The post content disappeared

Open the affected template and verify that it contains the appropriate dynamic content block, usually Post Content for a post or page. A template with only headings, images, and decorative blocks has no block that outputs the saved body content.

A header or footer changed unexpectedly

Look for a Template Part block in the template. Editing that part affects every location where it is reused. If only one view needs a different header or footer, create a separate template part or use a custom template arrangement.

Theme-file edits are not visible

A saved Site Editor customization can override the file in /templates. Review the template in Appearance > Editor and remove or update the saved customization before expecting the bundled file to control the output again.

The controls do not match these instructions

WordPress releases and active themes can present different labels, template lists, and confirmation screens. Follow the equivalent controls shown in your installation: Appearance > Editor, Templates, the template selector, Edit template, Add Template, and Save.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A practical workflow for reliable template changes

  1. Define the scope. Decide whether the change belongs to the entire view, a reusable section, or one item.
  2. Identify the view. Choose Single Posts, Pages, Archives, Search, 404, or another applicable template.
  3. Inspect before editing. Use List View to understand the existing block hierarchy and identify Template Part blocks.
  4. Preserve dynamic output. Keep the blocks that print the title, content, featured image, navigation, and other required data.
  5. Make the smallest structural change. Add a group, columns, or sidebar rather than rebuilding unrelated sections.
  6. Save and review the confirmation. Make sure WordPress is saving the template you intended, not only the post or page.
  7. Test multiple cases. Check published content, missing optional fields, long titles, archives, and mobile width.
  8. Document custom assignments. A descriptive template name helps future editors understand why a page does not use the default layout.

Key takeaways

  • Block templates define reusable structure with blocks; they do not replace the content inside posts and pages.
  • A block theme normally gives you the full workflow at Appearance > Editor.
  • Edit a shared template for a site-wide layout change; create and assign a custom template for an exception.
  • Saved Site Editor versions can override template files supplied by the theme.
  • For developers, block templates live in /templates, with index.html as the required fallback file and more specific files selected through the template hierarchy.
