How to Use Apify Screenshot Results in Make.com

Apify screenshots may be key-value records rather than dataset rows. Here’s how to locate, fetch, and route them in a Make.com scenario.

To use an Apify screenshot in Make.com, first check where the Actor saved it. Get Dataset Items retrieves structured rows from an Actor run’s default dataset; a screenshot may instead be a separate record in the run’s default key-value store. If it is, fetch that record using its store ID and record key, then map the response to the next module in the format that module accepts.

How do I get Apify screenshots into Make?

There are two separate retrieval paths: dataset items for structured results, and key-value-store records for files such as screenshots. An Actor may produce both. Getting dataset items does not, by itself, retrieve a screenshot stored as a key-value record.

Run the Actor and retrieve its dataset

  1. In Make, create a scenario and add Apify’s Run an Actor module. Select and configure the Actor, including its JSON input, and choose synchronous execution if the Actor is expected to finish within the applicable Make timeout.
  2. Add Apify’s Get Dataset Items module. Map the default dataset ID from the Actor run output into its Dataset ID field.
  3. Run the scenario once if needed to expose the previous module’s generated output variables for mapping.
  4. Use the resulting structured items in later modules. If the image itself is absent, check the Actor’s key-value store and add a separate record-retrieval step.

Apify describes a dataset as being created and assigned to an Actor run when the first item is stored. That association makes the run’s default dataset useful for structured output, but it does not mean every output—including image files—is stored there.

Trigger from an Actor run started elsewhere

If the Actor run starts outside this scenario, add Apify’s Watch Actor Runs trigger. For a task, use Watch Task Runs. These watcher modules can react to completed runs; then use the run’s IDs and default storage IDs from the trigger output to retrieve dataset items and any screenshot record separately.

Why does Get Dataset Items not show my screenshot?

Dataset items and key-value records are distinct Apify stores. An Actor’s output schema can indicate which output is where: for example, an output may identify crawlResults as the default dataset and screenshots as keys in the default key-value store. The names and record keys depend on the Actor, so inspect that Actor’s documentation, output schema, run details, or key-value store to find the actual screenshot key.

When the screenshot is a key-value record, retrieve it separately. The general Apify record route is:

GET https://api.apify.com/v2/key-value-stores/{STORE_ID}/records/{RECORD_KEY}

Replace {STORE_ID} and {RECORD_KEY} with the actual store ID and record key. Apify also documents a convenience route scoped to an Actor run’s default key-value store, which can be useful when you have the run ID but not the store ID. Confirm the exact route and accepted ID form in Apify’s API reference for the call you configure.

In Make, use Apify’s Make an API Call module for an authorized GET. The record’s stored MIME type determines the response content type; a record can contain binary image data as well as text or JSON. The next Make module’s input contract determines whether that response can be mapped directly or needs another handling step.

How do I pass an Apify screenshot to another Make app?

After retrieving the record, inspect what the receiving module expects. Depending on that app and module, it may require an image URL, binary data, or a file object. The Apify record endpoint establishes how to retrieve the record, but there is no universal Make conversion step that applies to every Actor and destination.

  1. Run one real Actor job and identify the screenshot record key and its content type.
  2. Fetch the record using the run’s default key-value-store ID and that key, or the run-scoped convenience route.
  3. Inspect the API-call module output in Make and compare it with the receiving module’s required input format.
  4. Map the image data or reference accordingly, then test the complete route with a completed run.

How should I handle Apify authentication in Make?

Apify’s Make integration guide describes connecting through OAuth or an API token and recommends OAuth for integration setup. For direct API calls, Apify recommends sending the token in an Authorization: Bearer … header rather than placing it in the URL, where it can be exposed in histories or server logs.

  • Use Make’s Apify connection or its authentication configuration for credentials.
  • Keep API tokens private; do not put a secret into a public field or URL.
  • For a direct API call, configure the authorization header through the module’s supported authentication settings.

Should I run the Actor synchronously or watch for completion?

Pattern Use it when How results flow
Synchronous run The Actor reliably finishes within the current Make plan’s timeout, and this scenario should wait for it. Run an Actor, then retrieve the run’s dataset and, separately, any screenshot record.
Asynchronous watcher The Actor may take longer, or the run is started elsewhere and should trigger this scenario when complete. Watch Actor Runs or Watch Task Runs, then retrieve outputs using IDs from the trigger.

Make’s synchronous timeout depends on the plan; there is no single numeric timeout established for every plan. If the Actor outlasts the applicable limit, data may not be fully returned. Prefer the watcher route for potentially long runs rather than relying on a synchronous wait.

If you need to create screenshots directly rather than retrieve an existing Apify Actor’s screenshot, ScreenshotNeo offers a one-request screenshot API. This does not replace fetching a screenshot that an Actor has already stored in Apify.

ScreenshotNeo API documentation

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp

ScreenshotNeo accepts cookie or consent banners as a visitor and removes more than 60 known consent platforms, newsletter popups, and chat widgets before capture; each step can be turned off. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits are not billed, and each response identifies the page verdict and billing status in headers. Its MCP server lets AI agents use take_screenshot, get_page_info, and capture_pdf. The free plan includes 1,000 screenshots a month with no card; paid plans start at $5 for 3,000 shots. See ScreenshotNeo for details.

Troubleshooting Apify screenshot retrieval

  • The dataset is empty or has no image: Check the Actor output schema and run’s key-value store. The screenshot may be a separate record rather than a dataset field.
  • Make shows no mapping variables: Run the scenario once, then inspect the previous module’s generated output.
  • The synchronous scenario ends before the Actor finishes: Use the watcher pattern; Make’s timeout is plan-dependent.
  • The record request is unauthorized: Check the Apify connection or token and whether the store is private. For a direct request, use the Authorization header method.
  • The destination app rejects the response: Check whether its module expects a URL, binary data, or a file object. Confirm the record’s MIME type and the receiving module’s current input requirements.
  • The record route returns no expected screenshot: Verify the store ID and record key against that run’s actual output; do not assume all Actors use the same key name.

Frequently Asked Questions

Can every Apify Actor screenshot be retrieved the same way?

No. Actor output schemas, screenshot keys, and output formats vary; use the specific Actor’s run output to identify its record.

Does Get Dataset Items download an image stored in Apify?

Only if the Actor put image-related data in its dataset. A screenshot stored as a key-value record requires a separate retrieval call.
